We are looking forward to having you and your students join us for what will hopefully be an educational and enjoyable day of fine musicianship. Enclosed, please find several items to assist you as you prepare for your day. They are as follows: A printout of your scheduled times and rooms of the student performers from your school. Duplicate as needed. Area map locating Greenville High School, parking facilities, building entrances, room locations, etc. OMEA scale and rudiment requirements for high school soloists. Building Doors will open at 7:00 a.m. Please note the acceptable parking areas as shown on the map. It is essential that you follow these guidelines and share this information with your students. Parking on Greenwave Way should be facing north on both sides of the street. Anyone needing the handicapped ramp may enter by the gym entrance in the front of the high school. Buses will need to drop off at the gym entrance in front with the ramp. The homeroom for your students will be the Main Gym. Directors are to register in the Contest Headquarters located inside the Main Entrance immediately to the right. Please pick up your nametag & wear it. It will help my workers find you if it is necessary. This year’s event has 971 entries. With the large number of participants, scheduling conflicts are bound to occur. Taking a cancellation spot on the same stage is another easy solution. Judges are very understanding about resolving these conflicts. I realize that large ensembles (especially chamber groups) always have conflicts! Ninety percent of these conflicts can be resolved on the day of the event. Please don’t call the contest chair unless there is a situation that you feel absolutely can’t be resolved on the day of the event. Every attempt was made to honor the special time requests, but it is important to understand that it is logistically impossible to honor them all. If a student’s song selection needs to be changed, then plan to show the adjudicator that the song is listed in the New Solo & Ensemble Adjudicated Event Book for Solo & Ensemble online. The song needs to be in the same class. The rating certificates are done by the data you entered on your program. Misspelling occurred through your data only. If something needs corrected, you will need to go to the Main Office and the certificates will have to be mailed out to you at a later date as the program is tied up with entering ratings. Comment sheets will be placed in your school’s designated folder in Room 111 – Theatre room. In order to expedite this process, please do not move the tables or folders in Room 111. Be sure your judge’s copy has your school name on the front cover so music that is left in the performance room can be gotten back to your school.

Dear Fellow Music Educator;

Plans are progressing well for the District 11 Solo and Ensemble Adjudicated Event to be held Saturday, January 28, 2012 at Greenville High School. We are looking forward to having you and your students join us for what will hopefully be an educational and enjoyable day of fine musicianship.

Enclosed, please find several items to assist you as you prepare for your day. They are as follows:

A printout of your scheduled times and rooms of the student performers from your school.

Cancellations can be sent to me by e-mail before Friday, January 27th by noon. Cancellations after this time can be taken care of in the Contest Headquarters in the Main Office of Greenville High School.

Lunch will also be in Room 111. We are planning to serve a very nice luncheon buffet again. It would be helpful for the caterer to know approximately how many people to serve. Also, coffee, tea & soft drinks will be available in the director’s room throughout the day.

Ratings will be posted in the Gym throughout the day which also serves as the homeroom for your schools. This year there are no sport events scheduled for the day, therefore, you may stay in the gym until it is time for you to leave.

Chip Snyder of Kincaid’s Is Music in Springfield will be available all day in the booth outside the cafeteria for instrument repair or questions. Medals will also be available for purchase in this area for anyone receiving a I or II rating in a solo and/or ensemble. Please advise them to have their certificate with them at the time of purchase. Medals are $3.00 each. Medal order forms will also be placed in your folder in the director’s room.

Please encourage your students and family members to use our concessions throughout the day in the cafeteria with snacks also being served in the gym. This event is sponsored by the GHS Vocal Music Boosters.

Pianos for the day have been provided by Hauer Music in Dayton.

Looking forward to seeing you on January 28.

Sincerely,

Michele Smith
