Generally restrict the mak.irg of language and script notes t o the s i tua t ions covered in this directive. (Note: In th is statement "language" and "language of the item" mean the language or languages of the content of the item (e.g., for books the language of the text); " t i t le data" means t i t l e proper and other t i t le information.)

If the language of the item is not clear from the transcription of the t i t l e data, make a note naming the language whether or not the language is named af te r a uniform title. Use "and" i n a l l cases t o link two languages (or the final two when more than two a re named). If more than one language is named, give the predominant language f i r s t if readily apparent; name the other languages in alphabetical order. If a predominant language is not apparent, name the languages in alphabetical order. For the form of the name of the language, follow Library of Carmgress Subfect Haadimp. (Exception: Use "Greek" for c lass ica l Greek and modern Greek. If, however, the item is a translation from classical Greek into modern Greek, use "Modern Greek" i n the note. If the item includes text in both, use "Classical Greek" and "Modern Greek" in the note.) When giving the l i terary form note, base it on the following l i terary forms: drama; fiction; poetry; l i terature (used for an item containing works i n more than one form). The note should be worded according to the cataloger's approximation of the publication; the words chosen do not necessarily have t o use one of the terms listed above (e.g., "Plays1' instead of "Drama1').

Sound R e c o r d i ~

Make added entr ies for a l l performers named on a sound recording (persons or corporate bodies) with the following exceptions:

1) Do not make an added entry for a person who functions entirely or primarily on the item being cataloged a s a member of a corporate body represented by a main or added entry. Do not consider a conductor or accompanist t o be a member of the body he or she conducts or accompanies. If a person's name appears i n conjunction with the name of a group, determine whether the corporate name includes th is personal name. If the conclusion is that the corporate name does not include the person's name, do not consider the person a member of the group; if the conclusion is that it does include the person's name, consider the person to be a member of the group.

2) If both the chorus and orchestra of an opera company, opera house, etc., participate in a performance and both a re named, along with the name of the parent body, make only a single added entry under the heading for the parent body.

3) When a featured performer is accompanied by an unnamed group that, if it had a name, would be given an added entry a s a corporate body, do not make added entr ies for the individual members of the group. Do not, however, apply th is exception to jazz ensembles, even if one or more of the performers is given greater prominence than the others, i.e., normally make added entr ies for a l l the individual performers (except any who a re covered by exceptions 4) and 5) below) in such cases.

4) Do not make an added entry for a performer who participates i n only a small number of the works i n a collection or for a performer whose role is minor (e.g., an announcer on a radio program).

5) Do not make an added entry for a performer who receives main entry heading a s principal performer under 21.23C.

6) If there a re many performers performing the same function (e.g., singers i n an opera, actors in a drama), make added entries only for those who a re giventhegreatestprominenceinthe chief source of information. If a l l a r e given equal prominence, make added entr ies onlyforthosewhoaregivenprominenceovertheothersinotherplaces on the sound recording (e.g., the container, the program booklet) or, if that criterion does not apply, for those performing the most important functions (e.g., singing the principal roles, acting the principal parts).

If a performer for whom an added entry would be made according t o the guidelines above is also the composer of one or more works on the recording, make an added entry to represent the performing function in addition to any name/title access points (main entry or analytical added entries) made for his or her works.

Audiovisual Ma terials

In making added entr ies for audiovisual materials, follow the general rules in 21.29 and apply, in addition to those in 21.30, the following guidelines:

1) Make added entr ies for a l l openly named persons or corporate bodies who have contributed to the creation of the item, with the following exceptions:

a) Do not make added entr ies for persons (producers, directors, writers, etc.) if there is a production company, unit, etc., for which an added entry is made, unless their contributions a re significant, e.g., the animator of an animated film, the producer/ director of a student film, the director of a theatrical film, the film maker or developer of a graphic item attributed a s author on the data sheet and/or prominently named on the accompanying material ("a film by").

In the absence of a production company, unit, etc., make added entr ies for those persons who a r e listed a s producers, directors, and writers. Make additional added entr ies for other persons only if their contributions a re significant.

b) If a person, filmmaker, developer of a graphic item, etc., is the main entry heading, do not make added entr ies for other persons who have contributed to the production, unless the production is known to be the joint responsibility or collaboration of the persons or the contributions a re significant.

2) Make added entry headings for all corporate bodies named in the publication, distribution, etc., area.

3) Make added entr ies for a l l featured players, performers, and narrators with the following exceptions:

a) If, for a motion picture ok videorecording, the main entry is under the heading for a performing group (in accordance with 21.1B2e)), do not make added entr ies under the headings for persons performing a s members of that group. If a person's name, however, appears i n conjunction with and preceding or following the name of the group, do not consider him or her t o be a member of the group.

b) If there a re many players (actors, actresses, etc.), make addedentriesundertheheadingsforthosethataregivenprominencein the chief source of information. If that cannot be used a s a criterion, make added entr ies under the headings for each if there a re no more than three.

4) Similarly, make added entr ies under the headings for persons i n a production who a re interviewers or interviewees, delivering lectures, addresses, etc., or discussing their lives, ideas, work, etc., and who a re not chosen a s the main entry heading.

Data Ckmprisirg Title Added Ehtries and &thod of Tracing Them

In MARC records t i t l e added entr ies for t i t les a r e derived from the t i t l e field (tag 245) on the basis of an indicator (value 1 meaning "title traced the same"). The data constituting such a derived t i t l e added entry a re those of the Ca subfield of the t i t l e fie1d.l In non- MARC records t i t l e added entr ies a r e made on the basis of explicit instructions from the cataloger. In most cases the derived t i t l e added entry w i l l represent the t i t l e proper. ("Title." on printed products and as used by LC catalogers. For items without a collective t i t le , the derived t i t l e added entry represents an arbitrarily determined t i t l e access.) Indicate the tracing of any other t i t l e s by explicitly giving the t i t le t o be traced in a 740 field ("Title:" on printed products and a s used by LC catalogers). In both MARC and non-MARC records the extent of the t i t l e proper is, for the most part, indicated by the f i r s t mark of prescribed punctuation. When th is is not the case for MARC records, i.e., for some reason the Ca subfield of the 245 field does not equate t o the added entry desired, then the 740 field technique must be used ("Title:" on printed products).

Below a re situations in which the f i r s t mark of prescribed punctuation does not necessarily indicate the end of the t i t l e proper.2 For MARC record, a derived t i t l e added entry can be made in a l l cases.

1 ) Alternative t i t l e . Include alternative t i t les i n the added entry for the t i t le proper.

If the item lacks a collective t i t l e and the t i t l e and statement of responsibility area contains more than one t i t l e (l.lG2), trace separate t i t l e added entr ies for each of the t i t les l is ted if there a re only two or three; if there a r e more, trace a t i t l e added entry only for the f i r s t t i t le. Guideline for W n g Ti t le Added &tries

The following guidelines represent an attempt to standardize, t o a certain extent, practice in giving additional t i t l e added entries; they a r e no t meant t o be an exhaustive treatment of the question. Situations not addressed here should be le f t t o the cataloger's judgment. When i n doubt, it is best t o be liberal i n assigning additional t i t l e added entries.

Note: If the t i t l e being traced explicitly i n an added entry begins with an ar t icle (definite or indefinite), omit the ar t icle in a l l languages.

1 ) General. Make added entr ies more or l e s s automatically for cover t i t les , parallel t i t les , and added t i t le page t i t les when they a re significantly different from the t i t l e proper (cf. 21.2A). Be more restrictive about caption titles, half ti t les, running titles, and other t i t l e information; added entr ies for these a re generally made only if one of the following is true: a) the work was also published under the title; b) the work is cited in reference sources under the title; or c) the t i t l e is given such prominence by typography or by other means that it is reasonable t o assume that the publication may be known by it or that persons examining the item might think that it is the main t i t l e of the publication. (For added entr ies made t o provide access t o portions of the t i t l e proper, including alternative titles, see 3) below.)

2) Abbreviations. When an abbreviation occurs a s one of the f i r s t five words filed on in a t i t l e proper or other t i t l e for which a t i t l e added entry is made, make an additional t i t l e added entry substituting the corresponding spelled-out form of the abbreviation if it is thought that some catalog users might reasonably expect that the form was spelled out in the source.

This is often the case with a r t books whose t i t l e transcription begins with the art is t ' s name; many usersmightperceivethatnameas astatementofresponsibilityrather than a title.

Make added entries more or less routinely for the part of a t i t l e proper that is called "alternative title." Alternative t i t les present an additional complication i n that normally a special t i t l e search can be expected also for the f i r s t part of the t i t l e proper, before the alternative title. To insure that th is search is possible, make a special t i t l e added entry for th is f i r s t part whenever it consists of three words or l e s s that a re filed on. (The purpose is to insure that a t i t l e search is formed solely on the f i r s t part of the title.)

4) Ampersand. 6) Carnies. When cataloging an item that is about or consists of selections from a comic strip, single panel cartoon, etc., make an added entry for the t i t l e of the comic strip, etc., if th is t i t le does not also begin the t i t l e proper for the item being cataloged. If necessary, justify the added entry by a note.

Existing H a n g s

Do not add the date t o an existing heading represented by a name authority record that has already been coded "AACR 2" or "AACR 2 compatible." However, if such a heading must be revised later, add the date.

Also, do not add the date t o a heading being coded for AACR 2 when the heading is represented by an access point on an existing bibliographic record in the catalog (i.e., the f i le against which the cataloging and searching is done) and is otherwise in accord with current policy. Depending on the situation, use either one term or a combination of terms. The order of the terms listed above is not intended a s prescriptive; identify the particular situation and use the appropriate term or terms. For example, different editions of the same work, which b e a r d i f ferent ia t ing edit ion statements, w i l l o rd inar i ly be distinguished by the use of the last mentioned category of terms above, a s the f i r s t choice from the point of view of appropriateness. In the era of online catalogs, with their greater retrieval capabilities, the same goal can be achieved by performing keyword searches of geographic qualifiers, or by retrieving records with specific geographic area codes.

Conversion t o d i r ec t subdivision would be a significant streamlining and simplification of cataloging operations that would resul t i n both increased productivity and greater consistency in cataloging records. Furthermore, use of geographic subdivisions that match authority records would facilitate machine validation of subject headings. Since th is would be a major change in subject cataloging policy, however, the Library wishes to solicit the opinion of the American library community before undertaking it. CATALOG RECORDS FOR ORIGINAL AND HISTORICAL GRAPHIC MATERIALS

TheLibraryofCongressPrintsandPhotographsDivision,Research Services, has custordy of approximately twelve million graphic items: or ig ina l photographs, negatives, fine prints, historical prints, posters, and artistic, documentary, and architectural drawings. They represent a l l periods and subjects. The division's staff prepares the material for access and use through physical processing and both descriptive and subject cataloging.

Until February 1986 the cataloging was entirely in a manual mode. Catalog records for these materials a r e now being created online through the Library's online visual materials file. These records w i l l be distributed through the MARC Distribution Service beginning i n early 1987. These records w i l l a lso be published i n the hbtional Uizian a t a l c g . Audiovisual Mter ia ls . Distribution of these records is intendednotsomuchforcopycatalogingpurposesbutratherasameans of sharing information about the Library's holdings; often the items a re unique or their grouping in a collection is unlike that of any other institution. It is also hoped that the sharing of these catalog records w i l l promote consistency in communicating about original and historical graphic materials.

Holdings in the Prints and Photographs Divison a r e cataloged a t one of three levels: 1) materials such a s fine prints and master photographs, whose value or uniqueness warrant individual treatment, a r e cataloged a t the item level; 2) items from the same source or having some other common denominator (e.g., the same creator, the same format, or the same subject) a re cataloged a s a group when each item's importance l i e s mostly in its relationship to the other items; and 3) items a re processed and described a s "subunits" of the larger group when it is appropriate t o divide large groups into smaller, cohesive units. Records created thus fa r online in the visual materials format a r e for groups or subunits (value "c" or "d," respectively, i n leader byte 07). In some cases, finding-aids available i n the division's reading room provide more specific access t o the items i n groups; the existence of finding-aids is indicated in the 555 field.

The f i r s t catalog records created online in the Prints and Photographs Division were for subunits of the Frances Benjamin Johnston Collection, which is composed of more than sixty groups of pictorial material created or collected by the photographer Frances Benjamin Johnston. Records for th is material were selected because they represent a range of subjects and formats that permitted catalogers t o gain experience with the system; a t the same time, they constitute a defined s e t of records to which the staff and users can become accustomed i n searching graphic materials online.

The descriptive portions of the catalog records a re formulated according t o the guidelines found in Graphic mterials: Rules for Describing Original Items and Historical ~ o l l e c t i a n s , ~ the AACR 2-based manual for such materials. In a few cases it has been necessary to deviate from practices recommended i n the manual-specifically those relating t o terms used in the physical description and the order or phrasing of n o t e e a s experience in describing graphic materials and creatingmachine-readablerecordshasbeengained. Descriptiveaccess points a r e made according t o AACR 2 for both choice of entry and form of heading.

Topical access points a r e taken from the LC Thesaurus for Graphic Materials: Topical Subjects (lctgm), which is being prepared for publication in 1987. These terms appear i n the 650 fields of the records. Terms used to index the genre or format of the picture-as opposed t o the topics or themes depicted-are drawn from Descriptive Terms for Graphic mterials: Genre and Physical Gharacteristics ~ e a d i n g s ~ (gmgpc). These terms appear i n the 655 and 755 fields.

It should be noted that catalog records for original and historical graphic materials a r e not immutable: identification and description of unpublished, archival materials is necessarily a cumulative process, and data may be altered or augmented over time when it is desirable for the cataloging data t o reflect newly available information. Moreover, national standards for visual materials cataloging are still developing; thus, conventions for description and provisions for subject access w i l l evolve a s catalogers of pictorial materials s t r ive to communicate clearly the complex and often unique characteristics of graphic materials.

A more detailed description of the distinctive features of the catalogrecords c rea tedin the Prints andPhotographsDivisionandthe tools that guide in their creation w i l l be issued when the records a re distributed in the f i r s t quarter of 1987.

UK MARC RECORDS

UK MARC records come to the Library of Congress from the British Library in the UK MARC format. The Cataloging Distribution Service converts these records into the US MARC format for redistribution to subscribers t o these records. During the conversion process a + d W is added t o the 040 field. This is done autanatically by the conversion software; Library of Congress cataloging staff do not review any of these records. Consequently, no changes are made to the cataloging data; changes occur only in the machine-readable formatting of the records.

CDS DISC DISTRIBUTION PILOT PROJECT

The Cataloging Distribution Service (CDS) is continuing its efforts t o investigate the feasibility of producing LC MARC databases on CD-ROM. A s the next s tep in its research and development effort, CDS announces that a contract for the "CDS Disc Distribution Pilot Project: Implementation Phase" has been awarded t o Online Computer Systems, Inc., of Germantown, Md.

During the implementation phase of the project, Online Computer Systems w i l l work closely with the Library of Congress to design the software needed t o process LC's bibliographic and authority records i n the compact disc format; t o produce actual compact discs containing the MARC files; t o perform quality assurance testing; and to develop system and user documentation. A major part of the project w i l l include a six-month Alpha t e s t with LC. During th is period the Library w i l l evaluate the overall ut i l i ty of the CD-ROM f i les t o LC's operations a s well a s investigate the possible expansion of its distribution service t o include USMARC records in an optical format.

CDS w i l l develop four different configurations of the MARC databases:

1) The complete database of bibliographic records for a l l formats: books, maps, music, serials, and visual materials.

2) Only records i n the books format.

3) Name authority records.

4) Subject authority records.

Segal, executive director of the Association of College and Research Libraries, was the keynote speaker and identified networking concerns of academic libraries. Other speakers (Roland Brown of OCLC, Richard McCoy of the Research Libraries Group, and Henriette D. Avram of the Library of Congress) presented their perspectives in an effort t o identify a "common visionM in library networking.

Paper no. 14, The CONSER Project: Remmemhtians for the Rzture, presents the findings of a study conducted by Jeffrey Heynen and Julia C. Blixrud t o reevaluate the goals and objectives of the CONSER Project and t o recommend ways for the project t o meet the challenges of the future.
