Photoshelter is a digital photo management system implemented to improve access to the Wisconsin Union photo collection. This archive features select photos from Wisconsin Union events and location starting in 2010 through current.

Photos are organized by year and then by general event or location of where the picture was taken. Each photo has multiple keywords tagged to aid the photosearch process.

This photo archive is managed by the Wisconsin Union Marketing Department.

Who Can Access?

This is a public website and anyone can view these photos. The Union User group has permission to download large, medium and small jpgs. The Union User Group is comprised of Wisconsin Union permanent staff.

Account Set Up

Members of the Union User Group will receive an email invitation. Use the invitation link to go to Photoshelter. The email address used for invitation is the address that should be used to create the account.

Users will be asked to create a login when they first attempt to download a photo.

Search for Photos a Variety of Ways

Photos in Photoshelter have been placed in galleries that are sorted by year.

Click on “archive”, then click on “all galleries”.

In these galleries photos are grouped by event or subject matter.

Here criteria of choice can be entered. (See next page of this manual for more on keywords.)

Keyword Search

Photos are tagged with keywords to help ease the search process. Basic criteria considered for keyword tags include objective data such as: date, location, committee/department, event name, descriptive actions and name of person, when applicable. Subjective descriptors, such as emotions, are not included.

The Lightbox Feature

The lightbox allows the storage of images that are of special interest. Any image can be added to the lightbox. Comments can be left on an individual image, or on the entire lightbox. The lightbox feature is a great option when researching images for a project. Users can easily share the lightbox with their colleagues.

How to Use LightboxLogin before creating a lightbox. Note: Lightboxes can be created without logging in, but all work will be lost once user leaves Photoshelter.

On photo of choice, click, “Add to Lightbox”.

Add to an existing lightbox, or create a new one.

Click on “lightbox” to view lightboxes

Usage Guidelines

Photographs created by the Wisconsin Union are for the news and editorial needs of the university and external partners. News media may use any of the images in the online photo library for news or editorial content, both print and electronic, related to UW–Madison and the Wisconsin Union. UW–Madison departments, faculty, staff, students, and alumni may use any of the images in the library for noncommercial communication pieces about UW–Madison and the Wisconsin Union. The images are not available for generic use unrelated to UW–Madison and the Wisconsin Union.

None of the images may be modified, altered, or used in any way that changes or misrepresents the photograph’s content or overall context.
