It provides the opportunity for organisations from the programme area to work together on joint projects concerning common issues and problems. The Northern Periphery Arctic Programme area shares many common features in terms of climate, sparsity of population, natural environment, complicated topography, culture and history. The overall aim of the programme is to encourage joint projects that address the priorities for co-operation shared by the participating countries. Through the exchange of knowledge and experience it is anticipated that some of the barriers to a more balanced development of the area can be overcome. Programme status The Northern Periphery and Arctic Programme 2014-2020 started the implementation in early 2015 and is currently supporting 35 main projects and a number of minor preparatory projects. As part of the communication plan, the programme will arrange an Annual Conference on 21 st September 2017 in order to raise awareness of the Programme and to highlight Blue Growth as a theme of specific interest for the Programme area. Besides partners from the ongoing projects, the event will target local authorities, county councils, county administrations and to other similar stakeholders that are responsible for international co-ordination and European co-operation. In addition, programme bodies such as the Monitoring Committee and Regional Contact Points will join the conference. It is expected that approximately 150 delegates will participate in the event. Back-to-back with the Annual Event a Lead Partner Seminar for the 35 ongoing projects will take place together with other programme meetings. Main tasks In order to assist with arranging a successful Annual Conference on 21 st September 2017, an intern is sought. The intern will work closely with the Programme Manager for Information and Communication in performing their tasks. This post may also be suitable as a secondment opportunity. Internship at the Northern Periphery and Arctic Programme 2014-2020

In preparation for the conference

Joining the planning and programming of the event.

Assisting in organising the logistics of the event, such as the venue, speakers, transportation, accommodation, catering, etc.

Assisting with contacting and communication with key-note speakers and other contributors.

Assisting with the organising of a presentation/publication of the ongoing projects.

Setting up and maintaining the conference registration website, and assisting with registering participants, answering queries concerning the event.

Collecting suitable promotional materials and information to be used in conference packs, and assisting with formatting these materials.

Ensuring that conference packs are produced in advance of the meeting and available for all participants.

Distributing the necessary information to delegates in advance of the meeting and contribute to the successful organisation of the event.

Contributing to the production of promotional materials to be used at the meeting, such as leaflets, banners, posters, pens, giveaways, etc.

Preparing an online feedback form or participants questionnaire to gather comments on the event.

At the conference

Assisting the conference co-ordinator in ensuring that the conference runs according to plan.

Ensuring that feedback and any promotional material is captured for future use.

Assisting with social media stream from the conference.

After the conference

Compiling the information from the feedback forms and write a short report for the Programme Monitoring Committee.

Assisting the Programme Manager for Information and Communication with collecting presentations made at the conference, and developing a report with the results from the workshops and conclusions from the conference.

Other relevant tasks in the NPA Secretariat may be assigned. These tasks will typically be related to the communication activities, the website and other online platforms, a database of project outcomes, and activities in connection with a cross-programme collaboration in the Arctic.

Person specification

The successful candidate will preferably be a recent graduate and will preferably be from a university within the Northern Periphery and Arctic Programme area. They will ideally have lived in the programme area or have an understanding of the special conditions and challenges in the programme area. It would be an advantage to have some knowledge or experience of working with European regional development, or an interest in European programme management and project management.

Excellent communication skills, both verbal and written, are essential. The person should speak, read and write English fluently, be open-minded, and enjoy meeting and being in contact with new people.

The ideal candidate will have strong IT skills, and experience with creating online contents, including for social media.

What can we offer?

As well as a rewarding and challenging task, the Northern Periphery and Arctic Programme will pay a moderate allowance of DKK 10.000 per month before tax for a period of 5 months, which includes 2 weeks of paid vacation. If not residing in Copenhagen, travel costs to Copenhagen are reimbursed. The terms of a secondment would be agreed with the NPA Secretariat.

All employment related costs will be covered by the NPA 2014-2020 and a subsistence allowance will be given when travelling outside Copenhagen, Denmark. There is an opportunity to join an employer subsidised lunch arrangement.

Location

The position will be based at the Joint Secretariat’s offices in Copenhagen, Denmark at the Nordatlantens Brygge, based in Christianhavn, Copenhagen. Further information about the offices can be found on the following website: www.bryggen.dk

Contracting Period

The preferred contracting period is from 15th May – 13th October. The position is also suitable as a secondment with a more flexible contracting period.
