This year, eleven peer coordinators from across FP&M are assisting me as chair of the FP&M campaign. You should be receiving information from your coordinator soon as the campaign kicks off officially on October 10th. This is a wonderful opportunity to share your time, talents, and treasures with those in our community who need support in a variety of ways through these various non-profit groups. Our goal in FP&M this year is to increase our participation rate from 12 percent to 15 percent. Special events are being planned throughout the campaign to help raise funds to donate to the program. Be sure to watch for them and participate as you are able. Any amount of giving is extremely helpful. More information can be found online at giving.wi.gov. From the Desk of the AVC Bill Elvey, Associate Vice Chancellor Now that the students have returned and temperatures have moderated, I wanted to thank all of you for your hard work during the summer months to make sure that the University is ready for another academic year. Whether building and maintaining the University’s building and grounds, ensuring the health and safety the campus environment, providing efficient ways to move people and vehicles around campus, or planning for the campus of the future—you all play a key role in supporting the smooth and efficient functioning of the University. This has also been a season of change in other ways here at FP&M. As many of you already know, I have decided to leave the University and pursue a great opportunity as the Senior Vice President of Children’s Healthcare System in Dallas, Texas. During this transition, Margaret Tennessen will serve as interim Associate Vice Chancellor for Facilities Planning & Management. She will ensure that this transition process will be as seamless as possible while the University searches for a permanent replacement. After nearly 25 years of service, Faramarz Vakili has left the Physical Plant and retired from the University. Faramarz was the driving force behind a number of improvements, including the successful implementation of an energy and resource conservation program that both met and exceeded its program goals. We wish him well in his future endeavors. As a result of this and other changes, the Physical Plant is moving forward with an interim management plan that both accounts for the future of this position and the operations of the entire department. As with any large organization, departures are often balanced by new arrivals and promotions. Brent Lloyd has been named Director of the Space Management Office, succeeding Doug Rose who retired in April 2016. Brent is extremely well-suited to be successful as the new director and I am pleased that he has agreed to continue serving FP&M in his new role. We also recently welcomed Laurent Heller as the new Vice Chancellor for Finance and Administration. VCFA Kudos for Crew 218! The crew did a fantastic job, best work on these floors in years. We were impressed and just wanted to give proper credit for a job VERY well done. Matt Morgan, Genetics/Biotechnology Center Heller has hit the ground running and has already focused his attention on a number of key facility- and planning- related issues on campus. Lastly, I would like to reiterate Rob Lamppa’s message on page 2. We have done a great deal to revitalize the "Culture of Safety" at FP&M during my time here. Please continue to be mindful about your own safety and that of those around you as you move about campus and perform your work. Thank you for all that you do to provide excellence in facilities and services to our university community.

FP&M 2016-2017 EID PlanThe FP&M divisional Engagement, Inclusion & Diversity (EID) team recently published the 2016-2017 EID Plan Update. This plan incorporates the results of the 2016 EID survey and identifies seven priorities for increasing engagement, inclusion, and diversity within FP&M. Each priority includes a number of key actions specifically designed to further FP&M's EID initiatives, some of which having been carried forward from the previous plan, while others are entirely new.

Safety: It's the Way We WorkRob Lamppa, Executive Director–Physical Plant

Now that everyone is back on campus for the fall semester—including students, faculty, and staff—I'd like to encourage all of us to be mindful and careful as we all move around campus and do our work.

We need to remember to drive carefully and safely. Please be extra vigilant as you all go about your work. Do not assume students or other pedestrians will look out for you.

Career Resource Fair a Resounding Success!The inaugural Career Resource Fair for FP&M Frontline Staff, held in two sessions, was by all accounts a resounding success. More than 60 first-shift employees attended the August 24 session and more than 200 second- and third-shift employees attended the August 24-25 session. The fair was designed to give frontline staff information about the tools available to them—including training resources, tuition reimbursement information, English advancement options, and information about the types of positions and requirements for those positions within FP&M—to advance their careers within the division.

Each session included an exposition area where FP&M departments and units used posterboards they created to give frontline staff information about the types of positions in their unit and the requirements for these positions. These displays set the background for dozens of face-to-face discussions with the employees who staffed each display.

The centerpiece of each session was formed by a set of breakout sessions in which frontline staff could learn about training resources, tuition reimbursement, and how to apply for jobs at the University. These sessions were conducted in English, Spanish, Hmong, Tibetan, and Chinese in an effort to make this information accessible to all FP&M frontline staff.

“Frontline staff gave us excellent feedback about the fair,” said Meredith Smith. “They found value especially in tuition reimbursement information and other development resources, as well as the wide range of opportunities to advance or change careers in FP&M.”

The Career Resource Fair for Frontline Staff is a project of the FP&M Engagement, Inclusion, and Diversity (EID) initiative. The planning committee for this event was headed by Meredith Smith (Human Resources) and Rob Shively (Space Management Office), who worked with nearly fifty staff and student volunteers from across FP&M as well as representatives from Cultural Linguistic Services, the Employee Assistance Office, and Madison College to plan and execute this successful event.

2016 Brats for Tots FundraiserThe 2016 Toys for Tots campaign will start with the Brats for Tots cookout and bake sale, to be held at lunchtime on October 20 in the Fleet and Service Garage at 27 N. Charter Street. The campaign runs through mid-December.

FP&M employees will team up with Marines to sell brats, chips, and baked goods to benefit Toys for Tots, which provides toys, books, and gifts to children during the holiday season. After last year’s overwhelming response, this year’s event will more than double in size—more brats, more serving stations…with the aim of providing even more toys for more children.

Volunteer to Help!

The FP&M Toys for Tots crew is also looking for volunteers to help with and support this event. If you are interested in helping out with serving or by providing baked goods or other supplies, get in touch with Bruce Skaggs ([email protected]; 890-3730) or Nick Gullick ([email protected]; 444-9795).

In MemoriamTwo Physical Plant employees recently passed away.

Ninakynyetta Newton passed away on August 28, after a severe car accident in May. She was a second-shift custodian.

John Magnuson passed away at the end of August at age 54. He was a third-shift custodian.

In addition, two retired Physical Plant employees have passed away.

La Verne Hungerford worked for the Physical Plant for more than 40 years until his retirement in 1992. He passed away on September 1 at age 88.

Frank Rice was the director of the Physical Plant from 1970 until he retired in 1990. He passed away on May 28 at age 85.

Open Houses at 30 N. MillsThe four departments that reside on the fourth floor of 30 N. Mills held an Open House on September 14. More than 80 FP&M employees visited the new space occupied by Campus Planning and Landscape Architecture, Capital Planning and Development, the Space Management Office, and the Office of the Associate Vice Chancellor. Visiting employees learned about the Campus Master Plan Update, INSITE, the Lakeshore Nature Preserve, and other aspects of the work of the host departments.

These departments will host another Open House on September 28 for our campus customers. To invite someone, send them to fpm.wisc.edu for more information and to RSVP.

Submit Your Travel Expenses Right Away!Sally Hansen, Business Operations and Purchasing

When you travel, make sure to submit your expenses for reimbursement as soon as possible after you return. UW Travel Policy (and the IRS) requires that all travel expenses be submitted and substantiated within 90 days of the end of the trip or when the expense was incurred. Submitting your expenses as soon as possible allows FP&M staff time to process your reimbursement and make sure that you have submitted all of the required information.
