Dear Parents,

We are delighted that this summer your child will be attending Incarnation Camp. Since 1886 we have provided a fun-filled, traditional camp experience to children from all over the world. We look forward to welcoming both you and your child into the Incarnation Camp family.

Check your invoice carefully to make sure your session dates, program, and fees are correct. If anything does not agree with your records, please contact us immediately. Any balance for camp is due by May 1st.

Please also consider making a donation to the PARENT’S FUND. Our fees do not cover the full operating costs of our summer program. Fortunately, the generosity of individuals, churches, and organizations that sponsor us allow us to continue to conduct our quality programs. The PARENT’S FUND is a special fund that was set up at the suggestion of camp families. This fund helps to defray the costs of new programs and equipment. In years past, contributions were used to purchase new docks, sailboats, canoes, and allowed us to expand and equip our dining room. If you are able, we encourage you to contribute. Your generosity will help to ensure the continued growth of our outstanding programs. Any balances from your

camper’s store account that are left at the end of the summer will go into the Parent’s Fund.

This list is based on what an average camper might need for a week — plus one day when everything is in the laundry. Your child, however, is certainly not

“average”! Please let us emphasize: DO NOT BUY anything you can improvise or borrow, especially if your child is coming to camp for the first time. Send the old clothes your child will outgrow before next summer. Feel free to photocopy this list for an inventory to be included in your child’s luggage. Please write full names in all items clearly, using permanent marker or sew-on tapes. Initials are not sufficient. (NOTE: Iron-on labels come loose in the laundry.)

Please do not send the following items — they are aspects of life that don’t fit with the camp philosophy: Radios, rechargeable electronics, ipods, game boys, electronic games, hair dryers, curling irons, computers, cell-phones, skateboards, iPads.

No knives, tobacco, alcohol, or weapons of any kind are permitted at Incarnation Camp.

Health Information

Medical ProfileWe must have a current valid medical profile completed on CampDocs.com for your child to attend camp. This online form asks for information regarding your medical insurance. If a doctor sees your child, the bill will be sent directly to you so that you can file a claim through your insurance coverage. We ask for this information for emergency treatment only, not for billing purposes. A valid form consists of three completed parts:

1. Your child’s Health History must be completed and signed each year.2. A Record of Physical Examination, which has been performed within the 24 months ending on the last day of camp.

You can satisfy this requirement with a copy of a school physical or last summer’s camp examination. 3. An Authorization for Non-Prescription Drug Administration Form must be filled out by both a parent and physician.4. Permission for Self-Administration of Medication, when necessary, must be filled out and on file if your child needs to

keep any medication with him/her.

ImmunizationsYou want to be guided by your physician’s judgment, but all campers must have had the standard immunizations: DPT series (diphtheria, whooping cough, and tetanus), polio series, MMR (measles, mumps, rubella) done after age 1 plus a second MMR if camper is over 12, and tetanus boosters, if necessary. (Our camp physicians consider tetanus immunizations more than five years old as “expired” and will require a booster if your child is injured at camp.)

MedicationsThe camp Health Center stocks a wide variety of over-the-counter medications, which are used under the direction of the camp’s Consulting Physicians. We, therefore, request that you do not send over-the-counter medications to camp. If your physician wants a specific OTC medication used, he or she must treat it as a prescription.

If your child requires a prescription medication while at camp, either on a regular basis or on an as-needed basis, it must be listed on the completed health form and must be sent with the original container. Please send enough for your child’s entire stay, if possible. All information on the form must match the label on the container, including the prescribing physician’s name, the dose, and dispensing instructions. We are required to dispense medications according to label directions. By Connecticut State Law, (except in certain emergency preparations), all medications and vitamins must be kept in the custody of and dispensed by the Camp Nurse. If your child uses an inhaler, please send an extra one.

Mosquitoes & TicksWhile mosquitoes have been linked to the spread of the West Nile Virus or Triple E (Eastern Equine Encephalitis), our local Health Department says that there is not a serious health risk to our area for either at this time. The best way to prevent mosquito bites is to wear loose-fitting, brightly colored clothing, and to use insect repellent. We recommend that children use repellents that contain natural oils (such as citronella) as opposed to repellents that contain DEET. Over-the-bed mosquito netting will be available for purchase in the canteen for $15. This can be purchased in advanced on your invoice or on opening day.

At camp we stress precautionary measures. We dress appropriately in the woods, and counselors encourage campers to check themselves for ticks after hikes, during showers, and at bedtime. If a tick is removed from your child while at camp you will be notified and given further information on symptoms to be aware of. In spite of this preventative care, a child may contract Lyme disease and not manifest the characteristic symptoms before leaving camp. If your child should suffer joint pain, have symptoms resembling the flu, or develop a red, circular rash after returning home, please tell your physician that your child was at camp and might have been exposed to Lyme disease, so that the appropriate blood-tests can be done.

Head LiceWe have a “no nit” (head louse egg) policy at camp. Campers will be checked for lice by staff upon arrival. If any lice or nits are found, treatment is available on-site for a fee. If treatment is declined, the camper will not be allowed to stay at camp until found to be nit free by medical staff. Please check campers for head lice before arriving at camp, Professional treatment is costly and you may be able to effectively treat for head lice at home.

A t Incarnation Camp, we value your child’s health and safety. We take every precaution to create a safe and healthy environment. Health staff and facilities are available 24-hours per day

should the need arise. Our Health Center Registered Nurses (RNs), under the supervision of a Camp Physician, provide routine care and emergency treatment. Local physicians are on 24-hour call, and we are close to an Emergency Clinic in case of serious accident or illness. If your child is seen by a local physician or admitted to the Infirmary for an overnight stay, you will be notified promptly.

1.Can I request my child be in a tent with their friends?

We understand how important camp friendships are, and how important it is for new campers to feel comfortable in their tents. With that being said our Tent Request policy is fair and simple, we will do our best. We ask that you trust our decisions regarding friend requests and tent mates as we take many aspects into consideration when doing tent placements. If you would like your child to be with a friend please let us know in your welcome packet paperwork, and we will do our best to make it happen.

All requests must be mutually exclusive (Emily requests Jennifer, Jennifer requests Emily). Please note that having more than two children who know each other together in a tent creates a situation in which another child may feel lonely or left out. Because of the way our program works, most activities are done with the campers from the same unit. Your child will still be able to spend time with friends they already know – regardless of their tent assignment.

2. What should I pack my child’s belongings in?

We recommend that each camper bring a trunk or plastic bin, (no more than 12 inches high for under the bed, or no more than 20 inches high to go next to the bunk). These are easily stored under and around the beds in the tent. There are numerous websites on which you can find “camp trunks” all year round. Just as good as a trunk is a plastic bin with a lid. Please see the packing list included in this welcome kit.

3. How are units decided?

Units are decided by age. Woodlands (girls) and Colony (boys) are the youngest units, for campers aged 7-9. Highlands (girls) and Reservation (boys) are the middle units, for campers aged 10 and 11. Winds (girls) and Frontier (boys) are the elder units, for campers ages 12 and 13. Fourteen and fifteen year old campers attend Pioneer Village, our teen program. Campers in PV must be at least 14 years old when they begin camp.

4. When should I drop off and pick up my child?

Campers should be dropped off on the first day of the session between 2pm and 4pm.

Campers should be picked up on the last day of the session between 10am and 12pm.

5. What can we expect on opening day?

Upon arriving at camp on opening day, families will be asked to park on our Katsanis Field and leave their trunks and other belongs in their unit’s designated spot. We are a drive-free camp and all family members will be asked to walk into camp unless prior arrangements have been made. Please be sure that your camper’s name appears clearly on each item that is coming to camp. Please pack your bed linens separately and bring these items with you into camp. Our camp staff will bring all your luggage to your camper’s unit but it might take longer to get to your unit than you do (and you will want to make up your bunk!)

Your first stop after parking will be the camp office where you can pick up your mosquito netting (you can pay for this in advance or buy it on opening day for $15). Someone from our business office will be available to put additional money into the canteen (we suggest $25 for each camper for every two weeks at camp) as well. You can skip the camp office stop if you already have your mosquito netting or have already put additional money on your camper’s store account.

Next, proceed to Gibney Dining Hall (about 300 yards), where your camper will have a lice check to insure that they are lice and nit free. You will be given an arm band which will allow you into your unit once you have passed through our lice check. Once you receive your arm band you will be directed to either our Health Center or to your unit!

Need to head to the Health Center? If you have medication or other medical issues that you will need to discuss with our camp nurses, you will head to the Health Center (directly across from Gibney). Even if you don’t have medication, please feel free to stop by and meet our medical staff.

After the Health Center/Lice check, you and your camper will go to your unit! Here you will meet your counselors, as well as your tent and unit mates! Campers will pick out their bunk and families may help campers settle in by making up their beds.

Now it is time for the camp fun to begin! Parents will say goodbye and campers will be whisked away to their first fun-filled adventure! Start to finish, dropping your child off at camp shouldn’t take more than an hour (give or take). Please remember parents that the longer you stay, the harder it is for campers to say goodbye.

6. What if my child is flying to camp?

We request that all international and national air travel be planned to arrive into JFK. All travel MUST be coordinated and approved by the camp office BEFORE booking your tickets. Parents MUST pay the unaccompanied minor fee at the time of ticket purchase directly with their airline. Please send proof of purchase of the fee paid, we may need to provide this to your airline on departure day. PLEASE DO NOT MAKE TRAVEL PLANS WITHOUT CONFIRMING WITH CAMP FIRST. We do NOT guarantee airport pick ups and drop offs without pre-approval from our administrative staff. Once airport plans are approved we will make every reasonable effort to make sure your child meets his/her flight but, we cannot be responsible for events out of our control. In the event of a flight delay or cancellation we will never leave your child unattended.

7. How can I add extras/what extras are available?

To add extras to your campers experience you can give our business office a call on 860-767-0848 ext. 102. Alternatively you can mail in the ‘extras stub’ attached to your pink invoice form.

There is a Linen Package available for $70.00 (Items will NOT be sold individually). The linen package includes: 1 pillow, 2 pillow cases, 1 top sheet, 1 fitted sheet, 2 towels & a sleeping bag. Please see the EXTRAS form in Welcome Kit.

All Beach Day & Off-Site Trip spending money should be sent to camp via credit card or check before camper arrival. Please DO NOT send cash. Please see EXTRAS form in the Welcome Kit – add the amount of spending money to the total tuition, notate this on the EXTRAS form and send to camp.

All Off-Site Trips are included in the tuition. Campers may want some spending money. Please see the EXTRAS sheet in the Welcome Kit which outlines suggested amounts.

All campers must bring a sleeping bag to camp for “camp-outs”. Every camper will spend at least 2 nights sleeping under the stars with their Unit. Pioneer Village campers (ages 14 & 15) will spend several nights “camping out” on their hike, bike, or canoe trip.

8. How do I get in touch with the Director?

During the camp season we operate out of our camp office which is centrally located on the property. This is not the same physical office we use during the school year. The Camp Office is open everyday from 9:00am-6:00pm. If you need to speak with someone after office hours please leave a message in the Camp Office and we will get back to you the following day when the office re opens. In case of an emergency, you can reach an on-call senior staff member at the contact number below. If the matter is not urgent you can also email us at [email protected] and one of our team will get back to you within 24 hours in most cases. Non-urgent phone messages are also aimed to be returned within 24 hours.

A s the oldest co-ed camp in America, we pride ourselves on providing an authentic summer camping experience for your child. To preserve

the outdoor experience, we do not allow cellphones and limit phone calls to emergencies and special occasions. The following are our policies for reaching campers

TelephonesWe do NOT allow campers to receive phone calls except in an EMERGENCY or on the child’s birthday. All calls to campers should be made through the camp office. If your child is having a problem at camp, we will have the Unit Director call you to discuss the situation. If it is agreed that a phone conversation with your child will help, we will arrange for your child to call you at an agreed upon time.Our summer number is: (860) 581-4560Our main office number is: (860) 767-0848

MailWe try our best to see that your child writes weekly. You can help by providing a supply of pre-addressed stamped envelopes and cards. Our climate is very humid: stamps and envelope flaps will stick unless kept in “Zip Loc”-type bags. A small note from parents arriving every few days will go a lot farther than one or two big letters from home.

Care PackagesIf you wish to send your camper a package with such items as playing cards, books, comics, or other small gifts, that’s fine. Please do not send food or candy. Food and candy attract ants, mice, skunks, raccoons, and a host of other pests. If you send food, it will be thrown away! Any package or bulky envelope addressed to a camper will be opened in the presence of a staff member.
