Welcome to the Mobile Team Unit (MTU) Training Schedule Database. This database is hosted on the ILETSB web server for the use of the MTUs to list available training classes. It is the responsibility of the individual MTUs to enter classes, make changes to classes and delete classes. The database is searchable by visitors to the ILETSB website. MTUs will have access to add, delete or change course information from the site. You must log into the EDI system to access the MTU database administration system.

LOGGING IN To access the database you must have a digital signature. This can be obtained by requesting one from the State of Illinois click here (www.illinois.gov/pki) for more information on Digital Signatures. Click here (https://autora02.illinois.gov) to go directly to the Digital Signature Subscriber Agreement If you already possess a digital signature you can log into the EDI system. Enter your digital signature (PKI user name) in the top box. Enter your PKI password in the bottom box. Click the submit button and your credentials will be verified electronically and you will then have access to the EDI system and the MTU database. If you have forgotten your password, there is a link of the left side of the screen for forgotten passwords. Only MTU logins will have access the training database schedule, if you do not see the buttons to access the MTU database you are not logged in with an MTU id. Once your login has been verified you will see the following screen:

To gain access to the database click the MTU Training Schedules button on the right side of the screen. This will take you to the MTU Database administration screen. There are links to add a class, edit an existing class or delete an existing class.

ADDING A CLASS To add a new class, click the Add a new class link. This will direct you to the MTU Class Entry form. See example below:

Following is a description of each field and what data is to be entered into it.

MTU Enter only the number of your MTU – for example 17, Not MTU 17.

Class Name

Enter the name of the class, number of hours if desired. If the class is offered multiple times enter the date behind the name. Example, CPR – 12/12/2007, or if the class has a morning and afternoon session that you are listing as separate classes add AM or PM after the class name. Example – CPR – AM. You can type, or copy and paste this information from your word processor. Do Not use an ampersand symbol (&) use AND instead. Your class will not appear if there is an ampersand symbol (&) in the name.

Start Date Start Date for the class – Do not enter TBA for a date. If you do not have dates for a class, enter the dummy date of 1/1/2099. The class will not appear on the website until it has a start date. You can leave end date blank.

End Date End Date for the class – Do not enter TBA for a date. If you do not have dates for a class, leave this field blank.

Start Time Start time for the class. The time will be AM unless you type PM after the time. Time should be entered in 01:00 PM format. If you do not have a time for the class, leave this field blank. If the hours vary – enter the hours in the special field.

End Time End time for the class. The time will be AM unless you type PM after the time. Time should be entered in 01:00 PM format. If you do not have a time for the class, leave this field blank. If the hours vary – enter the hours in the special field.

Member Cost

Enter the tuition amount for the class – 0 for no charge. Do not enter NA use a zero. You do not have to type the $ sign, it will be formatted for you.

Non-Member

Cost

Enter the tuition amount for the class – 0 for no charge. Do not enter NA use a zero. You do not have to type the $ sign, it will be formatted for you.

Instructor Information

Enter any instructor information, this can be person(s) or company name. You can type or copy and paste this information.

Class Location

Enter the location that the class will be held. Not the MTU address (unless that is where the class is going to be held.) You can type or copy and paste this information.

Class Description

Enter a description for the class. You can type or copy and paste this information.

Special Information

Enter any special instructions, requirements, different hours for class on certain days. You can type or copy and paste this information.

Contact Information

Enter contact information for the class. This does not need to be MTU information, MTU info will be filled in for you on the class details.

When you are ready to add this class to the database click the Submit Class button at the bottom of the page. The class is not added to the database until you click Submit Class. If you want to cancel or clear the form click the Clear all fields button at the bottom of the form. Once you click the Submit Class button, the form will clear and will be ready for another class to be entered.

TO EDIT AN EXISTING CLASS To edit an existing class click the Admin button. Select your MTU from the drop down list. Click the Get Classes button, this will give you a list of all classes for your MTU. These are in date order. There will be a number to the left of the Class Name this is a system generated number to uniquely identify your class. Do not change these numbers. These are separate from any ID number each MTU might assign to their classes. Again these are generated by the database to identify your course – you don’t have to use them anywhere in your documentation. See below for an example of the classes for MTU 8.

When you find the class that you need to edit, select the Edit link to the right of the class. This will direct you to the Edit class page. See below for example.

The form will be filled in will all the details from the class you selected. Change any information you want in the form. Once you are finished with the changes click the Update record button at the bottom of the form. After clicking the Update Record button you will be directed to a page that advises your record was successfully updated in the database. To edit another class click the Search Again button.

TO DELETE AN EXISTING RECORD To delete an existing class click the Admin button. Select your MTU from the drop down list. Click the Get Classes button, this will give you a list of all classes for your MTU. These are in date order. Again these are generated by the database to identify your course – you don’t have to use them anywhere in your documentation. Click the delete link to the right of the class name. This will direct you to the Delete Class page. Check the class information to be sure this is the correct class to delete. If it is the correct class, click the Delete Class button at the bottom of the screen. You will be redirected to a page that advises Class Successfully Deleted. A word of caution – once you click the Delete Class – the class will be removed completely from the database. The only way to get it back into the database is to add the class using the above method for adding classes.
