How to setup Microsoft Outlook app to read Rights Management Services (RMS)

encrypted email on mobile device

Microsoft Rights Management Services (RMS) provides an Email encryption mechanism to protect classified

information against unauthorized access.

VTC colleagues can make use of the RMS function to encrypt email and attachment with the Microsoft Outlook

Client installed in the desktop PC. Moreover, staff can also make use of the mobile device to read RMS

encrypted email, the Microsoft Outlook app on iOS and Android allow us to read RMS encrypted email

anytime and anywhere.

RMS encrypted email CANNOT be read on built-in iOS / Android mail app or other mail app client on mobile

device. Message will be shown as below when open RMS encrypted email.

The following procedures shown how to setup Microsoft Outlook app on iOS and Android to read RMS

encrypted email.

Setup Outlook app on iOS

Step 1

Outlook for iOS requires iOS 8.0 or higher.

Download the Outlook for iOS from App

Store.

Tap “App Store” icon

Tap “Search” at bottom bar Input

“outlook” in the search bar and find

“Microsoft Outlook” Tap “GET” Tap

“INSTALL”

Step 3

Tap “Outlook” icon to start.

Tap “Get Started” to proceed.

Step 5

Setup “Outlook” to send notifications.

Tap “Notify Me” > “OK” to receive

notifications.

On the Add Email Account page, enter your

VTC email address Tap “Add Account”

Email address: <someone>@vtc.edu.hk

Step 7

Input “Password” on the Exchange Account

Details page.

Tap the at the top right hand corner to

proceed.

Tap “Maybe Later” to skip on Add Another

Account page.

Step 9

Tips are shown at the bottom bar.

Tap “Skip” to proceed.

Step 10

Email will be synchronized to the Outlook app

including RMS encrypted email. Email can be

previewed in Inbox.

Tap the email to read email content.

When open RMS encrypted email,

Permissions label shown in RED.

RMS encrypted email can be read in

Microsoft Outlook app.

Setup Outlook App on Android

Step 1

Outlook for Android requires Android 4.0.3

or higher.

Download the Outlook for Android from the

Play Store.

Tap “Play Store” icon

Step 2

Input “outlook” in the search bar Tap

“Microsoft Outlook” under the search

result.

Step 3

Tap “INSTALL” to install Microsoft Outlook

app.

Step 4

Tap “Outlook” icon to start.

Tap “GET STARTED” to proceed.

Step 6

Input “VTC Email Address”, “Server Name”,

“Username” and “Password” on Connect

Exchange page.

Email Address: <someone>@vtc.edu.hk

Server: webmail.vtc.edu.hk

Username: CNA

Password: CNA’s password

Tap at the top right hand corner to

proceed.

Tips are shown at the bottom bar.

Tap “Skip” to proceed.

Step 8

Email will be synchronized to the Outlook

app including RMS encrypted email. Email

can be previewed in Inbox.

Tap the email to read email content.
