Welcome to the third issue of How to Present! A magazine designed to give you tips and techniques for presenting your ideas in business.

We have a bumper third edition which I’m sure you will enjoy.

Siimon Reynolds is someone I deeply admire - so imagine my excitement when he said ʻyes!ʼ to being one of the featured speakers in my new How to Present - Presentation Skills Tips from the Masters CD. What kind of presenting do you do?

I present formally at quarterly state meetings with my Business Select members. I present at industry functions like the Travel Industry Education Forum and at national corporate conferences for Jetset Travelworld Business Select. But really I present and influence people all day!

What prompted you to attend Michelle's Influential Presentation Skills program?

Working in the fast paced Travel Industry my job requires me to make connections and lasting relationships while presenting, influencing and strategizing in front of groups. It's all about, "getting the right people in the room" and then making sure the right things get done with integrity. This I think, is the foundation of good, positive business relationships. Individual brand and credibility go a long way to making this happen.

Not being precious about my talents, I thought it worthwhile to seek out experts in the field of

presentation - that’s how I found Michelle. I know from a personal viewpoint I needed help with pacing and organisation or structure of presentations.

In general, what positive outcomes have you achieved from improving your presentation skills?

I enjoy the templates that Michelle has put together to guide and teach the finer points so that designing the presentation is quick and easy. She teaches you how to expand your presentation skill set quickly without anxiety and without losing your personality.

How did Michelle's program change your attitude to presenting?

THE STRONG CLOSEBY MICHELLE BOWDEN

H o w d o y o u c l o s e y o u r presentations?

Do you know what to say so that the audience remembers your message and takes the action you desire?

An important step in structuring an influential presentation is to ensure you close with strength.

Unfortunately most presenters don’t make the most of this i m p o r t a n t p a r t o f t h e presentation. The result is that the presentation ends with low energy and people can feel a bit flat. I’m sure you have heard a business presenter finish saying ‘thank you’ and then everyone just nods and gets up and leaves. They go straight back to their desk or straight on to the next meeting and don’t give another thought to the content of

that presentation they just sat through for an hour. What a waste of everyone’s time!.

I believe there are 6 critical steps to include in the close of your presentation. Let’s go through them here...

1 Other informationFirstly think about adding any extra information that you want to cover, but that doesn’t really fit in the body of your presentation. This cold be extra facts, data, interesting asides that make the content more rich and engaging. At this time in the presentation you can also give your contact details so the audience knows how to get in touch with you if they want to discuss your presentation points further. This could include your website, intranet access code or email address for example. And if you are thinking of saying ‘thank you’ at some stage in the presentation then it’s also where you say something like: ‘it’s been my pleasure speaking with you today’.

Note: ‘thank you’ implies that you ‘owe’ the audience so it’s better to just say something like ‘this has been a wonderful opportunity for us to discuss...’

Summary

You probably know that thanks to the law of primacy and

recency, your audience is more likely to remember the first or last thing you say. In fact Michael Grinder - an amazing speaking coach from the US explained to me this year that there’s some research around that suggests that people’s attention peaks when they think you’re nearly finished! So a great tip, is to say some sort of transitional phrase like: “in summary...” to spark people’s attention.

The summary should include your three key messages so the a u d i e n c e r e m e m b e r s t h e important points from what you’ve said throughout the presentation.

Call to action

This is where you ask your audience to do the thing you want them to do. It could be to ‘ e n d o r s e y o u r recommendations’, ‘implement the strategy immediately’, ‘refer you to their colleagues’ or whatever behaviour you require as a result of this presentation. Don’t be shy - if you don’t ask, they might not know you want them to do it!

Question and Answer This is where you facilitate

t he ques t i on and answe r session. Remember that most of what an ‘artful’ facilitator does h a p p e n s u n d e r n e a t h t h e awareness of the audience.

Become masterful at running the Q&A and it can be one of t h e b e s t p a r t s o f y o u r presentation.

5 Negative and Positive Consequences

This is where you explain to the audience what will happen if they do and don’t do what you’re suggesting. For detailed information on how to answer questions please read my article on how to answer q u e s t i o n s l a t e r i n t h i s magazine.

6 Closing Statement

Your closing statement should be uplifting, short and punchy and should link to your opening so the audience knows it’s the end without a slide that says: ‘the end’!

Note: It’s a good idea to refrain from calling your audience to action again in your close. They heard you at step 4 and won’t generally appreciate being ‘sold’ to!

If your energy regularly sags, or you find yourself reaching for a cup of coffee or sugary soft drink each afternoon, try a peppermint pick me up. The distinct smell and taste of peppermint has been known throughout many traditions to stimulate the brain, helping it to 'spark up and focus'. Peppermint stimulates alertness and performance, particularly with respect to jobs that involve more detailed tasks.

Suggestion:1. Burn some peppermint oil in a diffuser at home or work - it’s the smell of peppermint that is what does the trick.2. Drink peppermint tea3. Eat something pepperminty – mints/gum - if you can find without all the rubbish in them!

* Most ‘peppermints’ involve lots of chocolate or sugar, and little peppermint, but as an occasional afternoon tea treat, go for it. A little ‘treat’ now and then is always good!

I went for a walk recently and this hilarious dog decided I should play ball with him. The thing is, I don't do 'ball' especially wet, slobber covered tennis balls. He was very persistent and continued to drop and throw it at me as I walked on. I couldn't help but laugh. This went on and on and on until I found him so cute (he did resemble Lassie) I had no choice but to throw the damn ball.

Gentle persistence in a playful way can be a far more effective way to get the sale. Make sure your meeting or pitching style is more Lassie than Pitbull.

I have noticed lately that so many people are so focused on what outcome they are going to get from a meeting or pitch that they miss the opportunity to just ‘catch up’ with people. They are so aggressive about having an agenda that they don’t connect.

How about instead of going to meet a potential client with an attachment to what you ‘expect from the meeting’ such as potential business or a sale, you instead just went to ‘catch up’ and get to know each other?

For me the appointment to catch up with someone is an opportunity to open up a relationship but I don’t define the type of opportunity I expect from the relationship. It could be that instead of getting a sale, I get a learning experience, a friend, a mentor, or a sale. Or I may get nothing. Instead I may give to them in the way of mentoring, coaching or learning. !Sometimes I’m giving and sharing my skills and advice and helping them, and other times they are helping me. It comes back in different ways that may not always be tangible but when you give freely it does come back.! So go have a couple of coffees and drinks with potential clients and see what happens when you let go of the attachment and are just catching up for the sake of catching up and getting to know each other you will see that you will always get something but it may not be what you were expecting.

1. Know your subject – we all know expertise when we see it.

2. Prepare, know your audience, get there early and even stand in the space.

8. In a board presentation use short slides and a handout.

9. If you’re being introduced by someone, include some proof of your credentials and some of your personal qualities in the intro you give them to read out.

10.Keep technical information simple so people can understand you, and use a summary.

POWERPOINT TIPS

Ever felt confused about where to look in a presentation? Do you look at the slides or the presenter?

ITʼS CALLED COGNITIVE OVERLOAD

Australian research lead by Professor John Sweller at the University of NSW has uncovered a theory known as the "cognitive load theory". It suggests that the human brain processes and retains more information if it is digested in either verbal or written formats, not both (SMH Patty 2007). "The use of the PowerPoint presentation has been a disaster," Professor Sweller said. "It should be ditched." Further, he suggests that diagrams can be useful, but it is not effective to say the same words that are written on the slides because it is putting too much load on the mind and decreases the audience's ability to fully comprehend what is being presented. If you have graphs, diagrams, bullet points or words on your slides, it is important to understand Sweller's theory of cognitive load. To avoid 'cognitive load' or what I call 'split attention', ensure the audience is clear that they should either be looking at you (as you 'claim your space' and engage them from the middle with the screen image blanked out). Or, you give permission to the audience to look at the screen (as you stand out of the way and allow them time to read the slide).

POWERPOINT SECRET: To blank the screen simply press 'B' key on the keypad.

As a presenter you are in control. In fact, you are in control of three things:

1. Your self2. Your message3. Your environment

You are in control of your self:

When presenting you are in control of the clothes you wear, the way you move your body and the way you choose to speak and use your voice. You are also in control of the mental approach you bring to your presenting. In other words, you are in control of the ‘self talk’ that you have going around in your head.

You are in control of your message:

This means you are in control of the words you choose to use to articulate your perspective. I believe there are 13 language patterns that should be included in every influential presentation.

You are in control of your environment:

You are in control of they way the room is set up, where the PowerPoint screen is, where people sit (including who has their back to the beautiful view from your meeting room window), how hot or cold it is plus much much more.

If you take control of all three of these elements you will maximise the likelihood of changing your audience’s behaviour - which is why we present in the first place.

ANSWERING QUESTIONS WITH FINESSEBY MICHELLE BOWDEN

The question and answer (Q&A) session is a part of the presentation that makes many people feel nervous. After chatting about this with hundreds of people, I think the nervousness comes from uncertainty about what the audience might ask. I know that many people feel the Q&A is difficult to control, and no one wants to look like a ‘goose’ in front of their audience because they can’t control the presentation or don’t know how to answer a question.

As a presenter, our role is generally to assist our audience to be relaxed, engaged and attentive throughout the Q&A and there is a real art to questioning.

It’s a good idea for you to learn to facilitate the Q&A so you showcase your professional expertise and make the Q&A section of your presentation a really interesting and engaging part of your overall presentation event. So let’s look at how you might ask for and then answer questions so the Q&A ends up being one of the highlights of your presentation.

There are 4 steps you can use to ensure you help and impress everyone as well as maintain rapport with everyone in the group throughout the Q&A section of your presentation.

Acknowledge the question asker

For Example: ‘Important question Geoff, and the reason it's important is because....’ This is called giving status, it’s where you compliment the question asker and make them feel special.

Paraphrase

This is where you repeat the question in your own words. You do this in case the audience didn't hear the question and also to ensure that you heard the question and understood it correctly. Plus of course, it also then buys you some more time to think of a good answer! Remember to also open your eye contact and body language out to the group as you repeat the question.

Answer

Answer the question in an organised and structured way so it's easy for everyone in your audience to understand what you have said.

Check/confirm

Check the ‘asker' is happy with your answer. You might like to nod your head or give some direct eye contact.

Try these four steps when answering questions in your business meetings and presentations and notice how much more thorough and easy it is for your audience to stay engaged!

Like a house requires maintenance, looking your professional best does not happen by itself. You need a plan and a budget plus a focused shopping trip every now and then. Building a wardrobe that works is about shopping smarter not harder.

Three tips for wardrobe success!Don’t buy anything unless it goes with four other items in your closet.

Have you ever stared at your closet wondering

how you ended up with such a miss-match of pieces? Before you know it half of your morning is wasted and you end up wearing the same thing day in and day out!! A good wardrobe is the one that allows you to create many looks in no time. Remember the old saying? Proper planning prevents poor performance.!!

Do your major shopping twice a year. Add on

inexpensively when you see something you like. Well planned shopping is much easier than you think. Just before a change of season, new stock hits the stores. That’s when you need to do your shopping, not when the sales are on as there will be nothing decent left.!So, right now I invite you to take a pen, open up your diary and block one day in September (your Spring/Summer update) and one day in March (your

Autumn/Winter update) for shopping!!

When the time comes, you simply need to do a pre-shopping planning session to separate your ‘wardrobe needs’ from ‘your own wants’. Write it down, keep it close to your heart and make sure you don’t buy a thing unless it’s on your list and of course... unless it goes with four other items in your wardrobe.!

As the time goes by, you may bump into something nice that you love to death. Can you buy it? Of course! Just make sure it does not put a hole in your budget. It’s good to be spontaneous when you have a system already in place.

!Buy quality not quantityWe all have more

important things to spend our money on than clothing. Kids’ education, mortgage payments, grocery bills... the list goes on. If you buy well, however, that is one quality garment instead of five poor ones, you will actually save thousands of dollars in the long run.!

Light grey is also appropriate during Summer and is a popular fashion choice for Spring/Summer 2010.!The double-breasted jacket has made a huge comeback.!Summer is the perfect time to add some patterns into your closet. This year choose a pinstripe.!One button in a single breasted jacket is very fashion forward. Two buttons are the best. Three buttons are harder to pull off – works best for taller men. An interesting belt. If your body shape allows, wear a

belt with your suit jacket, day time dress or tasteful knit. Choose a striking colour if you want to add individuality to your outfit or a neutral hue if your intention is to define the waist.1

What kind of presenting do you do at work?

The kind of presenting I do for work is one on one presenting, mostly when meeting prospective clients to advise them on!the process involved in selling their!home.!As you may have guessed I work in the!Real Estate Industry as a Real!Estate Sales Agent.!What prompted you to attend Michelle's Influential Presentation Skills program?

Having worked in the real estate industry for over 14 years and being involved in hundreds of property transactions, I felt like I had a!good understanding on what is required to achieve the best price for a property. Having this knowledge at hand, I really wanted to do something with it and provide many!homeowners with tips and recommendations on how they could get the best return on their property. So I decided I was going to hold a Seminar called "How to Maximise Your Property

Value" where I was to be the Host and Presenter for the evening.!When the conference room was booked for my Seminar and the date confirmed, reality kicked in very quickly..... I felt nervous and anxious about the fact that in five weeks time I was to stand up to talk to the!50 people that had booked to attend. Parents Corner is a dedicated section designed to give adults tips for equipping their children with one of the most fundamental skills they can develop in life - the skill of public speaking.

If your children fear public speaking there’s lots of things you can do to help them.! You can assist your child or children to be confident public speakers by following a few simple tips.

Nervousness or Excitement

Did you know that it’s the exact same physiological experience in your body whether you’re nervous or excited?! The only thing that determines whether it’s a good or bad experience is the word you choose to use to describe it?! So that means that some children will call it excitement, others will call it nervousness, some children will dread speaking to their class, others look forward to it.! So as a parent you can play an important role in helping your child ‘re-frame’ the feeling by helping them to stop calling the feeling ‘nervous’ and calling it a more positive word such as ‘excited’ or ‘pumped’!! In our family we call it funny tummy!

Many parents say to me “how can I help my child to reduce their fear of speaking Michelle?! You see I hate speaking and couldn’t do it myself so I don’t know what to do to help my child”.! Sound familiar?!

Of course a key role we play as parents is to role model the behaviour we want to see in our children.! Be sure not to ever talk about how nervous YOU get before a workplace presentation in front of them – they’ll use you as their role model and will seek to copy you throughout their life.! So maybe it’s time for you to work out how to kick you own nervousness as a presenter!! Make sure you help them be disciplined enough top practice and practice.! Then, keep telling your children that they have done the work and they’ll be great. Encourage them to believe in themselves and to tell themselves that they can do it.

A wonderful confidence coach and friend of mine, Kathryn Orford www.theconfidencecoach.net.au does this fantastic exercise with kids where she gets them to imagine the nervousness or fear as a little ball in their hands and then throw the ball with both hands into the sky and say “whoosh” really loudly as through you are throwing away the negative emotion and this definitely works for many people. Try this with your child and see if they can “whoosh” away their fears.
