INFORMATION Historic Royal Palaces Hampton Court Palace, Surrey, KT8 9AU, UK www.hrp.org.uk Contact: Development Team on [email protected] Historic Royal Palaces is an independent charity that looks after the Tower of London, Hampton Court Palace, the Banqueting House, Kensington Palace and Kew Palace. Our aim is to help everyone explore the story of how monarchs and people have shaped society, in some of the greatest palaces ever built. Although the palaces are owned by The Queen on behalf of the nation, we receive no funding from the Government or the Crown, so we depend on the support of our visitors, members, donors, volunteers and sponsors. The term “supporters”, where used in this policy, denotes Corporate Sponsors, Grant-giving Trusts, Individual donors, Legators and other forms of income received by the Development Team. “Prospects” are those who are being targeted to become a supporter. 2. COMMITMENT TO ADDRESS ETHICAL ISSUES We actively seek opportunities to work together with supporters to achieve shared objectives. However, it is vital that we maintain our independence and do not allow external partnerships to bring the name of Historic Royal Palaces into disrepute. Historic Royal Palaces therefore, so far as is practical and within the constraints of UK law; Seeks to work with supporters that do not compromise the independent status of Historic Royal Palaces. Ensures that the activities of supporters that we work with are consistent with our organisational values. This policy has been devised to ensure clarity and openness to all our stakeholders. 3. AVOIDANCE CRITERIA Partnerships with supporters will be avoided where it can be reasonably concluded that such a partnership will be inconsistent with our values or where it is an ‘industry standard’ to not accept support from them. Otherwise, avoidance will be determined according to the processes detailed in Section 4. 4. ENGAGEMENT AND PROCESS Historic Royal Palaces believes that benefits to both partners (HRP and the supporter) can be delivered satisfactorily within the context of this policy. All

partnerships with supporters will be established through a formal process that acknowledges and makes use of this policy. All prospects are reviewed, prior to negotiations commencing, to establish whether their activities are consistent with our organisational values. This review may include seeking the views of Executive, Campaign and Trustee Board Members. Further opinion may be sought from stakeholders, government and Royal Household (It is particularly acknowledged that a supporter that HRP identifies might have a link or connotation that the Royal Household might find particularly difficult). Areas for consideration may include: responsible employment practices; best corporate governance practice (including tax practice); conscientiousness with regard to human rights; sustainable environmental practice; and sensitivity towards the communities in which the business operates. Every best endeavour is taken to ensure that the benefits that HRP offers its supporters are ‘industry standard’. In addition, all benefits packages comply with legislation pertaining to benefit thresholds, tax, bribery, corruption and similar. In addition, where necessary, the views of Executive, Campaign and Trustee Board Members are sought on the content of benefits packages. Views and signoff are always sought where the value exceeds £50,000. Contracts with supporters must permit Historic Royal Palaces to withdraw from any relationship where new developments mean that areas of this ethical fundraising policy become breached. If HRP has accepted funds from a source that subsequently transpires to have been illegal the presumption is that HRP will withdraw from the relationship and return the funds immediately. After necessary consultations have been carried out and the recommended course of action remains unclear, the final decision sits with the Chairman, on behalf of the Trustees, in consultation with the Chief Executive. All aspects of HRP fundraising are regularly examined by HRP Internal Audit and included on the HRP Risk Register. All HRP Staff and Trustees are bound by contract to not bring the organisation into disrepute. 5. TRANSPARENCY A full list of supporters giving over £500 will be maintained on our website unless anonymity is requested. Historic Royal Palaces will communicate its commitment to this policy to the organisation's stakeholders.
