This is the Human Resource Maintenance Menu. We will look at some items in the menu to familiarize you with the Human Resource setup.

This is the job code maintenance function. It allows you to classify all jobs and who those jobs report to. We also provide space for a description of the duties involved with the job.

The human resource package is programmed with 5 miscellaneous maintenance functions. We allow the user to define these programs for any purpose they deem necessary.

The H/R control file is used to define your company. The five Misc codes are used to define the code names for the five miscellaneous programs. Default codes are added for ease of entry. The version of the H/R package is crucial in order to insure that the correct information is being updated (st/prov or SSN/SIN).

Benefit Code maintenance is used to set up employee benefits. It is formula based and defines the employer share for employee’s and their dependents and it defines the employee portion or deduction. This function will create employee fixed maintenance records in the payroll system. The EBD-nos to be used are determined here as well.

This screen of benefit code maintenance allows you to define the criteria for eligible employees. You may specify seniority or start date, age. active or terminated flags, followed by personal criteria. When the Apply Benefits function is run, those employees who fall into this criteria will get employee fixed records, one for the employer share and one an employee deduction.

The other criteria screen of benefit code maintenance is to be used for any other type of criteria you may wish to set up. For instance if you wish employees to receive their benefits after 6 months of work, you may set up keywords to test the current date against their date of hire. This will ensure that the employee fixed maintenance records will get set up only after 6 months of employment.

If you wish to preview which employees will be receiving an employee fixed record, use the simulate switch on the apply benefits function. The simulate switch will show you which employees will be updated without actually updating them.

Applicant Tracking will look very similar to employee maintenance for those of you using our payroll package. The first screen allows you to set up the name and address of the applicant.

Employee skill entry is useful for keeping an accurate and date reflected skill history for each employee. This is extremely useful in factory type situations where an employee may be skilled in more than one field (ex. welding, painting etc...). When a position becomes available a browse through this file will anticipate who is eligible for the position.

Employee Education entry is a history of the employee’s education including the years attended and whether any degrees or certificates were obtained.

Employee injury entry is used to track injuries. This is useful for injuries that occur on the job in order to provide detail for the workers compensation board.

The salary can be tied to a salary level which may be setup with a predetermined amount. Maybe all clerks are to be set up with the same salary for instance. In that case you would set up a job-code called clerk and you would assign salary levels depending on how you wish to classify the different ranges. The salary level amount can be overridden during the entry process for special cases where the employee does not get paid the same as other clerks within their level.

We did this in the H/R Control File Maintenance program where Misc code 1 was changed to mileage. Throughout the system now that field will be referred to as mileage. Using the HyperTools function called menu maintenance you can also change the name of the function from Employee Miscellaneous 1 Entry to any name you wish to use this function for. In our example we could change it to Mileage entry.

The employee vacation scheduling entry program is useful on a managerial level for keeping track of who is taking which weeks of vacation. You can also have this information transferred from the payroll package after the employee has been given their vacation check.
