Introduction

About this manual This manual provides instructions for installing an eCopy ScanStation and configuring it for use with a Canon imageRUNNER. When combined with an imageRUNNER, your eCopy ScanStation provides a convenient, low-cost solution for creating electronic versions of paper business documents and distributing them easily and at virtually no cost.

Checking your shipment Your eCopy ScanStation includes everything you need to use your Canon imageRUNNER for network scanning. Carefully unpack all the items you received and check the contents against the list below. If anything is missing or damaged, please contact eCopy Technical Support immediately.

All eCopy ScanStations include the following items:

> eCopy PC

> Flat panel touch screen display with cables

> eCopy Standard Support registration form (must be submitted to receive technical support and software upgrades)

> Power cord (for North America only)

> Keyboard (only required for initial configuration)

> Network cables (one 8-inch and one 6-foot)

> Software and documentation for the installed hardware and software

> Panel and PC mounting hardware (see pages that follow for details)

> CPU cover/stand

> Mouse

In addition, imageRUNNER 210/330/400 configurations include:

> Scan board (including SCSI terminator) with installation instructions

> Scanning Utility Kit

> 6-foot SCSI cable

Do not throw the packing materials away. You may need them later if you have to ship the computer or the touch panel for repairs.

You need the serial number for your eCopy ScanStation and your eCopy software for you to receive support and maintenance. See “Obtaining technical support” on page 6 for information about your serial numbers.

Other equipment you will need You will need the following equipment:

> Philips screwdriver

> Standard (flat) screwdriver (required for some installations)

> Pencil (required for some installations)

> Soft lint-free cloth

> Mouse (optional)

Safety instructions and warnings Please observe the following safety instructions while working with your eCopy ScanStation:

> This equipment has been tested and found to comply with the limits for a Class A digital device, pursuant to part 15 of the FCC Rules. These limits are designed to provide reasonable protection against harmful interference when the equipment is operated in a commercial environment. This equipment generates, uses, and can radiate radio frequency energy and, if not installed and used in accordance with the instruction manual, may cause harmful interference to radio communications. Operation of this equipment in a residential area is likely to cause harmful interference in which case the user will be required to correct the interference at there own expense.

> Plug the computer into a properly grounded electrical outlet. Outside of North America you will need to supply a rated power cord.

> This is a Class A product. In a domestic environment this product may cause radio interference in which case the user may be required to take adequate measures to shield this product.

> This device complies with part 15 of the FCC Rules. Operation is subject to the following two conditions: (1) this device may not cause harmful interference, and (2) this device must accept any interference received, including interference that may cause undesired operation.

> To protect your computer from possible damage due to spikes in electrical power, use a surge suppressor or uninterruptible power supply. eCopy ScanStation is rated at 100–240V at 2.7A.

> Make sure all cables are located where no individual will stand on or trip over them.

> Switch off the computer and wait 5 seconds before connecting or disconnecting any cable or device.

> Disconnect cables by pulling on the connector rather than the cable itself. When connecting cables, make sure the pins line up correctly before applying pressure to the connector, as pins are easily bent.

> Always switch off and disconnect the computer and any attached devices from their electrical outlets before attempting to work inside the computer.

> Wear a grounding strap or touch an unpainted metal surface on the computer’s chassis before touching anything inside the computer.

> Be particularly careful when handling the touch panel. It is a delicate device that can easily be damaged if dropped.

> Never use any liquid or aerosol cleaning product on the computer or the touch panel. To clean, wipe with a damp, lint-free cloth.

Before you begin Deciding which scan functions to support

ShareScan (software is pre-loaded on the eCopy ScanStation) supports the following scanning functions:

> Scan to Desktop: Routes the scanned image to the user’s desktop.

> Scan and Mail: E-mails the scanned image using your existing e-mail application.

> Scan and Fax: Faxes the scanned image using a third-party network fax server.

> Scan to Printer: Prints the scanned image on a designated printer.

> Scan to File (eCopy Quick Connect): Sends scanned documents to a predetermined network folder or FTP site.

Please determine which functions you plan to implement. You can install and remove functions as needed.

Registering your eCopy ScanStation In order to receive technical support from eCopy, you must register your eCopy ScanStation and ShareScan software. To register, connect to www.ecopy.com from your Web browser and click Support > Product Registration.

Obtaining technical support Technical support is available to registered users from eCopy during the warranty period or for the duration of your software support and maintenance agreement (contact your supplier for details).

When calling eCopy Technical Support, please be at your computer with your system powered on and be prepared to provide the technical support representative with the following information:

What to have What it is

eCopy serial number This number is used for eCopy ScanStations, eCopy ShareScan, and eCopy Desktop. It should be 10 alpha-numeric digits long, beginning with “D” (this should not be confused with the Microsoft licensing label or the HP PC serial number). The serial number is printed on stickers located in the following areas: on the eCopy ScanStation PC, on the shipping box, on the inside packaging box, and on the first page of the user manuals.

eCopy software version The version and release of the eCopy software currently being used. You can find the version and release number of your installed eCopy software in the ‘About…’ selection in the application Help menu

Operating System The operating system version that the eCopy software is running on along with any network information that can be provided

3rd Party Products A list of 3rd party applications that are used in conjunction with eCopy products, such as Microsoft Exchange/Outlook, Lotus Notes, Captaris RightFax, iManage, Domino.Doc, etc

Problem Description A detailed description of the problem, steps to reproduce it and exact wording of any error messages

Mounting the touch panel

The sections that follow provide instructions for mounting the touch panel. Please ensure that you follow the instructions for the imageRUNNER model you are using.

imageRUNNER 210/330/400 with A1 feeder Note: If you ordered the bracket for the optional B1 feeder, follow the instructions on page 9.

1 Install the scan board according to the instructions that came with the board.

2 Make sure the computer and the imageRUNNER are switched off.

3 Remove the two screws to the left and right of the automatic document feeder’s power cord on the back of the imageRUNNER:

4 Insert the two mounting screws that came with the touch panel and tighten them about half way.

5 Position the touch screen mounting bracket over the mounting screws as shown:

6 Use a pencil to mark the position of the front edge of the mounting bracket on the top of the copier’s automatic document feeder. Then remove the mounting bracket.

7 Separate the Velcro strip. Then remove the backing from the soft strip and attach it to the automatic document feeder just behind the pencil line. Make sure not to cover the removable panel with the Velcro:

8 Attach the matching strip to the underside of the mounting bracket to line up with the soft strip that is now on the feeder.

9 Position the mounting bracket over the two mounting screws and tighten the screws.

10 Locate the four bracket-mounting screws and remove them.

11 Hold the touch screen panel face forward with the cables coming from the bottom left of the

panel and pass the cables between the left side of the bracket and the feeder tray.

12 Align the touch panel with the bracket and secure the screws:

2 Make sure the computer and the imageRUNNER are switched off.

3 On the right-hand side of the imageRUNNER, beneath the edge of the feeder, locate the three screw holes identified in the picture below:

4 Use the three mounting screws that came with the touch panel assembly to attach the bracket to the imageRUNNER as shown:

5 Locate the four bracket-mounting screws and remove them.

6 Hold the touch screen panel face forward with the cables coming from the bottom left of the

panel and pass the cables between the left side of the bracket and the feeder tray.

7 Align the panel to the bracket and secure the screws. Attach the cable to the underside of the bracket with the cable clip and tie strap provided.

2 Remove the barrel screw(s) used to attach the manual document holder:

4 Attach the touch panel to bracket using the same screws.

7 Open the copier lid and remove the three screws from the right side along the glass. You will not be using these screws for this installation. In addition, you may have to remove the barrel screw from the screw hole cap.

9 Attach the panel mounting brace to the imageRUNNER with the pan head screw.

10 Attach the panel mounting brace to the panel mounting bracket with the round head Philips

screw.

11 Verify the placement of the touch panel, the bracket, and the brace.

12 Place the touch panel cable between the bracket and brace. Then attach the cable to the

bracket using the tie strap and secure it through the mounting holes.

7 Open the copier lid and remove the three screws from the right side along the glass. You will not be using these screws for this installation. In addition, you may have to remove the barrel screw from the document tray holder.

9 Attach the panel mounting brace to the imageRUNNER with the pan head screw.

11 Place the touch panel cable between the bracket and brace. Then attach the cable to the bracket using the tie strap and secure it through the mounting holes.

2 Remove the long panel on right side of the flatbed by removing the screw beneath the plastic covering.

3 Remove the two screws located beneath the panel, as shown below:

4 Remove the panel from the right side of the imageRUNNER by sliding it to the right:

5 Remove the two screws on top as indicated in the picture below:

Save these two screws, as you will need them later in the installation.

6 Locate the four bracket-mounting screws on the back of the touch panel and remove them.

7 Attach the touch panel to bracket using the same screws.

8 Hold the touch screen panel face forward with the cables coming from the bottom left of the

panel.

9 Align the touch panel with the bracket and secure the screws.

10 Place the bracket where the panel has been removed and secure it on top with the two screws you removed earlier, and on the side with the two round head Philips screws that came with the bracket.

6 On the back of the bracket, loosen the screw on the J-clip.

7 Slide the bracket onto the back-right corner of the copier.

8 Make sure that the edge of the bracket is flush with the copier.

imageRUNNER C3200 1 Make sure the computer and the imageRUNNER are switched off.

2 Attach the brace to the bottom of the bracket with the 12mm round head Philips screw provided.

3 Open the copier lid. Remove the following screws:

> two Phillips screws from the right side along the glass

> the Philips screw on the side of the document reader panel

> the Phillips screw from the right side of the document tray holder

> the screw on the side of the copier above the document tray holder

4 Place the bracket on the side of the glass and secure it on top with the two flathead Phillips

screws provided, and on the side of the document reader with a 19mm pan head Philips screw (provided).

5 Secure the brace to the document tray holder with a 19mm pan head Philips screw

6 Locate the four bracket-mounting screws on the back of the touch panel and remove them.

Connecting the ScanStation

Connecting the touch panel, keyboard, and mouse 1 Make sure the computer and the imageRUNNER are switched off.

2 Use the supplied power cord (for North America only) to connect the computer to a grounded electrical outlet.

Note: This unit does not ship with a power cord on international versions. Please use only an approved power cord rated for this system in accordance with your country’s electrical regulations.

3 Connect the supplied keyboard to the keyboard ( ) port on the back of the computer. You can remove the keyboard when you have finished configuring the machine.

4 If you want to use a mouse during the initial machine configuration, plug the mouse into the mouse ( ) port on the back of the computer. A mouse is not required since you can use the touch panel’s integrated pointing device.

5 Connect the cables from the touch panel to the 44-pin video connector and the left serial port on the back of the computer and tighten the thumbscrews.

Note: eCopy ScanStations for imageRUNNER 210/330/400 configurations include the SCSI adapter shown in the picture above. ScanStations for other imageRUNNER models do not include the SCSI adapter.

Connecting the SCSI cable (imageRUNNER 210/330/400 only) eCopy ScanStations for the imageRUNNER 210/330/400 include a SCSI board. A 6-foot SCSI cable is included with the ScanStation.

To connect the SCSI cable (imageRUNNER 210/330/400 only):

1 Connect one end of the supplied SCSI cable to the SCSI port on the back of the computer, taking care not to bend the pins:

2 Connect the other end of the SCSI cable to the SCSI port on the back of the imageRUNNER.

You may use either of the SCSI ports on the imageRUNNER, but the unused port should have a terminator (included with the scan board).

Connecting the network cables The ScanStation computer includes an internal 3-port hub that allows you to connect the eCopy ScanStation and the imageRUNNER to a single network jack. If there is an extra wall jack available, you do not need to use the internal 3-port hub.

To connect the network cables:

> If there is a free network jack near the eCopy ScanStation:

> Connect the supplied long Ethernet cable from the network wall jack to the PC’s integrated network port, as shown below. The internal 3-port hub is not required in this configuration.

> If there is no free network jack:

1 Remove the copier’s network cable from the wall jack and connect it to the left port on the internal 3-port hub.

2 Connect the supplied long Ethernet cable from the network wall jack to the uplink port on the right of the internal 3-port hub.

3 Connect the supplied short Ethernet cable from the middle port of the internal 3-port hub to the PC’s integrated network port.

Configuring the ScanStation software

You can configure the ScanStation to use a static IP address or obtain an IP address from a DHCP server. TCP/IP is configured to use DHCP by default. If you need to assign static IP addresses, obtain an address for each ScanStation from the network administrator. If using static IP addressing, you will also need the subnet mask, default gateway address, and DNS server address.

2 Computer name Every computer on the network must have a unique name. Assign a name to each ScanStation according to the naming conventions in use at the site.

If you are installing multiple ScanStations on a Windows NT 4.0 network, ask the network administrator to create a computer account on the domain controller for each ScanStation. This permits the installer to configure the ScanStation to join the domain without requiring domain administrator rights. This is not possible if you are using Active Directory.

3 Network login name Each ScanStation must be logged onto the network during normal operation. Ask the network administrator to create a user account called “sharescan” and use this for all ScanStations (see “Creating a network login for the ScanStation” below).

4 Network password Record the password associated with the “sharescan” network user account.

Creating a network login for the ScanStation Note: You must be a network administrator in order to perform this step.

Each ScanStation must be logged onto the network during normal operation. Create a network user account called “sharescan” and use this for all ScanStations. The account should have basic user rights. If you plan to implement “Scan and Mail” or “Scan and Fax,” the account must have associated e-mail and fax accounts. If you have multiple ScanStations, check the policy that determines number of concurrent logins that are permitted (you may need to modify the policy or create additional accounts).

If you are working in a mixed Windows/Novell environment, create accounts on the domain server and NDS. It is important to use the same user name and password in both environments.

Installing the system software Note: If you are using an imageRUNNER 210/330/400, you may see the “New hardware found” window during the software configuration procedure when Windows detects the SCSI adapter card. If you’re prompted to restart your computer, please do so right away.

To install the system software:

1 Switch on the imageRUNNER and wait for the warm-up cycle to complete.

2 Switch on the computer using the power switch on the front of the unit.

3 When the “Welcome to Windows XP (or Windows 2000) Setup Wizard” window displays, click Next.

4 In the “License Agreement” window, read the Microsoft license agreement. To proceed, select I accept this agreement and click Next.

5 In the “Regional and Language Options” window, verify the localization settings. If necessary, click Customize to change the default settings. Then click Next.

6 In the “Personalize Your Software” window, complete the Name and Organization fields. Then click Next.

7 In the “Your Product Key” window, enter the product key from the Microsoft sticker on top of the ScanStation PC. Then click Next and wait for the machine to restart automatically.

Note: The setup process automatically assigns a randomly generated computer name and sets the administrator account password to “password”. You can change these later in the ScanStation configuration process, as described on page 53.

8 When the machine reboots, the language selection screen may display if your version of ShareScan supports multiple languages.

Note: You may have to touch the language selection screen to bring it to the foreground.

9 Select the language you want to use. Installation of the ShareScan software begins.

Note: If you select the wrong language or need to restart the installation process for any reason, you can do so by clicking My Computer > OS (C:) > Disks > InstallMenu and then double-clicking the InstallMenu icon.

10 At the Welcome screen, click Next. The Select Components window displays.

11 Select both eCopy ShareScan components.

12 Click Next. The Network Directory Path window displays.

13 Leave the default setting. You can change the Scan Inbox location later.

14 Click Next. The following error message displays:

Click OK. You can configure these groups later. Details are provided in the ShareScan Administrator’s Guide. If you are using automated Scan Inbox Management (SIM) or are not implementing the Scan to Desktop function, these groups are not required.

15 Next, the Components window displays.

Select the components you want to install. Since you can selectively disable functions later, we recommend that you install all components.

16 Click Next. The ShareScan Settings window displays.

17 Click the Scanners field and select the appropriate driver:

> For the imageRUNNER 210/330/400, choose Canon Image Runner 210/330/400.

> For all other imageRUNNERs, choose Canon Network ScanGear. > For color scanning on the C3200, choose TWAIN Color Network ScanGear.

Leave the default settings for the other fields. You can configure your other applications later from the ShareScan Administration program.

18 Click Next. The Scan Inboxes window displays.

If your site is already configured to use eCopy’s automated Scan Inbox Management, select Use Scan Inbox Management; otherwise, select Use ShareScan Created Inboxes – you can change your selection later from the ShareScan Administration program. Then click Next.

19 In the next setup window, select the program folder for the ShareScan icons and click Next.

20 When the installation completes, click Finish. Then click Yes to restart the computer. When the computer restarts, ShareScan launches automatically.

21 If you configured ShareScan to use Network ScanGear, a “No scanner is selected for scanning” message displays.

If you see this message, click OK.

22 When ShareScan starts, press Esc to close the ShareScan window.

Configuring your networking software The eCopy ScanStation has the following network components installed:

> Client for Microsoft Networks

> File and Print Sharing for Microsoft Networks

> Internet Protocol (TCP/IP)

> QoS Packet Scheduler

You can configure the ScanStation to work in domain-based Windows networks and Novell networks using static or dynamic IP addressing. Follow the appropriate instructions below.

Configuring TCP/IP (static IP addresses only) The ScanStation is initially configured to use DHCP (“Obtain an IP address automatically”). If the network administrator has indicated that the ScanStation should use a static IP address, you must configure TCP/IP to use the address provided.

To configure TCP/IP to use a static IP address:

1 Click Start > Control Panel > Network Connections.

2 Select Local Area Connection and then click File > Properties.

3 Double-click Internet Protocol (TCP/IP).

4 Select Use the following IP address.

5 Enter the IP address, Subnet mask, Default gateway, and Preferred DNS server.

Note: You can also enter the Alternate DNS Server address if provided.

6 Click OK and then click OK again to close the Local Area Connection Properties window.

Joining a domain (Windows and mixed networks only) On Windows and mixed Windows/Novell networks, you must configure the ScanStation to join the same domain that is hosting the ScanStation users. To configure the ScanStation to join a domain:

1 On the keyboard, press -Break. The System Properties window displays.

2 Click the Computer Name tab and then click the Change button.

3 In the Computer name field, enter the computer name assigned to this device by the network

administrator (see the pre-installation worksheet on page 31).

4 Select Domain and enter the domain name. Then click OK.

5 You may be prompted for a domain user name and password.

If prompted, enter the user name and password of an account with permission to add the computer to the domain. Then click OK.

6 Click OK to close the System Properties window.

7 Restart the computer. When the computer restarts, press Ctrl-Alt-Del and log on to the local machine using the “ecopy” account (leave the password field blank). Then wait for ShareScan to start.

Note: You will need to click the Options button in the Windows Login window to verify that it is configured to log on to the local machine.

8 When ShareScan has started, press the Esc key to close the ShareScan window.

Configuring the domain “sharescan” account as a local administrator (Windows and mixed networks only)

You must add the domain “sharescan” account to the local administrators group during ScanStation setup. When you have completed the device configuration, remember to remove the “sharescan” account from this group, as local administrator rights are not required during normal operation.

1 Make sure you are logged on to the local machine as an administrator (the “ecopy” account has administrator rights).

2 Click Start > Run, enter compmgmt.msc, and click OK to open the Computer Management window.

3 In the left pane of the Computer Management window, expand Local users and groups and then select Groups.

4 In the right pane, double-click the Administrators group. The Administrators Properties

window displays.

5 Click the Add button. The Select Users or Groups window displays.

6 In the From this location field, verify that the correct domain is listed.

7 In the Enter object names to select field, enter the name of the account to be used during normal ScanStation operation (typically “sharescan”). Then click OK.

Note: If there are multiple matching accounts, select the appropriate account when prompted.

8 When prompted to log on to the domain, log on as the “sharescan” user.

9 Click OK to close all open dialog boxes and then close the Computer Management window.

Configuring the NetWare client (Novell and mixed networks only) Although the Windows 2000 and Windows XP software include the Microsoft Client for NetWare Networks, this client is not recommended for general use. Instead, you should install the same NetWare client you are using on the rest of your networked PCs. Installing the latest 32-bit Novell client is strongly recommended. Since the ScanStation has no internal floppy drive or CD drive, you must install the client software from a network share or by downloading it from www.novell.com.

To install and configure the NetWare client:

1 Make sure you are logged on to the local machine with local administrator rights (the “ecopy” account has local administrator rights).

2 Browse to the network share that contains the NetWare client software or go to www.novell.com and download the latest Novell client software.

3 Double-click the installation executable and follow the installation prompts.

4 When prompted, restart the computer.

5 When the computer restarts, press Ctrl-Alt-Del. The Novell Login window displays.

6 Enter the name and password for the NDS account set up for the ScanStation (typically

“sharescan”).

7 Click the Advanced button.

8 On the NDS tab, select the appropriate Tree, Context, and Server.

9 Click the Windows tab.

10 In the Local username field, enter the name of the domain account created for the

ScanStation (typically “sharescan”).

11 In the From field, select the domain.

Note: If the Windows and NetWare passwords for the “sharescan” account do not match, the following window displays:

If this window displays, enter the password for the domain account, select the Change your Windows password option, and click OK. This will change the domain password to match the NetWare password. The Windows and NetWare passwords must be the same to support automatic logon using the Tweak UI utility.

13 If the ShareScan is configured to use Network ScanGear, a “No scanner is selected for scanning” message displays. Click OK.

14 When ShareScan starts, press Esc to close the ShareScan window.

Configuring and testing the Network ScanGear driver Note: The imageRUNNER 210/330/400 uses a SCSI driver and not Network ScanGear. If you are configuring the ScanStation for use with an imageRUNNER 210/330/400, skip this section.

The network ScanGear driver is pre-installed on your ScanStation but before you can use it, you must configure the driver and test the connection between the computer and the copier.

To configure and test the Network ScanGear driver:

1 If you are currently logged on to the local machine, log off and then log on to the network using the “sharescan” login. This is important, as ScanGear configuration is profile-specific.

2 Click Start > All Programs > Network ScanGear > Version #> ScanGear Tool (where Version # is latest release). The ScanGear Tool window displays.

3 Click the Discover button. ScanGear searches the network and displays a list of compatible devices.

4 Select the imageRUNNER to use with ShareScan and click Select. Then click Test. If the

connection is good, a confirmation message displays. If ScanGear cannot connect to the selected device, resolve the problem and ensure that the test passes before you continue.

5 Verify that the imageRUNNER is selected under Selected Scanner and then exit the ScanGear Tool.

Testing the scanner imageRUNNERs using a SCSI connection (210/330/400)

The imageRUNNER 210/330/400 uses SCSI for communication between the scanner and the ScanStation.

To test the scanner:

1 Make sure you are logged on to the network using the “sharescan” login.

2 If ShareScan does not start automatically, click Start > All Programs > eCopy Applications > ShareScan, or double-click the desktop icon. The ShareScan screen displays:

Note: If you see “0 DPI” and “0%”in the DPI and Brightness buttons, this indicates that there is a problem between the scanner driver and the imageRUNNER. You must resolve this problem before proceeding. Begin by starting ShareScan Administration (Start > All Programs > eCopy Applications > ShareScan Administration) and verify that the Canon imageRUNNER 210/330/400 driver is selected (click Set as default to select).

3 Press the Options button on the copier’s control panel, press SCSI, and then press ONLINE to enable the SCSI interface.

4 Place a document in the copier’s document feeder.

5 Press the Scan to Desktop button on the touch monitor. This should start the scan.

Note: If this does not start the scan, make sure the SCSI cable is securely connected at both ends. Then power down and restart the copier. When the copier is ready, press the Options button and enable the SCSI interface. Then press Scan to Desktop again. If you still have problems, contact eCopy Technical Support.

6 When the Scan Preview screen displays, press the ESC key on the keyboard to close ShareScan.

imageRUNNERs using Network TWAIN All imageRUNNERs except the 210/330/400 use Network TWAIN for communication between the scanner and the ScanStation.

To test the scanner:

1 Make sure you are logged on to the network using the “sharescan” login.

2 If ShareScan does not start automatically, click Start > All Programs > eCopy Applications > ShareScan, or double-click the desktop icon. The ShareScan screen displays:

Note: If you see “0 DPI” and “0%” on the DPI and Brightness buttons, this indicates that there is a problem between the scanner driver and the imageRUNNER. Configuring automatic logon The ScanStation should be configured to log on to the network automatically following a restart. You can do this using Microsoft’s Tweak UI utility or other third-party software. Tweak UI is available for download from the Microsoft web site at:

http://www.microsoft.com/windowsxp/pro/downloads/powertoys.asp

From this location you can download TweakUI.exe.

Instructions for configuring automatic logon using Tweak UI are provided below. Tweak UI supports automatic logon to Windows and mixed Windows/Novell networks but does not support automatic logon to pure Novell networks.

To configure Tweak UI to log on automatically:

1 Make sure you are logged on to the network using the “sharescan” login.

2 Download and install the Tweak UI control panel applet.

3 Open the Tweak UI control panel (Start > All Programs > Powertoys for Windows XP > Tweak UI for Windows XP).

4 In the left pane, under Logon, select Autologon.

5 Select Log on automatically at system startup.

6 Enter the User name associated with the ScanStation login account (typically "sharescan").

7 Verify that the Domain is set correctly.

8 Click the Set Password button and enter the password associated with the “sharescan” login account.

9 Click OK.

10 Restart the computer and verify that the computer logs on automatically.

Configuring scanning functions Configuring Scan to Desktop

In order to use the Scan to Desktop function, each ShareScan user must have a scan inbox for temporary storage of their scanned images. You can configure ShareScan to use dedicated Scan Inboxes or Windows NT/2000 home directories. Full details are provided in Part 3 of the eCopy ShareScan Administrator’s Guide.

Configuring Scan and Mail and Scan and Fax

Installing the client software

Before you can implement ShareScan’s Scan and Mail or Scan and Fax function, you may need to install client software on the ScanStation. Installation must be done across the network and should be done by the network administrator. Also, verify that the “sharescan” user account has the necessary accounts on the e-mail and fax servers.

Depending on your network environment and the scanning functions you plan to implement, the following clients may be required:

> Microsoft Outlook

> Lotus Notes

> Novell GroupWise

> Captaris RightFax

Note 1: You can send e-mail from the ScanStation via SMTP without requiring any client software. To do so, your mail server must be configured to handle MIME-formatted messages.

Note 2: The RightFax client is not required if you are using Exchange- or Domino-based fax gateway plus the appropriate mail client.

For information regarding specific clients, refer to the table below.

Client Details

Microsoft Outlook Create a profile for the “sharescan” login. You will need the Exchange Server name and the mailbox name for the “sharescan” account. Make sure to load the Outlook Address Book.

Lotus Notes Create a profile for the “sharescan” login. You will need the Notes ID file and password, and the name of the Domino server.

In order to send mail from a personal Lotus Notes account, you must install and configure the eCopyMail pass-through database on a Domino HTTP server. Refer to the technical documentation located in the c:\Program Files\eCopy\ShareScan\Lotus directory for further information.

Novell GroupWise You must be logged on to the Novell tree with NetWare administrator rights when you install the client. The Windows Messenger Service is installed first. When installing the client, choose “Local install.” You will need the mail server’s IP address, and also the port number if not using the default.

Captaris RightFax Create a RightFax account for the “sharescan” login.

Configuring the e-mail and fax settings

When you have installed the client software, you must configure ShareScan for e-mail and/or fax.

Note: Do not proceed until you have configured the e-mail/fax client software on the ScanStation.

To configure ShareScan for e-mail or fax:

1 Start the ShareScan Administration program (Start > All Programs > eCopy Applications > ShareScan Administration).

2 Select your mail or fax application and click Set as default.

3 For mail applications, click Edit Settings. Then select the desired e-mail file attachment format and other configuration options (see “Part 3: Configuring ShareScan” in the eCopy ShareScan Administrator’s Guide for further details).

4 For fax applications, if any options are available for the fax application you selected, click Edit Settings and enter the appropriate settings (see “Part 3: Configuring ShareScan” in the eCopy ShareScan Administrator’s Guide for further details).

5 Click OK.

Configuring Scan to Printer To implement ShareScan’s Scan and Print function, you must install the appropriate printer driver. To do this, click Start > Printers and Faxes > Add a Printer. When prompted, select Network printer and install the printer driver as you would on any other PC.

1 Start the ShareScan Administration program (Start > All Programs > eCopy Applications > ShareScan Administration).

2 Select your printer driver and click Set as default.

3 Click OK.

For further details, including information about configuring multiple printers, see the eCopy ShareScan Administrator’s Guide.

Completing the ScanStation configuration Removing the “sharescan” account from the local administrators group

When the ScanStation configuration is complete, you should remove the “sharescan” account from the local administrators group. Local administrator rights are not required during normal operation.

1 Log on to the local machine as an administrator (the “ecopy” account has administrator rights).

2 Click Start > Run, enter compmgmt.msc, and click OK to open the Computer Management window.

3 In the left pane of the Computer Management window, expand Local users and groups and then select Groups.

4 In the right pane, double-click the Administrators group. The Administrators Properties

window displays.

5 Select the “sharescan” user and click the Remove button.

6 Click OK to close the Administrators Properties window and then close the Computer Management window.

Changing the computer name The setup process automatically assigns a randomly generated computer name. If you did not change the computer name earlier in the ScanStation setup process, you should do so now.

To change the computer name:

1 On the keyboard, press -Break. The System Properties window displays.

2 Click the Computer Name tab and then click the Change button.

3 In the Computer name field, enter the computer name assigned to this device by the network

administrator (see the pre-installation worksheet on page 31).

Activating Windows XP You must activate the Windows XP Professional software on the ScanStation within 30 days.

To activate Windows XP:

1 Click the “keys” icon on the right of the taskbar to begin the Windows activation process.

2 Follow the steps on the “Let’s activate Windows” screen to activate the software.

Setting the “ecopy” and local administrator account passwords The local “ecopy” account that is used during initial device configuration has no password assigned. The local administrator account password is set to “password”. Before you finish the ScanStation configuration, you should change the password on each of these accounts.

To set the “ecopy” and administrator account passwords:

1 Click Start > Control Panel > User Accounts.

2 Select the Users must enter a user name and password to use this computer option.

3 Select the eCopy account and click Reset Password.

4 Leave the Old password field blank.

5 Enter the new password, confirm the new password, and click OK.

6 Select the Administrator account and click Reset Password.

7 In the Old password field, enter password.

8 Enter the new password, confirm the new password, and click OK.

9 De-select Users must enter a user name and password to use this computer option and click OK.

Creating a backup image

When you have installed all required e-mail or fax client software and configured ShareScan, you should create a backup image of the ScanStation’s C: drive. This allows you to restore the ScanStation to its configured state if necessary.

To create a backup image of the ScanStation’s C: drive:

1 Make sure you are logged on to the local machine with administrator rights (the “ecopy” account has administrator rights) and exit ShareScan if necessary.

2 Click Start > Run, enter compmgmt.msc, and click OK to open the Computer Management window.

3 In the left pane, select Storage > Disk Management. In the right pane, three partitions display:

DiskImages (E:)

RESTOREBOOT (F:)

4 Select the RESTOREBOOT (F:) partition and click Actions > All Tasks > Mark Partition as Active. Then click Yes to confirm.

5 Close the Computer Management window.

6 Restart the computer. When the computer starts, the language selection screen may display if your version of ShareScan supports multiple languages:

7 Select the appropriate language. The “Welcome to eCopy Recovery Console” window displays:

1. Restore system to Factory Original Image from hard drive

8 Choose 3 to create a backup image. Then press 1 to continue. The Norton Ghost window displays and the program copies the disk image from partition C: to partition E. The image file is called IMAGE2.GHO.

9 When the image is complete, the system automatically switches the active partition back to C: and reboots.

Note: If you are using the NetWare client, you will have to manually log in to Novell as “sharescan.”

10 When the logion process completes, you may see a System Settings Change message indication that “Windows has finished installing new devices” and prompting you to restart the computer. If so, click Yes to restart.

This completes the image creation process. If you need to restore the ScanStation using the backup image, follow the preceding steps but choose 2 (“Restore system to User Image from hard drive”) in the eCopy Recovery Console window.

Preparing the ScanStation for normal operation

The ScanStation is designed to operate without a keyboard during normal operation. This provides additional security, since it prevents users from exiting ShareScan using special key combinations (Alt-Tab, Ctrl-Alt-Del, etc.) and using the ScanStation for other purposes.

For maximum security, you should disable the keyboard before removing it. This prevents users from simply reconnecting a keyboard and using it.

Note: The ScanStation PC includes a BIOS modification that lets it boot without a keyboard. If the motherboard is replaced or the CMOS is cleared, you must manually run the file C:\Disks\NO_F1.com. This reconfigures the CMOS to boot without errors when the keyboard is not attached.

Disabling the keyboard To disable the keyboard, you must set a power-on password and configure the PC to operate in “network server mode,” as described below.

1 Make sure the ScanStation is configured to log on to the network automatically following a restart, as described under “Configuring automatic logon” on page 49.

2 Restart the computer and press F10 at the Compaq splash screen to enter the BIOS setup.

3 Choose English (or the appropriate language).

4 From the Security menu, choose Power-On Password. 5 In the Power-On Password window, enter a security password and press F10 to accept.

Important! Write this password down and keep it in a safe, secure place.

6 From the Security menu, choose Password Options.

7 In the Password Options window, select Network Server Mode and press the right-arrow key to enable this mode.

8 Press F10 to confirm the new settings.

9 Click File > Save Changes and Exit and then press F10. 10 Optionally unplug the keyboard from the back of the ScanStation PC.

Re-activating the keyboard If you need to use a keyboard to reconfigure the ScanStation at any future time, you can re-activate the keyboard.

1 If a keyboard is not already attached, attach a keyboard to the keyboard port on the back of the ScanStation PC. Then restart the computer and wait for Windows to start. If a keyboard is already attached, a restart is not required.

2 Enter the power-on security password again and press Enter. There is no on-screen confirmation, but when you have entered the password the keyboard will function normally.

3 When you have finished, restart the PC. If you do not want to leave the keyboard attached, unplug it before restarting.

Taking care of the touch panel

Calibrating the touch panel You should periodically recalibrate the touch panel’s position and pressure sensors using the calibration utility that is installed on the eCopy ScanStation.

To recalibrate the touch panel:

1 Start the touch panel calibration program (Start > All Programs > Touch Screen > Calibrate):

2 Click the Calibrate button and follow the on-screen prompts.

Cleaning the touch panel Do not use any liquid or aerosol cleaning products on the touch screen. To clean the panel, wipe with a damp, lint-free cloth.
