COSTAR NTD Integration:

COSTAR is one of the only Shop Management Software Solutions to be fully integrated with NTD’s Tire

ordering system. The COSTAR Integration allows users of the COSTAR system to search for Tires and

Wheels at NTD seamlessly without ever leaving the COSTAR Repair Order. The NTD integration is

accessible within COSTAR in two places; first from the main left hand menu under ORDER ENTRY |

NATIONAL TIRE DISTRIBUTORS, and secondly from inside the integrations menu within a COSTAR REPAIR

ORDER, INOVICE, APPOINTMENT OR QUOTATION document. The usage and flow of the integration

follows COSTAR’s standard process used for all integrations. Service Advisors familiar with COSTAR will

have no problem using the integration.

CONFIGURATION & SETUP:

In order to activate the integration the shop owner must have an account with NTD and user credentials

for the NTD Connect web portal. With these credentials in hand, contact COSTAR Customer Support at

1-800-661-7126 and the COSTAR team will assist with configuring the COSTAR / NTD integration.

LAUNCHING THE INTEGRATION:

Method 1:

Log into COSTAR. From within the ORDER ENTRY menu you will see, National Tire Distributors in the list

of sub menus. If you do not see National Tire Distributors in the list, your EMPLOYEE | PERMISSION

settings may need to be adjusted.

LAUNCHING THE INTEGRATION: 

Method 2: 

Log into COSTAR. Select REPAIR ORDER from the menu. Click the ADD NEW button to open a new repair 

order. On the lower half of the REPAIR ORDER on a detail line, click the SEARCH icon. You will be 

presented with the master menu. Under the Integrations Column of the master menu, you will see; 

National Tire Distributors. Click National Tire Distributors to launch the integration. This also applies to 

QUOTATION, APPOINTMENT, INVOICE AND PURCHASE ORDER documents.

USING THE INTEGRATION: 

Using the COSTAR NTD integration is quite intuitive and users should pick up its usage very quickly.  

Click on National Tire Distributors, the search interface will be presented. 

Select TIRES or WHEELS on the left and then use the TYPE and BRAND drop down lists to begin to define 

your search criteria. You can enter the MANUFACTURER or NTD ITEM numbers into the search as well. 

Use the SIZE field to enter a stripped tire or wheel size. To filter tire searches by WINTER ONLY, check 

the box. Once you have the search criteria entered press the search button.

Integrated Tire Guide:

Press the TIRE GUIDE button to launch the Tire Guide vehicle selector.

Select the vehicle; YEAR | MAKE | MODEL | SUBMODEL from the options presented on screen. Once the

SUBMODEL is defined the OE tire fitment will be presented in the lower half of the screen. Tire Guide

data includes the; TIRE SIZE | INFLATION | TPMS | WEIGHT | RIM WIDTH | BOLT PATTERN | WHEEL

BASE | TOURQUE SPECIFICATIONS.

At the bottom of the screen you will see four buttons; ADD TIRE MEMO | SEARCH | CANCEL |

DISCLAIMER.

1. ADD TIRE MEMO button places the Tire Guide detail on your COSTAR Repair Order document in

the form of a memo.

2. The SEARCH button passes the fitment information into the NTD Integration search screen and

returns the results.

3. The CANCEL button returns you to the NTD search screen without passing any fitment details.

4. The DISCLAIMER button simply presents the disclaimer notice regarding the fitment data.

Drilling Down on Search Results:

Once a search has been performed the lower half of the search screen presents products found. Notice

the column labeled NTD Qty, this column present the quantity on hand at your primary NTD warehouse.

A plus sign following the quantity; 4+ indicates that there are more available at other warehouses.

Click the NTD Qty button that is displaying the product quantity available to drill down into that item

and expose more detail and the product ordering screen.

The INFORMATION screen presents three main sections:

1. Specifications: showing all of the pertinent product specifications available.

2. Availability: shows product availability including a) LOCAL COSTAR INVENTORY b) NTD LOCAL DC

c) NTD LOCAL + d) NTD NATIONAL availability.

3. Order Information: The Order Information area includes 4 buttons; CHECK 1, CHECK 2, CHECK 4,

CHECK 8. These buttons are just a quick method requesting the Freight and Delivery information

from the warehouse(s) for 1,2,4 or 8 tires/wheels. Alternately you can Enter the QTY and click

the CHECK FREIGHT AND DELIVERY button. Freight and delivery information will be presented in

the box below.

4. To return to the search screen press the CANCEL button.

5. Click the ADD TO DOCUMENT button to return the selection to a COSTAR document.

Bringing products back onto COSTAR documents:

Method 1:

1. Launch the NTD Integration from the main COSTAR Menu.

2. Search for products & check availability.

3. Press the ADD TO DOCUMENT button.

Under this method, when the ADD TO DOCUMENT button is pressed, you will be presented with the

TRANSFER ITEMS dialogue box. This dialogue box allows you to select the type of COSTAR document you

wish to OPEN and insert the ITEMS you have selected to purchase from NTD. Select the desired

document type and it will open and display the NTD items.

Bringing products back onto COSTAR documents:

Method 2:

1. Launch a COSTAR Repair Order.

2. From a detail line click the search icon to bring up the master menu.

3. Launch the NTD Integration from the Integrations list.

4. Search for products & check availability.

5. Press the ADD TO DOCUMENT button.

Under this method, when the ADD TO DOCUMENT button is pressed, (if you have not ordered this item

previously) you will be presented with the QUICK ITEM ADD dialogue box. This dialogue box will show

you all of the detail for the item being brought down from NTD into COSTAR. The product type will need

to be selected then the ADD ITEM button can be pressed and the item will be placed on the Repair

Order. Note that the integration supplies the; ITEM NUMBER, DESCRIPTION, SUPPLIER,

MANUFACTURER, SIZE AND COST so that you don’t have to type all of that information.

When we search on the NTD system, COSTAR displays all the information on the screen and then brings back some of the information depending on settings defined by the customer in each COSTAR System.

1. Item # - Can be the NTD item number or the Manufacturer item number. If configured for Manufacturer item number, we also bring the NTD item number in the supplier item number.

2. Description – Transfers from NTD into COSTAR, may include things like Size, Load Index, Speed Rating, Style, Bolt Circle, Rim and Width.

3. Product type – Mandatory selection by the user. 4. Supplier – The default NTD supplier shows up automatically. 5. Manufacturer – Transfers from NTD into COSTAR. 6. Size, Load Index, Speed Rating, and Model - Do not transfer from NTD into COSTAR fields, but

as mentioned we have built a description by concatenated the information provided by NTD into the description.

7. Cost – Transfers from NTD into COSTAR and is always updated. 8. Retail – Transfers from NTD into COSTAR and can be updated depending on COSTAR customer

settings.

9. MSRP – Transfers from NTD into COSTAR and can be updated depending on COSTAR customer settings.

ORDERING PRODUCTS FROM NTD - WITHIN COSTAR:

Once products have been added onto a COSTAR Repair Order or Invoice document, the products still

needs to be ordered. The ordering process through the COSTAR CHECK STOCK screen is common to all

COSTAR integrations, however there are some unique functions related specifically to the NTD

Integration.

With product added from the NTD integration onto a Repair Order, press the CHECK STOCK button at

the bottom of the Repair Order Screen. The button should be flashing RED indicating that products need

to be ordered on the document.

When products have been added from NTD you will notice the PREVIEW NTD ORDER button. Press this

button to preview the order about to be placed with NTD.

Create PO’s:

Click the CREATE PO’S button to begin the ordering process.

The Preview Order screen displays the products about to be ordered from NTD.

1. Notice the Est Delivery date

2. Notice any indicated Freight charges

3. Backorder Locally check box: Select this option to avoid additional Freight charges if the

products to be ordered are not available in your Primary NTD warehouse. This option will tell

NTD to move the required products to your Primary warehouse rather than ship the product

direct to your shop from a warehouse where freight charges will apply.

4. Pick up order at the warehouse check box: Select this option if you will want the products held

for pickup at your local warehouse.

5. Once you have previewed the order and selected your delivery options, click the Create PO

button to generate the PO inside COSTAR.

6. Click the Send Button to deliver the order to NTD. You will receive a confirmation pop-up.

Freight Notifications:

Regardless of the ordering location, when freight charges exist, COSTAR displays the freight

acknowledgement making the user aware freight charges exist and they must click in the I AGREE

checkbox to continue the process to order.

To avoid extra freight charges, create a backorder by clicking on the Backorder Locally checkbox next to

the Item at the top. When the Backorder Locally check box is ticked, you will not see the freight

acknowledgement requirement. Product will be backordered at your primary NTD warehouse and will

not be shipped direct from the non-primary warehouse therefore freight charges will be avoided.
