OverviewWhether you are creating the next award-winning, trend-setting ad campaign or just sprucing up your neighborhood newsletter, fonts play an integral part in the design of your project. Today, getting more fonts is easier than ever. Font foundries have made it easy to purchase and download fonts directly from their web sites. Mac OS X comes pre-installed with more fonts than ever before. And if that doesn’t satisfy your font needs, there are several inexpensive font collection packs available to buy at your local Apple store or Mac retailer.

Unfortunately, more fonts on your system results in longer and longer font menus. Many fonts come with several font styles (commonly referred to as font families). You may, for example have a Helvetica family that consists of several styles such as Bold, Italic, Oblique and Condensed. This results in four items in your font menu for this one family alone. Some font families have as many as 50 or more styles meaning you’ll have 50 items in a font menu for just one font!

Long font menus are just one problem though. The font menus in most applications do not display the fonts in their own typeface (also known as WYSIWYG) or group the fonts into their correct font families. This makes applying the right font or typeface for a project a tedious process of trial and error. You’ve probably done something like this before…you select the text in your application, then apply a font from the font menu. If it doesn’t look right, you repeat the process over…and over…and over.

A font menu that displays fonts in the system font rather than in the typeface of each font. Note that this menu does not group fonts by family resulting in a menu that is several times longer than it needs to be.

In an attempt to solve this problem, some applications have built in a WYSIWYG font menu to see what the fonts look like before you apply them. Unfortunately, not all applications have this WYSIWYG feature. Those that do may or may not group the fonts into their font families, so font menus remain unnecessarily long. Further, the font menus for each application are not always in the same location. Some place the menu in the standard menu bar, while others in a palette that may be on the left, right, top or bottom of your screen.

Font menus like the ones shown here vary from application to application. Some display fonts WYSIWYG style but do not group by family. Some display WYSIWYG style and group by family, but the groupings are not WYSIWYG but rather displayed in the non-inspiring system font. Some font menus are available in a palette and put the font family members in a separate font menu.

Introducing You Control: Fonts, a font menu utility built upon on the award-winning technology behind You Software’s You Control. With You Control:Fonts, you get a single font menu that is consistent across all of your favorite applications. Rather than modifying the font menu that belongs to an application, the You Control:Fonts menu resides in the Mac OS X menu bar next to your default system menu items (like the Airport monitor for example). No more having to remember if an application’s font menu is in the menu bar or in a palette that is on the left, right, top or bottom of your monitor.

The You Control:Fonts menu can be configured to appear wherever your mouse is when you press a hot key combination that you define. If you also have You Control you can access the font menu in even more locations so that it is anywhere you want it.

The You Control:Fonts menu will not only display the fonts in their own typeface, but will also give you a waterfall style preview of each of your fonts. You choose the text, the size and how many lines to display.

You Control: Fonts is not a font manager. It complements, but does not replace a font management application like Suitcase or Font Reserve that will enable you to manage your fonts in the traditional sense of activating and deactivating them. You Control: Fonts is compatible with the Extensis font management solutions, Suitcase & Suitcase Server and Font Reserve and Font Reserve Server as well as Mac OS X’s Font Book and Font Agent Pro.

Target Audience You Control:Fonts is for the Macintosh user who uses fonts on a daily basis to get their work done. This includes creative professionals, graphic designers, multimedia creators, pre-press professionals, advertising agencies, newspapers and magazine publishers. While these higher-end font users will benefit greatly from You Control:Fonts, the “average” Mac user who has a large collection of fonts and enjoys using them for personal use (newsletters, neighborhood flyers, etc) will also benefit from the functionality that You Control:Fonts provides.

Key Features• Display fonts in their own typeface – This feature gives you the WYSIWYG font display in the menu.

Without WYSIWYG font menus, selecting the right font for a text selection can be a tedious trial and error process.

• Group fonts by family – This allows fonts to be grouped by family creating organization to otherwise chaotic font menus. Fonts in the same family are no longer listed one after the other, but rather grouped into a submenu for organization and to help reduce the overall size of the font menu.

• Customize the display size of the fonts – Small, medium or large. It’s up to you how large of a font preview you would like to see in the font menu. The power of the You Control engine allows for quick and easy changes to the display of the menu to best suit your needs.

• Sort style by name or weight – Whether you like to see your fonts sorted by font name or by font weight, You Control:Fonts has you covered.

• Display waterfall style preview of installed fonts – For those times when the WYSIWYG font preview just isn’t enough, You Control:Fonts gives you the option to display an additional preview of your fonts at various sizes so you can see exactly what you want.

• Recent and Favorite fonts – As you use You Control:Fonts you will accumulate a list of fonts that you use on a regular basis. Recent fonts (those you use on a regular basis) can be displayed in a sub-menu so they are always at your fingertips. Set a fonts as a Favorite and you’ll enjoy the same quick and easy access as your Recents.

• Apply typeface and point size at the same time – Depending on the application, you can simultaneously set the point size and a new type style when using the Waterfall preview submenu.

The Fonts MenuWhen the You Control:Fonts application is installed, aWYSIWYG font menu is automatically created andadded to the OS X menu bar.

Fonts are automatically organized and displayed byfamily on this Fonts menu, and you can view and usethose fonts at any time from the Finder and within manypopular OS X applications (see page 14).

It’s all done automatically, there is nothing else you needto do. However, if you decide that you want to arrangethe Fonts menu more to your liking, simply launch theYou Control:Fonts application and set the options as youprefer. See “Customizing the Fonts Menu” and “Tabsand Windows” for information.

The Fonts menu is available even when the You Control:Fonts application is closed, and automatically each timeyour system starts up.

To use a font:

• Select it from the You Control:Fonts menu as youwould from any other font menu.

Note: Depending on how many fonts are active in yoursystem, the first time you access the You Control:Fontsmenu it may take a moment for the menu list to appearwhile the font list is being compiled.

Fonts that are deactivated by a font manager will beremoved from the menu. Fonts that are activated after themenu has been created will automatically be added to it.

Getting Started

You can customize your You Control:Fonts menu usingthe options available in the You Control:Fonts window.To access these options, simply launch the You Control:Fonts application.

The You Control:Fonts application does not need to berunning for your global WYSIWYG Fonts menu to beavailable.

Tip: You Control:Fonts works with the information in theMacintosh Font Book included with OS 10.3 (Panther).Font groups created in Font Book (called Collections),

are automatically displayed on the You Control:Fontsmenu. Viewing Font Book collections is optional. If youdo not use Font Book to manage your fonts, simplyuncheck the preference in You Control:Fonts and thecollections will no longer appear in the menu. See page 8for more information about using Font Book with YouControl:Fonts.

Note: To remove the font menu from the OS X menu bar,deselect the “Enable” box at the top of the You Control:Fonts window (verify that there is no checkmark in the“Enable” box). This will disable You Control:Fonts.

1 Menus tab: This is the main window in You Control:Fonts. From this window you can access all of theavailable options and features.

2 Menu Control: This area allows you to control howyou will display and access the font menu. Choicesare: Menu Bar Text, Menu Bar Icon, and Hot Key.You can also change the font and size of displaytext on the font menu here, and disable theapplication if necessary.

3 Settings tab: This is where you choose which itemsyou want to display on the font menu, and howyou want those items to appear. In addition to thefull system font listings you can choose to displayfont groups like Favorites, Recents, and Collections.Note: Collections are groups you create in theMacintosh application “Font Book”.

4 Waterfall tab: This area allows you to choose howyou want to show font information made availableby activating the “Show Waterfall” option underthe Settings tab.

Accessing the Fonts MenuThe You Control:Fonts menu can be accessed at any timefrom the Mac OS X menu bar, or as a pop up menu usinga hot key that you assign.

By default the You Control:Fonts menu is displayed byname, but you can choose to display it by icon, or changethe name if you prefer. You can select an icon from theicons palette in the You Control:Fonts application orsupply your own icon image.

By default the Fonts menu is named “Fonts” but you canchange the name to anything that you prefer.

Tip: If you have the companion menu utility YouControl™ installed on your computer, you can add theYou Control:Fonts menu to any of your You Controlcustom menus. See the You Control:Fonts ReadMe filefor details.

To display the Fonts menu in the menu bar by name:

1. Launch the You Control:Fonts application.

Verify that the “Enable” box has a checkmark in it.

2. In the Menus area, choose “Menu Bar Left Text”from the “Menu Type” drop down menu.

3. Enter the desired menu name in the “Menu Text”field.

The name you entered will be displayed in the OS Xmenu bar to the left of any items already displayed there.

To display the Fonts menu in the menu bar by icon:

1. Launch the You Control:Fonts application.

Verify that the “Enable” box has a checkmark in it.

2. In the Menus area, from the “Menu Type” drop downmenu, choose “Menu Bar Left Icon.”

3. In the “Menu Image” area, click the “From Palette...”button.

4. Choose an icon from the palette by clicking on it,then click “OK.”

The icon you selected will be displayed in the OS Xmenu bar to the left of any items already displayed there.

Tip: You can choose your own icon for the fonts menu byclicking the “From File...” button, then locating andselecting the desired image.

To display the Fonts menu using a hot key:

1. Launch the You Control:Fonts application.

Verify that the “Enable” box has a checkmark in it.

2. Click the “Hot Key...” button.

3. Press the key combination that you want to assign tothis menu.

Note: This is a global hot key, which means that it willover-ride the same key combination in other applications.Be careful not to assign a commonly used key sequence,or one that you have assigned in another application.

4. When you are satisfied with your key sequence, click“OK.”

5. Test the menu by pressing the hot key you justassigned.

The Fonts menu should pop up at the location of thecursor.

Choosing What to DisplayYou can display a number of different types ofinformation on the Fonts menu, such as a full listing ofinstalled fonts, Font Book Collections, Favorites, andRecents.

You can also display text of your choice in various pointsizes to help you get a better idea of how a font mightlook in your document.

For a complete list of options, see “Settings Tab.”

To display fonts in the menu in What You See Is WhatYou Get (WYSIWYG) format:

Note: This option is enabled by default when theapplication is installed.

1. Launch the You Control:Fonts application.

Verify that the “Enable” box has a checkmark in it.

2. In the Settings tab, locate and enable the option“Display Fonts in their own Face.”

Fonts should now display in WYSIWYG format.

Inline Menu Options

Many of the You Control:Fonts options allow you todisplay the information inline.

“Inline” means that the menu items and information aredisplayed expanded as soon as you activate the menu.That is, they are “in line” with the menu title—you don’thave to expand a sub-menu to see them.

The opposite of this condition is not inline, sometimesreferred to as “rolled up” or “contracted.” In the “notinline” state, menu items and information are hidden insub-menus. To expose the information in a sub-menu,simply mouse over the sub-menu.

In the example below, the menu item “You Favorites” isshown inline, so that the fonts in this group are listeddirectly on the main font menu.

To expose the information in the sub-menu, simply hoverthe mouse over it.

If you prefer to have the information available from asub-menu, deselect the “Inline” option.

Below is the same menu showing all of the same items,but this time the “You Favorites” is not displayed inline.

To set a menu item to display “Inline”:

• In the Settings tab of the You Control:Fontsapplication, click the “Inline” box (a checkmark indicatesthat “inline” is selected).

To set a menu item to display “Not Inline”:

• In the Settings tab of the You Control:Fontsapplication, deselect the “Inline” box (so that there is nocheckmark in the box).

Creating and Adding Font Groups

You can organize fonts into font groups in several ways:

• Add fonts to a special “Favorites” group in YouControl:Fonts

• Utilize the “Recent” fonts group that is automaticallycreated from the list of fonts you have recently used

• Create font “Collections” in Font Book

To add fonts to the You Favorites group:

1. Select the font that you want to add to the YouFavorites group, then mouse over until the Font Infopanel is displayed.

If the Font Info sub-menu is not being displayed, launchthe You Control:Fonts application and enable the option“Show Font Info” on the Settings tab.

2. Choose “Add to Favorites.”

Note: You only need to choose this option for one fontface in the selected font family. All the other fonts in thatfamily (as shown on the sub-menu) will be added toFavorites automatically.

“Add to Favorites” will be the last entry on the Font Infopanel if “Show Waterfall” is enabled. If “ShowWaterfall” is not enabled, “Add to Favorites” will be theonly option on the Font Info sub-menu.

Tip: You can add fonts to the “You Favorites” Collectionin Font Book just as you would add to any othercollection. See “To create Collections in Font Book.”

To display the most recently used fonts:

1. Launch the You Control:Fonts application.

2. On the Settings tab, enable “Show Recents.”

3. Decide whether you want these fonts to be showninline or on a sub-menu, and set the “Inline” optionaccordingly (see page 7).

To create Collections in Font Book:

1. Launch the Font Book application.

This is a Macintosh system application included with OS X 10.3.

2. Click the Add (+) button at the bottom of theCollection column and type a name for the new fontcollection that appears.

3. Select User or Computer in the Collection column. (If you don't see User or Computer, click the disclosuretriangle next to All Fonts.) Select and drag the fonts youwant from the Font column to the new font collectionyou created in the Collection column.

Your new collection(s) should appear on the Fonts menu.

If they do not, see “To display Font Book Collections:”

Note: Changes to fonts using Font Book, such as addingor removing fonts, or enabling or disabling fonts in aCollection, will automatically be reflected on the YouControl:Fonts menu. Depending on processor speed itmay take a few moments for the change to be displayed.

To display Font Book Collections:

1. Launch the You Control:Fonts application.

2. On the Settings tab, enable “Show Collections.”

This will add all Font Book Collections to the Fontmenu.

3. Use the Inline checkbox to specifiy whether fonts inthe collections will be listed inline under the menu title,or placed together under a “Collections” sub-menu.

See “Inline Menu Options” for more information aboutthis feature.

To remove Font Book Collections from the Fontsmenu:

1. Launch the You Control:Fonts application.

2. On the Settings tab, disable “Show Collections.”

This will remove all Font Book Collections from theFonts menu.

3. Use the Inline checkbox to specifiy whether fonts inthe collections will be listed inline under the menu title,or placed together under a “Collections” sub-menu.

For more information about using Font Book, refer to“Creating and managing font collections” in Mac Helpfor Font Book.

Changing or Removing the Fonts List

By default the Fonts menu displays all of the fonts thatare installed on your system.

To set the list of installed fonts to display as a sub-menu on the Fonts menu:

1. In the Settings tab of the You Control:Fontsapplication, locate the option “ Show Fonts.”

If there is no checkmark in the “Show Fonts” box, selectthis option so that the installed font list can be displayed.

2. Deselect the “Inline” box to the right of the “ShowFonts” option (verify that there is no checkmark in the“Inline” box).

The list of system fonts will now be displayed in a sub-menu on the the fonts menu.

To remove the full list of installed fonts from theFonts menu:

1. In the Settings tab of the You Control:Fontsapplication, locate the option “ Show Fonts.”

2. Deselect the “Show Fonts” box next to the “ShowFonts” entry (verify that there is no checkmark in thebox).

The full list of installed fronts will no longer be availablefrom the You Control:Fonts menu.

To restore the list, enable the “Show Fonts” option byselecting it in the Settings tab.

To add Font Info and the Add to Favorites sub-menu:

1. In the Settings tab of the You Control:Fontsapplication, locate and enable the option “ Show FontInfo.”

This will display the font name and postscript name forthe selected font, and add an “Add to Favorites” option atthe bottom of the sub-menu.

If the font already belongs to the Favorites group, theoption changes to “Remove from Favorites.”

Customizing the Font Info DisplayWhen you’re working on a project, very often you can’treally tell just from looking at a font, even on aWYSIWYG font menu, whether that font will beappropriate for the text that you’re working with.

To be able to view a more detailed sample of each fontright from the Fonts menu, you can enable the YouControl:Fonts “Font Info” option. This feature adds asub-menu to each font face that gives you the same kindof detailed view of the font that you would get if youdouble-clicked it from the Finder, or examined it in FontBook (OS 10.3).

To display a more detailed sample of each font on theFont menu:

1. Launch the You Control:Fonts application.

2. In the Settings tab, locate and enable the option“Show Waterfall.”

3. Click the Waterfall tab to configure the informationthat will be displayed on the Waterfall sub-menu.

The figure below shows the Waterfall sub-menu (far left).We enabled “Display: Text” from the Waterfall tab, andentered the phrase “Sample Text” in the text field.

If you want to show different text sizes, or more or lesssizes than we are shown by default, you can make thosechanges using the “+” and “-” buttons at the bottom ofthe Waterfall tab window.

Tip: You can disable the “Show Waterfall” feature andstill be able to see the Waterfall sub-menu when you needit. To do so, simply press the Tab key while any font isselected and the waterfall sample text for that font will bedisplayed. If your font list is quite long this will “speedup” the menu by not having to draw all of the WYSIWYGwaterfall text while you are scrolling through your list offonts.
