4-1. Types of Uploading Methods and Sizes of Uploadable Files

ShareDisk is file transfer function by selecting files you want to send, and entering Email address. In case Site Administrator set the disk space of #Share Disk”, you can use file transfer function. In case Site Administrator does not set the disk space of #Share Disk”, Tab of ShareDisk is not shown to window. You have four options to upload files and folders. Different uploading methods are supported by different web browsers. You should decide how you upload files and folders depending on your environment.

③ Click on the [Drag & Drop (HTML5)] tab if it is not selected. ④ Perform Step 1. Enter Email Address you want to send. Enter the user’s email address and user name, and click Add to List. Note: If you want to send files to more than one user, repeat step ④. Note: If restrictions on destinations are set by the system administrator, mails cannot be sent to mail addresses or domains other than permitted E-mail addresses and domains. ⑤ Perform Step 2. Type a message. Enter the subject of the email and a comment as needed. ⑥ Perform Step 3. other settings. You do not need to set a password if you do not use one. (Note, however, that if the system administrator has made entry of a password a requirement, a password must be set.) ⑦ Drag and drop the files you want to upload to the upload area. Note: If you use Chrome, when you drag a folder, the files in the folder are sent.

When multiple files with the same name are uploaded, the files will be sequentially numbered automatically. Example: When 2 “sample.docx” files are uploaded, their names will be become “sample.docx” and “sample(1).docx”. If there exist still accessible files with the same name uploaded in the past, they will also trigger sequential numbering.

① When the user sends a file, the superior receives the E-mail requesting approval from the superior. Note: If the approval validity period described in the E-mail expires, transmission of file becomes invalid. Note: The access period set when a user sends an E-mail and the validity period of approval are the same. Note that the access period may expired before the destination downloaded a file if the superior approves immediately before expiration of the validity period of approval. ② You can download the files by accessing the indicated URL or by accessing ShareDisk. ③ Click the [Unapproved] link on the [Approval from the superior] screen.

⑤ Check the [Sender information]. ⑥ Check the [Destination] and put a check mark in the check box. ⑦ Check the [Subject],[Comment] and [Access period]. ⑧ Click the link of the file name in [Transmission file name and file size]. The file to be transmitted is downloaded and contents can be checked. ⑨ If there is a comment for the sender, input a comment in [Input Approval/Denial/Pending comments]. ⑩ If any of [Approve], [Reject] and [Pending] is clicked, the sender is notified with the E-mail. Note: If [Approve] or [Reject] is selected, the decision cannot be canceled. Note: If [Approve] is selected, the file is sent to the destination.

Invalid The specified superior does not exist or the setting as the superior is reset.

You can delete receive records by using the list of send and receive records on the Sending/Receiving File histories page.

① In the list, select the check boxes of the receive records you want to delete.

② When you have completed selecting records, click Delete.

③ On the Deleting histories page that opens, confirm the displayed information, and then click Delete.

Note: If a receive record is deleted, the URL in the corresponding send request message is no longer valid. In addition, the files that have been uploaded are also deleted.

You can check received files from the list of send and receive records on the Sending/Receiving File histories page. ① In the list, click the subject of the receive record whose received files you want to check.

② The List of received files page opens. You can check the received files listed on this page. Note: Select files to be downloaded. Click Download.

By clicking the E-mail address tab on the List of received files page, you can check the receive history for an email address to which a send request message has been sent. ① On the List of received files page, click the E-mail address tab.

② A list of email addresses from which files have been received appears. By clicking the link in the Receive history column for an email address in the list, you can check the receive history for that email address.

When multiple receive records are displayed on the Sending/Receiving File histories page, you can check their details in a single list. ① On the Sending/Receiving File histories page, select the check boxes of the receive records whose details you want to check, and then click Check Receive Histories.

② The History of received files page appears. All the files received for the selected receive records are listed on this page.
