Introduction

This release guide documents Release 8.1 of the Banner Student System. Release 8.1 includes enhancements, regulatory updates, RPEs, and problem resolutions.

Enhancements for 8.1

This document describes the following enhancements, which are new for Release 8.1.

Athletic Compliance

Institutions can track athletic status and academic eligibility in support of the National Collegiate Athletic Association (NCAA) Athletic Compliance (ATHL) requirements. Compliance (sport) records for athletes can be copied to future terms individually or in mass updates. Institutions can also track athletic academic progress and can query on athletic compliance and competition information.

Current Indicator in Concurrent Curricula

Curriculum processing has been updated for how the setting of the Current (Indicator) checkbox is calculated for OUTCOME module curriculum records. Results can now be ordered by term and sequence number. Changes have also been made to the Curriculum window and the Curricula Summary block to display the end term information for learner curriculum records.

1 Athletic Compliance Enhancement - Functional

Overview

This enhancement allows institutions to track athletic status and academic eligibility in support of the National Collegiate Athletic Association (NCAA) Athletic Compliance (ATHL) requirements.

Athletes who satisfy initial academic eligibility requirements become qualified to compete in NCAA sanctioned competition. Eligibility is based on years of eligibility, seasons of competition available, and seasons of competition used as defined by NCAA requirements. Time lapses are allowed for time periods when an athlete is not enrolled. Eligibility can be adjusted for time lapses. Transfer eligibility, academic residency, residency exceptions, and transfer status can also be considered for eligibility requirements. The redesigned Athletic Compliance Form (SGASPRT) captures this functionality and supports NCAA eligibility compliance processing.

Additionally, institutions can effectively track changes in athlete eligibility over time using the redesigned SGASPRT form. Compliance (sport) records for an athlete can be copied to future terms along with associated current competition information and, optionally, attribute information. This aids institutions in reviewing changes in eligibility.

Institutions also have the ability to copy compliance and current athletic competition to a future term for a group of athletes using mass entry processing. This provides consistent information to the athletic certification staff as an athlete's progress is followed from term to term. The new Mass Entry Athletic Compliance Form (SGAMSPT) is used to search for compliance records and then copy, insert, or update athletic information for specific athletes based on the search criteria results or a population selection. Results can be reviewed, audited, and submitted for batch update. This form is similar to the mass entry and update forms that were delivered in Release 8.0.

Institutions can track the academic progress of an athlete using the new Athletic Academic Progress Form (SGAAPRG). Progress is determined by credit hours per term and academic year, to see if the athlete is in compliance and is allowed to compete in a sport. This form provides curriculum and field of study summary information, as well as degree completion information.

Institutions can query athletic compliance and competition information on the new Athletic Compliance Inquiry Form (SGISPRT). Athletic compliance records can be displayed in different views based on the ID, the sport, or both.

Processing

This section discusses how to set up and use athletic compliance processing, specifically using copy and mass entry functionality.

Setting Up Values Used with Athletic Compliance Processing

To use athletic compliance, set up your values on the following validation forms.

• Student Activity Code Validation Form (STVACTC)

Make sure you have activity codes set up on Student Activity Code Validation Form (STVACTC) with the Type field set to SPRTS.

• Comment Type Code Validation Form (STVCMTT)

• Degree Completion Change Reason Validation Form (STVDCPR)

• Eligibility Code Validation Form (STVELIG)

• Originator Validation Form (STVORIG)

• Athletic Attribute Validation Form (STVSAAT)

Entering and Updating Compliance (Sport) Records

Use the Athletic Compliance Form (SGASPRT) to assign sport codes, status, athletic eligibility, academic eligibility, and athletic aid information by term to an athlete. An athlete needs at least a general person record (SPRIDEN) in order to be processed on this form. If your institution requires that an athlete with a compliance (sport) record have an associated general student record (SGBSTDN), you can do so. A student status is displayed for the record for the term, for an ID with a general student record.

Compliance records can be created and modified for any term and are not required to have associated competition data. Compliance records can be modified in any term, regardless of the existence of competition data. They can also be modified if the athlete is deceased. Compliance records without competition data can be copied to a future term.

Compliance records with a history of competition can be copied to a future term using the copy functionality, but only the compliance information will be copied. Compliance records with current competition data can be copied to a future term, and the associated current competition data is also copied. If you try to copy the current competition record to a future term and the compliance record already exists, the current competition record will be copied. The compliance record will not be modified in the future term.

At a term and sport level, the associated competition data (including total number of seasons of competition available and number of seasons of competition used), athletic attributes, and athletic comment information can be entered. Sport records, the current competition for the sport, and optionally, athletic attributes for the sport, can be copied to a future term.

At the athletic level, athletic eligibility, general comments, admissions information, and transfer information can be maintained, once an athlete has been assigned to a sport/compliance record. While multiple sport records can exist for the athlete per term or terms, only a single eligibility, admission, or transfer record can exist for an athlete. Multiple general comments can be recorded for an athlete. The use of athletic eligibility, general comments, admissions, and transfer information is optional and can be deleted at any time.

In addition to the manually entered admissions data, admissions summary information is presented that includes any applications the athlete has submitted, high school attendance information, and test score data. Admissions summary information is display only. Transfer summary information is also presented that includes transfer institutions, transfer courses, and transfer attendance period GPA data. Transfer summary information is display only.

Compliance records in a term can be deleted as long as no associated competition data (history or current), athletic attributes, or athletic comments exist for the sport. If athletic eligibility, general comments, admissions, or transfer data exists, the last (most recent) compliance record cannot be deleted. To delete the last compliance record, the athletic eligibility, general comments, admissions, and/or transfer data must be deleted, as well as any attributes and comments associated with the sport. A compliance record can never be deleted if any associated competition data (history or current) exists.

Steps to Enter Compliance Records Without Competition Data

You can enter compliance (sport) records without athletic competition data, athletic attributes, or athletic comments.

1. Access the Athletic Compliance Form (SGASPRT).

2. Enter the ID for the athlete in the ID field in the Key Block.

3. Perform a Next Block to the Athletic Compliance Term block.

4. Enter the term for the athletic compliance record in the Term field.

5. Review if the person has a prospect, applicant, or general student record for the term.

If a general student record exists, review the student status.

6. Perform a Next block to the Athletic Compliance Sport block.

7. Enter the sport code in the Sport field for the sport in which the athlete is participating.

8. Enter the status code for the athlete in the Status field.

9. Enter the eligibility code for the athlete in the Eligible field.

10. Set the Athletic Aid checkbox to checked or Y if the athlete is receiving athletic aid.

11. Enter the academic eligibility code for the athlete in the Academic Eligibility field.

12. Save the record.

Entering and Updating Competition Records

Use the Athletic Competition block on SGASPRT to enter and maintain information related to athletic eligibility in the sport, such as the number of seasons of competition available, and to indicate if the athlete has used a season of competition for the sport in the term. A reason code for a time lapse in the athlete's availability can also be entered at any time and is required whenever the number of seasons of competition available is changed. The number of seasons of competition used and the number of seasons of competition remaining are calculated and are display only. Competition records can never be deleted. They are retained for historic reference following an athlete's participation in a sport throughout that athlete’s career at the institution.

When a competition record has been saved for a sport in a term, it becomes the current competition record for the sport. Only the current competition record for a sport can be modified, regardless of the term. Once a current competition record exists for a sport, it must be copied to a future term to carry that information forward. Once the current competition data has been copied, the prior term competition record becomes history and can no longer be modified. The future term current competition record can then be modified.

Competition records for a sport in a term are displayed from most recent to least recent. When a new competition record is saved, it becomes the current competition record, and it is given a oneup sequence number. Only a single current competition record can exist, and it cannot be deleted. Previous competition records are noted as having a status of history

and can be reviewed but cannot be updated or deleted. An asterisk (*) is displayed next to the sport record in the Athletic Compliance Sport block which references the data displayed in the Athletic Competition block.

An athlete can have multiple competition records for a sport within a term but can only have one competition record that is current for the sport, regardless of the term. The sport's current competition record is designated as the most recent competition record entered for the sport in the greatest term. Only the current competition record can be updated and/or copied to a future term. The only way to carry competition data forward to a future term is to use the Copy button. When a current competition record is updated, a new current competition record is created, and the original competition record is preserved as history. The Record Status field displays the status of the competition record as Current or History (Display Only).

When a competition record has been assigned to a sport, that competition record is associated with the sport throughout the athlete's career. Once competition data exists for a sport, the competition record and the associated compliance record cannot be deleted. Updates must occur on current competition record. Updates cannot be performed on competition records that are in history. Competition records can only be copied to a future term.

Once competition data exists for a sport in a term, that competition data cannot be entered in a prior term for the same sport. A sport can be created in a prior term, but no competition data can be entered. Once competition data has been entered for a sport, a current competition record will always exist. Institutions can establish procedures to update a sport record with associated status, attribute, or reason code information to indicate the sport is no longer active or current.

The number of seasons of competition available and the setting of the Season of Competition Used (Indicator) are considered for a sport across all terms when the number of seasons of competition used and the number of seasons of competition remaining are calculated. While the default number of seasons of competition available is 4, it can be changed to any value from 0-99, but a reason code is required to explain the change. No reason is required if the default of 4 is accepted. Each time the current competition record is saved, the number of seasons of competition used and the number of seasons of competition remaining will be recalculated. History competition records cannot be updated. Only current competition records can be updated.

Steps to Enter Compliance Records With Competition Data

You can enter compliance (sport) records with associated athletic competition data, athletic attributes, and athletic comments. Once athletic competition data exists for a sport in a term, the compliance and competition records in that term cannot be deleted.

2. Enter the ID for the athlete in the ID field in the Key Block.

15. Enter the ending term of eligibility in the End Term of Eligibility field. (Optional)

16. Review the default number of seasons of competition available in the Seasons of Competition Available field and change it if desired.

17. If you changed the number of seasons of competition available, you must enter a reason code in the Reason field.

18. Check the Season of Competition Used checkbox to indicate that the athlete has used a season of competition in the sport. (Optional)

19. Save the changes.

20. Review the calculated values in the Seasons of Competition Used and Seasons of Competition Remaining fields.

21. Review the status of the competition record in the Record Status field to see if it is current or in history.

Entering and Updating Athletic Attributes

Use the Athletic Attributes block on SGASPRT to enter and maintain attributes for the athletic compliance sport record. An athlete can have multiple attributes for a sport within a term. Attributes are associated with the athletic compliance sport record. They are not associated with the general student record. Attributes are unique to the sport, are associated with the term for the sport, and can be copied to a future term. An asterisk (*) is displayed next to the sport record in the Athletic Compliance Sport block which references the data displayed in the Athletic Attributes block.

Entering and Updating Athletic Comments

Use the Athletic Comments block on SGASPRT to enter comments for the athletic compliance sport record. An athlete can have multiple comments for a sport within a term. These comments are associated with the athletic compliance sport record. If you wish to enter comments associated with the athlete, regardless of the term or sport, use the General Comments block. Athletic comments are free form, are associated with the ID, sport, and term, and are not copied to a future term. An asterisk (*) is displayed next to the sport record in the Athletic Compliance Sport block which references the data displayed in the Athletic Comments block.

Entering and Updating Athletic Eligibility Information

Use the Athletic Eligibility block on SGASPRT to enter and maintain eligibility data for an athlete, such as attendance dates, enrollment dates, and number of attended terms. An athlete can have one athletic eligibility record regardless of sport and term.

Entering and Updating General Comments

Use the General Comments block on SGASPRT to enter and maintain general comments for an athlete. An athlete can have multiple general comments records. These records are created independently from the sport and term. The comment text is free form.

Entering and Updating Admissions Information

Use the Admissions window on SGASPRT to enter admissions compliance information and review admissions summary data for an athlete. You can view admission applications, curricula and field of study information, and high school and test score information. You can enter admissions compliance information for the athlete including qualification, SAT scores, high school core coursework, and high school GPA. An athlete can have one athletic admissions record, regardless of sport and term.

Entering and Updating Transfer Information

Use the Agency Transfer window on SGASPRT to enter compliance agency transfer information and review transfer data for an summary data athlete. You can view transfer institution, transfer course summary, and transfer attendance period GPA information. You can enter compliance agency transfer information for the athlete including quality points, transfer GPA, terms attended, hours and attempted hours, and residency information. An athlete can have one compliance agency transfer record, regardless of sport and term.

Performing Mass Entry for Compliance (Sport) Records

Use the Mass Entry Athletic Compliance Form (SGAMSPT) to perform mass entry athletic compliance processing for athletes with compliance (sport) records. Compliance records must exist on SGASPRT to be updated on this form. Updates can be made even when holds exist. You can search on specific criteria, perform copy, insert, or update processing, and then view the results. When the copy functionality is used, existing sport values will be copied by default, or you can overwrite existing values, insert a new attribute, and optionally copy the attributes from the current term to a future term. Current competition data can be copied to the future term.

If no search criteria is entered, the Results window will not display any records. If search criteria is entered that does not include the athletic compliance term, results will only be displayed for queries. A search criteria athletic compliance term code is always required to perform the copy, insert, or update process. When copy, insert, or update criteria is entered, you can manually enter IDs for students with athletic compliance records and then perform updates and process those records from the Results window.

Population selection can be also used to search for athletic compliance records and PIDMs that meet the search criteria of the form. Compliance records are selected first, and then an “intersect” is performed. PIDMs that exist in the population selection that meet the search criteria are selected and displayed with the results.

Copying Compliance (Sport) Records to Future Terms

Compliance records can be copied individually on SGAPSRT or copied in mass on SGAMSPT. A record is always copied to a future term. Compliance data can also be inserted or updated in mass on SGAMSPT. You cannot perform the copy, insert, or updates processes at the same time.

NoteMessages that are displayed on SGASPRT and SGAMSPT during insert, update, and copy processing are not exactly the same, but they are similar. Messages in the Results window on SGAMSPT may provide more information than the autohint text or pop-ups that are displayed on SGASPRT.

Searching on SGAMSPT

Before you can copy, insert, or update compliance data using mass entry processing, you need to enter the search criteria or provide a population selection. You must enter an athletic compliance term in the search criteria to use the copy, insert, or update processes. You can leave the athletic compliance term in the search criteria null when SGAMSPT is used in query mode.

The search criteria sport is not required. When the copy process is used and the search criteria sport is null, all sports in the search criteria with the athletic compliance term are copied to the future term. When the insert process is used and the search criteria sport is null, the sport will only be inserted one time, but it will be inserted for any athlete with any sport in that term. When the update process is used and the search criteria sport is null, all sports will be updated in that term. It is suggested that a search sport be used for the copy, insert, or update processes. Only the current competition record is considered, regardless of the setting of the Season of Competition Used in this Term radio group (Yes or No) in the search criteria.

Copying on SGAMSPT

The Copy window is used to copy athletic compliance and current competition information (if it exists) from the current term to a future term. The copy, insert, or update processes cannot be performed at the same time.

Compliance data is copied as follows:

• Existing compliance values are copied by default, but those values can be modified before the copy process is performed.

• The sport code, sport status, athletic eligibility, and academic eligibility values are copied to the future term.

• When status, athletic eligibility, or academic eligibility values are not entered for the copy process, existing data is used and is copied to the future term.

• When status, athletic eligibility, or academic eligibility values are entered for the copy process, those values will supersede the existing values when the copy is performed.

• Attributes are copied to the future term when requested during the copy process.

• Beginning and ending terms of eligibility and the number seasons of competition available are copied to the future term if current competition data exists for the sport.

• The reason code for the current competition record is not copied to the future term.

• Athletic comments are not copied to the future term.

• The setting of the Athletic Aid (Indicator) is copied to the future term as unchecked or N. This setting can be changed to Yes in the Insert or Update window for update processing using the Athletic Aid radio group.

• The setting of the Season of Competition Used (Indicator) is copied to the future term as unchecked or N, regardless of the setting on the current competition record in the current term. This setting can be changed to checked or Yes in the Insert or Update window for update processing using the Season of Competition Used in this Term radio group.

Inserting or Updating on SGAMSPT

The Insert or Update window is used to insert or update athletic compliance data. The copy, insert, or update processes cannot be performed at the same time.

Use the Athletic Compliance Insert or Update Values section of the window to insert a new compliance record or update existing compliance values for athletic compliance records based on the search criteria entered in the Search window. You must enter an athletic compliance term in the search criteria in order to continue with an insert or update function, and then go on to process the results.

Inserts and updates are performed as follows:

• The athletic compliance term in the insert or update criteria reflects the value for the athletic compliance term in the search criteria and cannot be modified.

• The value in the Sport field is defaulted from the search criteria for the selected term. This value cannot be changed. (The Athletic Compliance Term value is also defaulted from the search criteria.)

• When the Sport field in the search criteria is null, the Sport field in the update criteria will also be null. In this circumstance, all sports in the search criteria

athletic compliance term will be updated. It is suggested that a search criteria sport be provided so that specific sport updates take place.

• When the Sport field in the search criteria is null, the Insert New Sport value will only be inserted one time. Duplicate sport records cannot exist for a term.

• The insert process does not insert competition data. Current competition data must be copied to a future term.

• The insert process does not insert the number of seasons of competition used in the term.

• When Athletic Aid radio group set to No in the search criteria, the Athletic Aid radio group must be set to Yes for the update process.

• When Athletic Aid radio group set to Yes in the search criteria, the Athletic Aid radio group must be set to No for the update process.

• When the Season of Competition Used in this Term radio group is set to No in the search criteria, the Season of Competition Used in this Term radio group must set to Yes for the update process.

• When the Season of Competition Used in this Term radio group is set to Yes in the search criteria, the Season of Competition Used in this Term radio group must set to No for the update process.

Copying on SGASPRT

Compliance records displayed for the term in the Athletic Compliance Sport block can be copied to a future term to create new compliance records in that future term. The Copy button is used to access the Copy Sport to Future Term window where you can specify the term to copy the compliance record to and then perform the copy. A compliance record can only be copied to a future term (the to term). The from term data is automatically populated with the current term and cannot be changed. If the compliance record already exists in the specified future term, the compliance data will not be overwritten. If the compliance record does not exist in the future term, the record will be copied.

Compliance records can exist in any term, with or without competition data. When a compliance record has associated current competition data, the current competition data is copied. When competition data is copied, the from term competition record becomes the history record and cannot be modified. The to term competition record becomes the current competition record and can be modified. If current competition data exists in a future term, the copy process will not copy that competition data. Copying attributes is optional. Attributes can be copied regardless of the existence of competition data.

NoteYou can use Count Query Hits from the Sport field on SGAPSRT to see the current competition term for the sport when you are on a record in a prior term, or see a message that no current competition term exists for the sport.

• The reason code is not copied to the future term.

• Seasons of competition used and seasons of competition remaining are recalculated.

• Attribute data will be copied to the future term when the Copy Attributes checkbox is checked in the Copy Sport to Future Term window.

Compliance records with competition history can be copied a future term, but only the compliance data is copied. Competition data is not copied, as it is not current. Attributes are copied if selected. Current competition data can be copied to any future term. For example:

• The compliance record for golf exists in term 200111 with competition history.

• The compliance record for golf exists in term 200122 without competition data.

• The compliance record for golf exists in term 200133 with current competition data.



You choose to copy the compliance record for golf in term 200133 with current competition data to term 200166. The compliance and competition records are copied successfully. The results are:

• The compliance record for golf exists in term 200133 with competition history.

• The compliance record for golf exists in term 200166 with current competition data.

You can view the new compliance record in the Athletic Compliance Term and Athletic Compliance Sport blocks to see the data that was copied forward. The detail for the new record is displayed in the Athletic Compliance Sport block, and any competition information that was copied is displayed in the Athletic Competition block. When attributes are copied, that data is displayed in the Athletic Attributes block.

Sample Rules for Insert, Update, and Copy

Here are some example rules for how the insert, update, and copy functionality works for SGASPRT and SGAMSPT. Compliance records can be created in any term. Remember that current competition records must be copied to future terms.

The example rules that follow use these three terms:

• Term 200111 = current or prior term

• Term 200222 = future term 1

• Term 200333 = future term 2

Inserting and Updating Compliance (Sport) Records

These rules refer to creating and inserting compliance records for an athlete.

• Compliance records can be created for Term 200111 when the sport does not already exist in Term 200111.

• Compliance records can be created for Term 200111 if the sport record exists in Term 200222.

• Competition records cannot be created for Term 200111 if competition data exists in Term 200222. An error is displayed that competition data cannot be created in the term.

• Competition records can be created in Term 200111 when no competition records exist for the sport in Term 200222.

• Compliance records can be created for Term 200222 when compliance records exist in Term 200111, even when competition data exists in Term 200111.

When current competition data exists in Term 200111 and compliance data (only) exists in Term 200222, competition data cannot be manually entered in Term 200222. You will need to copy the current competition data in Term 200111 to Term 200222. If you attempt to manually enter competition data in Term 200222, an error is displayed that competition data exists for this sport in a prior term, and the current competition data needs to be copied to a future term.

Copying Records Individually

These rules refer to copying compliance records on SGASPRT.

• Compliance records with no competition data in Term 200111 can be copied to any future term.

• Compliance records with current competition data in Term 200111 can be copied to Term 200222. When compliance data only exists in Term 200222, the current competition data will be copied to Term 200222.

• Compliance records cannot be copied from a future term to a previous term, such as copying from Term 200222 to Term 200111.

• Compliance records can be copied from Term 200111 to Term 200222 when no competition data exists in Term 200111, and when no compliance record exists in Term 200222.

• Compliance records with current competition data can be copied from Term 200111 to Term 200333 when current competition data exists in Term 200111 and compliance data exists in Term 200222.

Inserting and Updating Records Through Mass Entry Processing

These rules refer to inserting sport records using mass entry on SGAMSPT. For inserts and updates, the athletic compliance term for the search criteria is required. When the athletic compliance term and sport are entered in the search criteria, they will be displayed in the the Insert or Update Window and cannot be changed. To make a change, you would need to return to the Search window and re-enter a different sport or athletic compliance term.

• Compliance records can be updated for Term 200111 or Term 200222 at any time.

• Current competition data can be updated in Term 200111.

• Current competition data can be updated in Term 200222 when competition history exists or when no competition data exists in Term 200111.

• Current competition data can be updated in Term 200111 when compliance data exists in Term 200222.

• Only current competition data can be updated, regardless of term.

You must complete all updates to current competition data for Term 200111 before the competition record is copied to Term 200222. For example, you cannot go back to the competition history record and change the setting of the Season of Competition Used indicator.

Deleting Compliance (Sport) Records

These rules refer to deleting compliance records from SGASPRT.

• Compliance records cannot be deleted when athletic competition data exists.

• Compliance records can be deleted when no competition data exists for the sport, and no related data (such as athletic comments or athletic attributes) exists. Non-term data (such as transfer or admissions information) needs to be removed and the changes saved prior to the deletion of the last sport record.

• Each compliance record must be deleted separately. A prompt is displayed to ensure that you wish to delete the record and save the changes.

• You cannot delete all sport records by deleting the term.

• The General Student Purge Process (SGPSTDN) is used to purge general student records and the associated child records. Previously, sport records associated with the general student records were included in the purge. Now, sport records are not deleted when general student records are deleted. Sport records can only be deleted from SGASPRT.

Querying on Athletic Competition Information

The Athletic Compliance Inquiry Form (SGISPRT) is used to query on and view athletic compliance record and athletic competition record summary information for an athlete. You can access SGISPRT using the Options Menu from SGASPRT and SGAMSPT.

You have the ability to select how the data is displayed and organized on the form. In the Key Block, you can enter either the ID for the athlete and view the associated sport records by term, or you can enter a sport and view the associated IDs by term for the sport. You can only enter the ID or the sport, not both. Once you have entered the ID or the sport and used Next Block to access the Athletic Compliance Inquiry block, you can change the summary data display by selecting a different view from the Choose View field. The list of available views is specific to the Key Block selection of ID or sport. You can also perform subqueries on the summary data in the Athletic Compliance Inquiry block.

Tracking Athletic Academic Progress

The Athletic Academic Progress Form (SGAAPRG) is used to track the academic progress of an athlete for a degree. Progress is determined by credit hours per term and academic year, to see if the athlete is in compliance and has met the academic requirements to compete in a sport. This form provides curriculum and field of study summary information. Degree completion information can be entered as well.

Records in the Academic Requirements block cannot be modified or deleted. Only the setting of the Active (Indicator) can be changed. If you want change a record, create a new record for the term, enter the hours, make it the active record (set the Active checkbox to checked or Y), and inactivate the existing record (set the Active checkbox to unchecked or N). This creates an audit history for the athlete.

Mass Entry Column Codes for Athletic Compliance

The mass entry column codes from the Mass Entry Column Validation Form (STVMECL) are used by the SGAMSPT mass entry form for search and update validation. Here is the breakdown of how these columns are used.

Athletic Qualifier Status Validation Form (STVSAQS)

Use the Athletic Qualifier Status Validation Form (STVSAQS) to create, update, insert, and delete codes for athletic qualifier status, such as Academic Probation, Override, or Qualified. These codes are used on SGAPSRT.

Athletic Competition Reason Validation Form (STVSARE)

Use the Athletic Competition Reason Validation Form (STVSARE) to create, update, insert, and delete codes for athletic competition available reasons, such as Approved Leave of Absence, Family Leave, or Military Service. These codes are used on SGASPRT to explain why the number of seasons of competition available has changed and to provide a history of those changes on the competition record.

Reason codes can also be used to describe a time lapse in competition or for other informational reasons defined by the institution, when the number of seasons of competition that are available has not been changed.

These reason codes can be entered at any time on SGASPRT, whether or not the value in the Seasons of Competition Available field has changed. If the value in the Seasons of Competition Available field is changed, the Reason field becomes null, and a reason code from STVSARE must be entered. This can be a new code, a different code, or the same code that was there before the change was made.

Field Description

Athletic Residency Exception Validation Form (STVSARX)

Use the Athletic Residency Exception Validation Form (STVSARX) to create, update, insert, and delete codes for athletic residency exceptions, such as Green Card or Student Visa. These codes are used on SGASPRT.

Degree Completion Window

This window is used to view curriculum and field of study information, and enter, review, and query on degree completion percentage information for the athlete. The General Learner Summary block, the Curricula Summary block, the Field of Study Summary block, and the Degree Completion Percentage block are in this window. Academic year term 1 credit hour degree requirement. Enter the completed credit hours for term 1. This may be used to track fall semester hours for the 6-18-24 rule for the semester. Note: The field does not restrict you from entering more than 9.


Academic year term 2 credit hour degree requirement. Enter the completed credit hours for term 2. This may be used to track spring semester hours for the 6-18-24 rule for the semester. Note: The field does not restrict you from entering more than 9.

Field of Study Summary Block

This block is used to query on and view the field of study information for the primary curriculum record and the major. Multiple records are displayed.

Student Type Type of student the applicant will be classified as if they are accepted. If the application comes from Recruiting and no student type was specified in Recruiting, the default value is 0 (undeclared). This value comes from the Student Type Code Validation Form (STVSTYP). It can be changed.

Rate Special rate code that can be associated with an applicant. This value comes from the Student Fee Assessment Code Validation Form (STVRATE).

The list of values from STVRATE is restricted and only displays fee codes that have a detail code type of C, and a detail category code of APF as defined on the Detail Code Control Form (TSADETC).

There is a corresponding rate code on the Registration Fee Assessment Rules Form (SFARGFE) to group a specific population of applicants that all have the same rate code.

Level Level for the module’s curriculum record.

Campus Campus for the module’s curriculum record.

College College for the module’s curriculum record.

Degree Degree for the module’s curriculum record.

Admission Admission term for the module’s curriculum record.

Matriculation Matriculation term for the module’s curriculum record.

This block is used to enter, review, and query on information that shows the progress the athlete is making toward completing the hours needed for the degree.

Reason for change in the hours and percentage of degree completion, such as an incorrect grade. Enter a reason when a second record is created for the same term as an existing record.

List - Degree Completion Change Reason Validation Form

Overall GPA Overall cumulative GPA for the student for the term. This value is determined by the system based on the level for the SOVLCUR record.

Recalculate Needed Radio group used to show whether the student’s GPA needs to be recalculated, Yes or No. The GPA can be recalculated on the SHAINST form. This field is display only.

Mass Entry Athletic Compliance Form (SGAMSPT)

Use the Mass Entry Athletic Compliance Form (SGAMSPT) to perform mass entry athletic compliance processing for athletes with compliance (sport) records. Compliance records must exist on SGASPRT to be updated on this form. Updates can be made even when holds exist. You can search on specific criteria, perform copy, insert, or update processing, and then view the results. When copy functionality is used, existing sport values will be copied by default, or you can overwrite existing values, insert a new attribute, and optionally copy the attributes from the current term to a future term. Current competition data can be copied to the future term.

If no search criteria is entered, the Results window will not display any records. If search criteria is entered that does not include the athletic compliance term, results will only be displayed for queries. A search criteria athletic compliance term code is always required to perform the copy, insert, or update process. When copy, insert, or update criteria is entered, you can manually enter IDs for students with athletic compliance records and then perform updates and process those records from the Results window.

Population selection can be also used to search for athletic compliance records and PIDMs that meet the search criteria of the form. Compliance records are selected first, and then an “intersect” is performed. PIDMs that exist in the population selection that meet the search criteria are selected and displayed with the results.

Main Window

This window contains the Search Criteria and Population Selection information. Use the Search tab to access this window from other windows in the form.

Search Criteria Information

Use this section to enter the search criteria for mass entry athletic compliance processing. Use the search criteria and/or the population selection criteria to perform the search. If any search criteria are entered in this block, you must include an athletic compliance term in the search criteria. You must also enter an athletic compliance term in the search criteria to use the copy, insert, or update processes. You can leave the athletic compliance term in the search criteria null when SGAMSPT is used in query mode.

The search criteria sport is not required.

• When the copy process is used and the search criteria sport is null, all sports with the athletic compliance term from the search criteria are copied to the future term.

Sport Sport code for the search criteria. Only student activity codes with an activity type of SPRTS on STVACTC can be used. When no sport code is entered, all sport codes will be selected.

A sport record must exist for the athlete on SGASPRT in order to perform mass processing.

Population Selection Information

Use this section to enter a population selection of students for mass entry processing.

Copy Window

This window is used to copy athletic compliance and current competition data from a current term to a future term. The copy, insert, or update processes cannot be performed at the same time.


• Existing compliance values are copied by default, but those values can be modified before the copy is performed.

Athletic Aid Radio group used to designate existing athletic aid.

Choices are: No, Yes, No Selection.

Season of Competition Used in this Term

Radio group used to designate that the athlete has completed a season of competition in the sport for the term. Only current competition is considered.

Choices are: No, Yes, No Selection.

Field Description

Application Application code that identifies the general area for which the selection identifier is defined.

The Population Selection Extract Inquiry Form (GLIEXTR) may be used to review the people who will be processed in the load from the selection identifier and application code entered.

List - Application Inquiry (GLIAPPL)

Selection ID Code that identifies the population with which you wish to work. The selection identifier must be defined on the Population Selection Definition Rules Form (GLRSLCT).

List - Population Selection Inquiry Form (GLISLCT)

Creator ID User ID of the person who created the population rules.

User ID User ID for the population selection. This is the ID of the user who selected the population of people. This ID may or may not be the same as the Creator ID.

• Athletic comments are not copied to the future term.

• The setting of the Athletic Aid (Indicator) is copied to the future term as unchecked or N. This setting can be changed to Yes in the Insert or Update window for update processing using the Athletic Aid radio group.

• The setting of the Season of Competition Used (Indicator) is copied to the future term as unchecked or N. This setting can be changed to checked or Yes in the Insert or Update window for update processing using the Season of Competition Used in this Term radio group.

This is required when any other search criteria is entered, including population selection, to perform the copy, insert, or update. This term must be greater than the term entered in the search criteria.


Sport Sport code for the copy criteria. This value defaults in from the search criteria.

When the Sport field in the search criteria is null, the Sport field in the copy criteria will also be null. The copy process will copy all sports for the search criteria term to the future term, when those records are processed in the Results window. It is suggested that a sport exists in the search criteria that will be used for the copy process.

Insert or Update Window

This window contains the Athletic Compliance Insert or Update Values and Mail Submission information. The copy, insert, or update functions cannot be performed at the same time. Use the Insert or Update tab to access this window.

Athletic Compliance Insert or Update Values Information

Use this section of the window to insert a new compliance record or update existing compliance values for athletic compliance records based on the search criteria entered in the Search window. You must enter an athletic compliance term in the search criteria in order to continue with an insert or update function, and then go on to process the results.

• For inserts and updates, the athletic compliance term for the search criteria is required. This prevents a different sport than the one on the current term compliance record from being copied or updated and then compromising the data and audited competition records. You can use a mass insert or update for compliance records for a selected group of athletes that are not associated with a particular sport.

• For updates, the search sport and athletic compliance term are required and cannot be changed in the Insert or Update window, once they have been entered in the Search window. To make a change, you would need to return to the Search window and re-enter a different sport or term. You also cannot change the number of seasons available or the number of seasons of competition used. This will cause those future term values to be incorrect.

Inserts and updates are performed as follows:

• The athletic compliance term in the insert or update criteria reflects the value for the athletic compliance term in the search criteria and cannot be modified.

• The value in the Sport field is defaulted from the search criteria for the selected term. This value cannot be changed. The Athletic Compliance Term value is also defaulted from the search criteria.

• When the Sport field in the search criteria is null, the Sport field in the update criteria will also be null. In this circumstance, all sports in the search criteria athletic compliance term will be updated. It is suggested that a search criteria sport be provided so that specific sport updates take place.

• When the Sport field in the search criteria is null, the Insert New Sport value will only be inserted one time. Duplicate sport records cannot exist for a term.

• The insert process does not insert competition data. Current competition data must be copied to a future term.

• The insert process does not insert the number of seasons of competition used in the term.

• When Athletic Aid radio group set to No in the search criteria, the Athletic Aid radio group must be set to Yes for the update process.

• When Athletic Aid radio group set to Yes in the search criteria, the Athletic Aid radio group must be set to No for the update process.

• When the Season of Competition Used in this Term radio group is set to No in the search criteria, the Season of Competition Used in this Term radio group must set to Yes for the update process.

• When the Season of Competition Used in this Term radio group is set to Yes in the search criteria, the Season of Competition Used in this Term radio group must set to No for the update process.

Term for the insert or update criteria. This value defaults in from the search criteria. Inserts and updates can only be performed for the term in the search criteria.

Sport Sport code for the insert or update criteria. This value defaults in from the search criteria and is updated for the selected term. It is suggested that a sport exists in the search criteria that will be used for the insert or update process.

When the Sport field in the search criteria is null, the Sport field in the insert or update criteria will also be null. In this circumstance, the insert or update process will update all sports for the search criteria term.

Mail Submission Information

Use this section to enter letters and mailing information used to contact athletes involved in the mass processing.

NoteLetters submitted through athletic compliance mass entry processing are assigned the module of Student and the term of 999999 on SUAMAIL.

Insert New Sport Additional, unique sport code for the insert or update criteria. Only student activity codes with an activity type of SPRTS on STVACTC can be used.

You can only add a sport for an athlete with an existing sport record (the value in the Sport field). The new sport must be different from the one in the Sport field. The new sport can be assigned status, athletic eligibility, academic eligibility, attributes, and athletic aid information.

When this field is null, an update is performed. When this field has a value, an insert is performed, and the new sport is inserted for the athletes selected in this term. A sport record will not be inserted in a future term if it already exists in that future term.

This window is used to view the mass entry results and then submit the results for immediate update processing or hold the updates for later processing through job submission using the Process Mass Entry Report (SORMEBP). This window contains the Results block and the Submission block.

Results Block

Use this block to view and update the results of the search and/or add individual IDs for processing. You can select and deselect IDs for processing and query on various fields for individual records. You can also review result messages. Please note that attribute messages may be displayed multiple times when multiple processes have been performed, such as a copy and an insert for the same record.

TipYou can navigate to directly display and review individual result messages for consecutive records without using Next Record and tabbing to the Message field. When you are in the Message field for a record, use the Edit button to open the Edit window. Click OK when you are done, and then press the Tab key to view the message for the next record. Continue to click OK and press the Tab key to review as many messages as you want.

Use the Options Menu to access various forms for general person, recruiting, admissions, general student, registration, academic history, and graduation application information. You can also view holds and use Remember ID to view a specific ID.

Athletic Compliance Inquiry Form (SGISPRT)

This form is used to query on and view athletic compliance record and athletic competition record summary information for an athlete. You can access SGISPRT using the Options Menu from SGASPRT and SGAMSPT.

You have the ability to select how the data is displayed and organized on the form. In the Key Block, you can enter either the ID for the athlete and view the associated sport records by term, or you can enter the sport and view the associated IDs by term for the sport. You can only enter the ID or the sport, not both. Once you have entered the ID or the sport and used Next Block to access the Athletic Compliance Inquiry block, you can change the summary data display by selecting a different view from the Choose View field. The list of available views is specific to the Key Block selection of ID or sport. You can also perform subqueries on the summary data in the Athletic Compliance Inquiry block.

The following forms have been changed for this enhancement.

Athletic Compliance Form (SGASPRT)

This form, previously called the Student Sport Form, has been renamed the Athletic Compliance Form. The form has been redesigned for this enhancement. Windows and tabs have been added for use with athletic compliance, athletic competition, athletic attributes, athletic comments, and athletic eligibility, as well as general comments, admissions information, and transfer information. The Options Menu selections have been expanded. You can use the Options Menu to access SGISPRT for athletic summary queries, SGAMSPT for mass update processing, and SGAAPRG for academic progress review.

NoteWhen you use the Options Menu on SGASPRT to access other forms, if the form selected has a Key Block term, the term value from the Athletic Compliance Term block will be used.

This form is still used to assign sport codes and status information by term to an athlete and associate related comments. You can now also maintain competition and attribute information, as well as enter or review athletic eligibility, admissions, and transfer data for the athlete. The admissions summary information includes any applications the athlete has submitted, high school attendance, and test score data. The transfer summary information includes transfer institutions, transfer courses, and transfer attendance period GPA data. A compliance (sport) record must exist in order to enter data that is not term-dependant, such as athletic eligibility, general comments, admissions information, and transfer information).

The previous requirement that an athlete had to have a general student record (SBGSTDN) to be processed on this form has been removed. You can now enter and update compliance information for an athlete with the minimal requirement that a general person record (SPRIDEN) exists. have an associated general student record, you can continue to do so. A student status is displayed for the record for the term for an ID with a general student record.

At a term and sport level, the associated competition data (including total number of seasons of competition available and number of seasons of competition used), athletic attributes, and athletic comment information can be entered. Sport records, the current competition for the sport, and optionally, athletic attributes for the sport, can be copied to a future term.

At the athletic level, athletic eligibility, general comments, admissions information, and transfer information can be maintained, once an athlete has been assigned to a sport/compliance record. While multiple sport records can exist for the athlete per term or terms, only a single eligibility, admission, or transfer record can exist for an athlete. Multiple general comments can be recorded for an athlete. The use of athletic eligibility, general comments, admissions, and transfer information is optional and can be deleted at any time.

The General Student Purge Process (SGPSTDN) is no longer used to delete sport records, as sport records are no longer associated with general student records (SGBSTDN). Sport records in a term can be deleted individually from SGASPRT as long as no associated competition data (history or current), athletic attributes, or athletic comments exist. If athletic eligibility, general comments, admissions, or transfer data exists, the last sport record cannot be deleted. To delete the last sport record, the athletic eligibility, general comments, admissions, or transfer data must be deleted, as well as any attributes and comments associated with the sport. A sport record can never be deleted if any associated competition data (history or current) exists.

This window contains the Key Block, Athletic Compliance Term block, Athletic Compliance Sport block, Athletic Competition block, Athletic Attributes block, and Athletic Comments block. Use the Competition, Attributes, and Comments tabs to navigate between the Athletic Competition, Athletic Attributes, and Athletic Comments blocks.

Key Block

Use this block to enter the ID for the athlete. The athlete does not need to have a general student record for an athletic compliance record to be entered.

Field Description

ID ID and name of the person for whom athletic information can be entered, maintained, or queried. Any ID with a general person record (SPRIDEN) can be entered.

Athletic Compliance Term Block

Use this block to enter the term for the athletic compliance record and review indicators to determine whether the athlete has associated prospect, admissions, and/or general student records. One or all of these indicators can be displayed as checked by the system. The student status is also displayed when a general student record exists for the ID and term. You can scroll through the athletic compliance records by term and see the existing sport records in the Athletic Compliance Sport block.

Compliance records can be created and modified for any term and are not required to have associated competition data. Compliance records can be modified in any term, regardless of the existence of competition data. They can also be modified if the athlete is deceased. Compliance records without competition data can be copied to a future term.

Compliance records with a history of competition can be copied to a future term using the copy functionality, but only the compliance information will be copied. Compliance records with current competition data can be copied to a future term, and the associated current competition data is also copied. If you try to copy the current competition record to a future term and the compliance record already exists, the current competition record will be copied. The compliance record will not be modified in the future term.

Athletic Compliance Sport Block

Use this block to enter and maintain athletic compliance records by sport for the ID and term. Multiple compliance records can exist for the ID and term, as long as the sport code for each record is unique. Compliance records contain data for the sport, sport status, athletic eligibility, academic eligibility, and athletic aid.

Compliance records can be entered with or without competition data. Sport-specific attribute and athletic comment information can also be entered. Data that is not related to term or sport can be entered for athletic eligibility, general comments, admissions information, and transfer information. Admissions and transfer summary information can be reviewed, and athletic compliance admissions and compliance agency transfer data can be entered.

A compliance record cannot be entered if it already exists for the athlete for the term. A compliance record cannot be deleted if any associated competition records, athletic attributes, or athletic comments exist for the sport and term. When data exists that is not term-based (such as athletic eligibility data, general comments, admissions information, or transfer information), the last (most recent) sport record cannot be deleted.

Compliance records are displayed for the term in the Athletic Compliance Sport block and can then be copied to a future term to create new sport records. The Copy button is used to open the Copy Sport to Future Term window where you can select the future term to copy the individual athletic record to and then perform the copy. A compliance record can be copied to a future term (the to term). Attributes can be copied if you choose.


• The setting of the Athletic Aid (Indicator) is copied to the future term as unchecked or N. This setting can be changed to checked or Y on the new record.

• If the compliance record for the future term already exists, then the existing record will not be modified.

• If the compliance record for the future term does not already exist, a new compliance record will be created using the from term values.

Competition data is copied as follows:

• If the compliance record for the future term already exists, the current competition data is copied to the future term.

• Beginning and ending terms of eligibility and the number of seasons of competition available are copied to the future term.

• The setting of the Season of Competition Used (Indicator) is copied to the future term as unchecked or N. This setting can be changed to checked or Y on the new record.

• The reason code is not copied to the future term.

Athletic Competition Block

Use this block to enter and maintain information related to athletic eligibility in the sport, such as the number of seasons of competition available, and to indicate if the athlete has used a season of competition for the sport. A reason code for a time lapse in the athlete's availability can also be entered at any time and is required whenever the number of seasons of competition available is changed. The number of seasons of competition used and the number of seasons of competition remaining are calculated and are display only. Competition records can never be deleted. They are retained for historic reference following an athlete's participation in a sport throughout that athlete’s career at the institution.

When a competition record has been saved for a sport in a term, it becomes the current competition record for the sport. Only the current competition record for a sport can be modified, regardless of the term. Once current competition record exists for a sport, it must be copied to a future sport record to carry that information forward from one term to the next. Once the current competition data has been copied, the prior term competition becomes history and can no longer be modified. The future term current competition can then be modified.

Competition records for a sport in a term are displayed from most recent to least recent. When a new competition record is saved, it becomes the current competition record, and it is given a oneup sequence number. Only a single current competition record can exist, and it cannot be deleted. Previous competition records are noted as having a status of history and can be reviewed but cannot be updated or deleted. An asterisk (*) is displayed next to the sport record in the Athletic Compliance Sport block which references the data displayed in the Athletic Competition block.

An athlete can have multiple competition records for a sport within a term but can only have one competition record that is current for the sport, regardless of the term. The sport's current competition record is designated as the most recent competition record entered for the sport in the greatest term. Only the current competition record can be updated and/or copied to a future term. When a current competition record is updated, a new current competition record is created, and the original competition record is preserved as history. The Record Status field displays the status of the competition record as Current or History (Display Only).

When a competition record has been assigned a sport, that competition record is associated with the sport throughout the athlete's career. Once competition data exists for a sport, the competition record and the associated compliance record cannot be deleted. Updates must occur on current competition record. Updates cannot be performed on competition records that are in history. Competition records can only be copied to a future term.

Once competition data exists for a sport in a term, that competition data cannot be entered in a prior term for the same sport. A sport can be created in a prior term, but no competition data can be entered. Once competition data has been entered for a sport, a current competition record will always exist. Institutions can establish procedures to update a sport record with associated status, attribute, or reason code information to indicate the sport is no longer active or current.

The number of seasons of competition available and the setting of the Season of Competition Used (Indicator) are considered for a sport across all terms when the number of seasons of competition used and the number of seasons of competition remaining are calculated. While the default number of seasons of competition available is 4, it can be changed to any value from 0-99, but a reason code is required to explain the change. No reason is required if the default of 4 is accepted. Each time the current competition record is saved, the number of seasons of competition used and the number of seasons of competition remaining will be recalculated. History competition records cannot be updated. Only current competition records can be updated.

When a sport record is entered, the value defaults to 4, but it can be changed. If it is changed, a reason code must be entered in the Reason field.

Reason Reason code used to explain why the number of seasons of competition available has changed. Only the current athletic competition record for the sport for the most recent term can be updated.

This is required to for history purposes to record changes made to the number of seasons of competition available. Athletic competition history can be viewed to see all changes over time by user ID.

Reason codes can also be used to describe a time lapse in competition or for other informational reasons used by the institution, when the number of seasons of competition available has not been changed. These reason codes can be entered at any time, whether or not the Seasons of Competition Available value has changed. If the Seasons of Competition Available value is changed, this field is becomes null, and a reason must be entered.

List - Athletic Competition Available Reason Validation (STVSARE)

Season of Competition Used

Checkbox used to indicate whether an athlete has used a season of competition in the sport. This indicator can only be changed for the current competition record. This indicator is manually set.

When the setting of this indicator is changed, a warning is displayed that changing the season of competition used will change the total number of seasons of competition that remain for the athlete in the sport.

This field cannot be modified for a competition record that has a record status of history.

Seasons of Competition Used

Total number of seasons of competition completed for this sport. This can be a negative number.

Athletic comments are free form and are associated with the ID, sport, and term. An asterisk (*) is displayed next to the compliance record in the Athletic Compliance Sport block which references the data displayed in the Athletic Comments block.

Record Status Status of the athletic compliance record. This field indicates whether the record is current or is in history. Current records can be updated. Records in history cannot be updated. Display only.

Copy Sport to Future Term Window

Use this window to copy compliance records, competition data, and attributes (optional) for an individual athlete to a future term. If the compliance record already exists in the specified future term, the compliance data will not be overwritten. If the compliance record does not exist in the future term, the record will be copied.

Select the Copy button for the compliance record in the Athletic Compliance Sport block to access this window. You can then choose the future term and indicate whether you want to copy the attributes. You cannot change the sport code or the from term. You cannot copy the sport record to a prior term. Use the Process Copy button to perform the copy. Use the Return button to return to the main window and not perform the copy.

After the copy has been performed, you can view the new record in the Athletic Compliance Term and Athletic Compliance Sport blocks to see the data that was copied forward. The detail for the new record is displayed in the Athletic Compliance Sport block, and any competition information that was copied is displayed in the Athletic Competition block. When attributes are copied, that data is displayed in the Athletic Attributes block. Competition data that is copied displays a record status of Current, and the values for this record in the Athletic Competition block can be updated.

Only the current competition data for the sport in the term is copied to a new record in the future term. If competition data exists in a future term, the process will not copy that competition data. When a sport record has associated competition data, the future term must be greater than the maximum existing term for the sport, in order for the competition data to be copied.

NoteYou can use Count Query Hits from the Sport field to see the current competition term for the sport when you are on a record in a prior term, or see a message that no current competition term exists for the sport.

When competition data is copied, the from term competition record becomes the history record and cannot be modified. The to term competition record becomes the current record and can be modified. Compliance records with competition history can be copied a future term, but only the compliance data is copied. Competition history is not copied, as it is not current. Competition data can be copied to a future term, but it cannot be copied for a between term.

Beginning and ending terms of eligibility are copied to the future term. The setting of the Season of Competition Used (Indicator) is not copied to the future term. Reason codes are not copied. The setting of the Athletic Aid (Indicator) is not copied. You must manually reset the Athletic Aid (Indicator) to checked (Y) if it was checked on the record that was copied from. Athletic attributes are not copied unless selected. Athletic comments are not copied.

Use this block to enter and maintain general comments for the athlete. An athlete can have multiple general comment records. If you wish to enter comments associated with the term and sport, use the Athletic Comments block.

Comments are free form. You must enter a comment type, an originator, and a comment in order to save the comment. Once a comment has been entered and saved, you can only update the text. You cannot change the comment type or the originator. You can create multiple comments with the same comment type and originator.

Admissions Window

This window provides a summary of academic information for the athlete. Use the scrollbars to review multiple records. You can query on the summary records, but you cannot update them.

This window contains the Application Summary block, the Curricula Summary block, the Field of Study Summary block, the High School Summary block, the Test Score Summary block, and the Athletic Compliance Admissions block. Field Description

Qualifier Status Athletic qualifier status code, such as qualified or academic probation. This status is based on the student satisfying the initial eligibility requirements during the first year of academic enrollment in the institution for incoming freshman, continuing education, or transfer students.

Students can be partial qualifiers or non-qualifiers. Partial qualifiers have graduated from high school and have met a minimum number of requirements for high school core courses or GPA or SAT/ACT scores but have not met all requirements. Non-qualifiers have not graduated from high school or have not completed core course requirements or have not achieved the minimum GPA or have not achieved the required SAT/ACT scores.

Description This process will purge general student records for students who have never registered based onparameters listed below. You can choose one of two options: option 1 is general student recordswho are not registered by term, and option 2 is term and date. You can choose to leave the high college, guardian, test score, and hold information on the database also by parameter selection. information will not be purged if the following conditions exist.

• The student has active holds.

• The student has academic history information, i.e., a term course maintenance record exisSHRTTRM table.

However, if the general student record is purged, the associated communication plan record, aloperson's contacts and outside interests will also be purged.

The process checks if the SGBSTDN record is the last record for the PIDM and has a curriculumassociated graduation application that has not been rolled. 2 Current Indicator Enhancement - Functional

Overview

Curriculum processing has been updated for how the setting of the Current (Indicator) checkbox is calculated for the OUTCOME module curriculum record, which satisfies RPE #1-135OCF. This indicator appears in the Curriculum Window and the Curricula Summary block. You can now order the results by term and sequence number, instead of just by sequence number.

A new checkbox has been added to SOACTRL to select results ordered by term and sequence number. This new indicator must be set before the outcome conversion is run. A new Current Code column has been added to SORLCUR and SORLFOS to indicate the current curriculum or field of study record for the module.

The Current Code replaces the calculated Current Indicator, found in the SOVLCUR and SOVLFOS views. New scripts are delivered to populate the Current Code with the value from the Current Indicator. Once the new code has been populated on all old curriculum records, the SOVLCUR and SOVLFOS views will use the new Current Code. New indicators have been added to SOBCTRL to track the migration process.

Changes have also been made to the Curriculum window and the Curricula Summary block to display the end term information for learner curriculum records. The end term functionality is now used to determine if the learner curriculum is current, based on the effective term and end term of the SGBSTDN record.

The Banner curriculum views have been enhanced to use the new Current Code once it has been populated for all records in the module.

Current Indicator Conversion

Conversion scripts are used to migrate the Current Indicator to the Current Code. The backfill process also performs updates.

Conversion scripts are delivered to migrate the setting of the Current (Indicator) to the Current Code. The scripts are:

Execute the four scripts from SQL*Plus.

Backfill Process

The backfill process is used to update the SORLCUR_CURRENT_CDE column and the SORLFOS_CURRENT_CDE column. The soklcur.p_backload_curr procedure has been updated to do the following:

1. The procedure checks for changes between the old and new curriculum values before calling the host DDL, and it only calls the backfill procedure if a change is found.

2. The backfill procedure then updates the Current (Indicator) checkbox for LEARNER and non-LEARNER types with the Current Indicator setting from the Curriculum API and Field of Study API calculations. For LEARNER types, the following occurs to update the End Term field.

2.1. All SORLCUR LEARNER records are read, including old, current calculations.

2.2. If the Current Indicator is set to Y, and the SORLCUR_CURRENT_CDE is null, then the SORLCUR_CURRENT_CDE is set to Y.

2.3. If the Current Indicator is set to N, the SORLCUR_CURRENT_CDE is Y, and the SORLCUR_TERM_CODE is less than the effective term, then the SORLCUR_CURRENT_CDE remains set to Y, and the SORLCUR_TERM_CODE_END is set to the effective term.

2.4. The SORLCUR_TERM_CODE_END may be reset to null, if it is now current for the end term.

2.5. The SORLFOS_CURRENT_CDE can remain set to Y, if the SORLCUR_CURRENT_CDE is Y, and the SORLCUR_TERM_CODE_END is populated.

A new column has been added to the table. It is used to display the current OUTCOME curriculum first by term and then by priority.

Susoplccd_backfill.sql

This script is executed from SQL*Plus. It will execute the backfill process for a single Banner ID or for a population selection. The prompts include Banner ID or the population selection criteria: Application Code, Selection Identifier, Creator ID, and User ID.

The script will execute the backfill process (soklcur.p_backload_curr) for all recruiting, application, degree, and learner records.


Changed Script

The following script has been changed for this enhancement.

Srsorchlg.sql

This script is used to find backfill errors. The SELECT statements have been rewritten to improve performance.

The data is selected, compared to the curriculum and written to the new table SOTFCUR which was delivered with 8.1. The data is then selected and displayed in report format.

A new option to store the errors in a population selection was added. There are four new prompts at the start of the procedure for the population selection application, selection ID, creator ID and user ID. Before using these the population selection must first be added to GLRSCLT the Population Selection Definition Rules form. The values can be entered in lower case when prompted by the script srsorchlg.sql.

Changed Banner Views

SOVLCUR

This view has been updated for this enhancement. The SOVLCUR_CURRENT_CDE row has been added.

A script is delivered to convert the SOVLCUR_CURRENT_IND row to the SOVLCUR_CURRENT_CDE row. The new column will not be used until the conversion has been run. You can apply this release and run the conversion when you wish.

A new cursor has been added to return the maximum sequence based on a sort by term. This cursor is executed when the Display current outcome curriculum by term checkbox on SOACTRL is checked (set to Y).

• The sokd_sorlcur.p_update_current procedure has been added to update the SORLCUR_CURRENT_CDE, SORLCUR_TERM_CODE_END, SORLCUR_UPDATE_USER_ID, and SORLCUR_UPDATE_ACTIVITY_DATE columns.

How to Query for the Current Indicator

The process used to query for current records has been made easier. The SOVLCUR Banner view looks at the new columns on SOBCTRL to check if the conversion has taken place. If it has, the Curriculum API returns the SORLCUR_CURRENT_CDE value, rather than calculating the setting of the Current Indicator.

Here is some sample code for how to query on the Current Indicator (SORLCUR_CURRENT_CDE).

For non-LEARNER types: (RECRUIT, OUTCOME, ADMISSIONS) the process is as follows:

ACT 2008 - 2009 Regulatory Changes

(#1-3TUIID)

This enhancement provides regulatory updates for ACT Electronic Student Record 2008 - 2009 (Colleges and Universities) processing with regard to email addresses for electronic prospects. Updates have been made in Banner Student to accommodate the regulatory changes.

Changes for 2008 ACT Processing

The file layout has undergone the following changes for the 2008 - 2009 application year. These changes are effective as of September 2008.

The ACT file can include a new field to track an email address, if it has been provided by the student. The EMAIL_ADDR field resides in positions 551-600 on the ACT tape load layout.

The EMAIL_ADDR field name value already exists on the Tape Field Names Validation Form (STVTPFD). The suptpfd12.sql script is delivered to insert the value into the Tape Field Position Rule Form (SRATPFD) and the SRTTPFD table.

Faculty Contract Term Rules Form (SIAFLCT)

This form has been modified for problem resolution #1-3TMYBY. The Default Term field has been renamed Copy From Term and has been moved to the Key Block. The Copy From Term values are selected from a list of values from STVTERM or from a list of faculty contract term rules. The Copy button has been added to the Key Block and is used to copy term contract rules to a future term.

Electronic Data Interchange Extract (SHREDIY)

This extract process has been updated for problem resolution #1-3VWWXZ. Two new parameters have been added for Process Rqsts Awaiting Grades and Process Rqsts Awaiting Degrees.

• The Process Rqsts Awaiting Grades parameter is required. It is used to process requests that learners want held until end of term grades have been rolled to academic history. Enter Y to process requests waiting for end of term grades or N to process requests that are not waiting for end of term grades. The default value is N.

• The Process Rqsts Awaiting Degrees parameter is required. It is used to process requests that learners want held until their degrees have been posted to SHADEGR. Enter Y to process requests waiting for degrees to be posted or N to process requests that are not waiting for degrees to be posted. The default value is N.

Graduation Rate Survey Report (SHRIGRS)

The following parameters are no longer used with the report:

UI Changes

The following UI changes are delivered with this release.

Schedule Form (SSASECT)

The Override Indicator field in the Instructor block is now a checkbox. (Previously, it was a O/Null flag.) When checked, instructor conflicts are overridden. When unchecked, instructor conflicts are checked but are not overridden.

Admissions Application Form (SAAADMS)

The Application Fee or Waiver and Last Application Fee fields in the Application Fees block are now radio groups. The Application Fee or Waiver field has been renamed Application Fee.

Previously, in the Application Fee field, you could enter Y to assess a fee, W to waive a fee, or leave the field blank so no billing record was generated. Now you can set the radio group to Charge Fee, Waive Fee, or None.

The Last Application Fee radio group is display only and shows the last action taken the last time the application fee code was updated. The setting for this field is displayed after

the setting for the Application Fee field has been selected and saved. The displayed values are: Fee Charged, Fee Waived, or No Fee.

Outstanding Requirements Field

The Outstanding Requirements field on SAAADMS is now a checkbox. Previously, it was a Y/N flag.

The Outstanding Items field on SAAACKL, SAADCRV, SAARRAT, SAADCBT, and SAAQUAN, and SAASUMI is now a checkbox. Previously, it was a Y/N flag. This field has been renamed Outstanding Requirements on these forms for consistency.

The Electronic Data Interchange Extract (SHREDIY) must be run in order to produce Banner travia EDI.Smart. A transcript must have been requested through the use of the Transcript Request(SHARQTC) or the Transcript Population Creation Process (SHRTPOP) in order to be producedprocess.

SHREDIY reads the requests from the collector file and generates the flat file entries for the trancontrol and log file entries. Only transcript requests with a send type of E, for EDI, will be procmay be produced for an individual with a pending request, or all requests which have been sent tThe Academic Transcript (SHRTRTC) must be run to produce Banner paper transcripts for thosare not capable of receiving EDI transcripts. The Transcript Request Form (SHARQTC) will notranscript request to be made for an institution that is not EDI capable.

When each transcript is generated, SHREDIY will update the EDI sent date and assign each tranrequest number on the Transcript Request Collector Table (SHTTRAN). The request number is number stored in the Sequence Number Base table (SOBSEQN) and updated by SHREDIY. Thesent to EDI.Smart in the control record for the generated transcript.
