QH ~ CATALOGING/CATALOGUING FRONT

[This issue's column consists of reports from the various cataloging-related committees and discussion groups that met at ALA's MidwinterConference. For those who attended these meetings, please feel free tocorrect me if I have left anything out of these reports or if I havereported something incorrectly. 1

The DeLe User's Discussion Group met Saturday, January 6th. The g~oupodiscussed the matter of 034 fields which occur io some pre-AACR2 reCor s 0OGLC. TIlis was also discussed at the Catologing and Classification 1Committee. The result of these discussions is 1n the new business sact onof the Committee's report.

Nine people attended the Cataloging and Classification Committeemeeting on Sunday, January 7th. of those attending, five ~ere committeemembers and four were not. l~o following items were discussed:

1. Preconference ststus report:Those of us conducting the preconference met Friday afternoon to finalizemore of our plans. We also went to the Newberry and saw the room wa willbe using. A new round of announcements will appear 1n several newslettersand journals. Application forms are now available from myself, BetsyMangan, or Ellen Caplan.

2. LC G&M report:Betsy Mangan reported on a cutter list for major bodies of va t er of theworld which will be published in the Spring 1990 CRtnloging ~Bulletin and the progross being made on cho map cacaloging manual whichshould be published by Cataloging Distribution Service in the fall. Shealso discussed the potential for the availability of Geographic Cutters inmachine-readable form.

3. CC:DA report:A separate report follows.

4. AAGCCM report:There has been no communication from LC, which has the Secretariat of AACCCM,although it had been announced at the last midwinter conference that there ismoney available to support a revision of CDItogrnphic Materials and thatletters would be sent to all the members soliciting information on whether arevision is needed. The committee will, once again, draft a letter to LCasking for a revision.

5. Old business:LC I S It ill" policy-As a result of a discussion which took place at the Committee's meeting inDallas, LC will go back to using the term ~map" in the other physicaldescription area for books when the item being described contains some mapsas illustrations. It will become official policy when it appears in LGRI.

6. New business:034'~ in pre-AAGR2 records-Ellen Caplan discussed whether OGLe should delete 034's ~hich wereincluded in some pre-AAGR2 records. These contain coordinate informationinput in the form currently used in the 255 field. While the 034 field wasvalid for use at the time it vas not defined as it is now, only for use inrecords which contain the 255 field. The consensus of the committee wasthat it would be desirable to keep the coordinate information and have oeLeexpand it into it's current form. OCLG's decision on this matter is stillpending.Changes to the Committee's membership~The Committee chose to add the following "persons" to it's membership:

HAGERT's Library of Congress liaison, a resource person from OCLe, 3nd aresource person from RLG.

The ALCTS/CCS/HAGERT Hap Cataloging Discussion Group, which also metJanuary 7th, was led by Betsy Hangan who discussed LC G&Mls policy oncataloging photocopies of maps. Betsy distributed handouts which includethe identification of various types of photocopies as defined byavailability or origin, information which is used in the bibliographicdescription of photocopies, and examples of cataloging records.

ALCTS's Committee on Classification: Description and Access met twiceat the midwinter conference. The following are the "highlights" of the sixand a half hours of discussion.1. An unofficial meeting took place on Friday with reps from the JointSteering Committee for AACR2 and the American Library Association, theCanadian Library Association, and the Library Association (co-publishers ofAACR2). They feel that a machine-readable v~rsion of AACR2 is bothinevitable AnQ desirable. JSC feels chat it should be involved in thisfrom the start and a formal proposal will be introduced at their fallmeeting.2. IFLA notes a crisis concerning standards for less-than-full catalogingrecords. Large national cataloging agencies are doing it for financialreasons. Smaller countries are following sections of the ISBD's forguidance in catalqging since they have not developed their own rules andthe ISBD's are published in several languages. A simplified version ofISBD(M) was distributed to those who were interested in looking at it. Itis only intended to serve as a basis for discussion of whether this isdesirable and what further action should be taken.3. The Jask Force on Abbreviations and Initial Articles in Place Namesreported on its actions. The task force was charged with investigating theimpact of discontinuing the practice of abbreviating place names in catalogaccess points and assessing the need for rules in Chapter 23 of AACR2 toprovide guidance on the deletion or retention of initial articles in placenames. There was a lot of discussion and, while the task force wasdivided, it recommends that abbreviations not be dropped in place nameentry points and believes it is impossible to write a single rule to guidecatalogers in the retention or deletion of initial articles in place names.

4. I ~m serving on a Task Force on ISBD(G). ISBD(G) is in the process ofworld-wide review and the task force was established to review it, icomparing it to AACR2 and the newly revised ISBO documents for car tograph cmaterials, monographs, serials, and nonbook matarials. Deadline for.comments to be sent to IFLA is Harch. 1 have also been asked to beinvolved with a task force on multiple versions. The task force willmonitor the ongoing discussions regarding the description of multipleversions of the same bibliographic item and contribute to them .

FREE LIBRARY 01 PHILADELPHIA

Rich Boardman states that "OVer the last six months. the Map Collectionat the Free Library of Philadelphia has been inventoried and weeded. As aresult of this long, but often interesting, process, we now can say with somecertainty that we own 123,093 maps. We also have lots and lots of duplicate(and otherwise expendable) maps from almost every state. Each state has areal mix of items (geologic, soil, transportation, etc.) and dates (mostly19205 to fairly recent). The number for each state varies. There are, alas, none for Pennsylvania.

•"State lots are available first come. first served, but you must take theentire state. Hailing labels would be appreciated. I can't guarantee~when 1can send the~-it vill depend on ho~ many tubes 1 have at any given time andwhen v~ have time ~o pack. Be patient, though. You viII get them eventually.

"This offer is good until May 1, 1990. They're gone'after that date.~

Some other items specifically mentioned include:-.;.8 superseded (1983. 5uppl. 1984) set of the ~ 1£ ~ Ceoloaie ~Hydrologic ~ .•.
