As an exhibitor and/or sponsor, you will have the ability to reach our conference attendees consistently throughout our conference. At this year’s Blended Learning Conference and Workshop, exhibits will be located in a prime traffic area central to all session rooms, with a social networking center and email lab, café seating, extended networking coffee breaks, Technology Test Kitchen, National Sponsor Demonstration Area, Welcome Reception, and one round-robin style “Discovery Session” all strategically located in the exhibit area to enhance traffic to your booth. This conference also provides vendor showcase sessions, offering sponsors and exhibitors the opportunity to present non-peer reviewed presentations to interested attendees. Each exhibitor and sponsor is provided a detailed profile page on the conference website, which allows you to present your company’s products and services to potential clients before, during and after the conference.

Sponsorship opportunities are offered throughout the conference, including customized sponsorships to fit your company’s particular needs, and are available for those interested in participating in this conference only. The details of these opportunities are defined in this exhibit prospectus. Online Learning Consortium conferences offer a wide range of sponsorship opportunities, ranging from our National Titanium sponsorship level, providing premium exhibit space and extensive benefits for all OLC conferences in 2015, to Gold through Associate level sponsorships for those interested in sponsoring individual conferences.

Exhibit Booth Features and Benefits

Online Learning Consortium conferences provide premium exhibit booth features, including pipe and draped 8’ deep x 10’ wide booths, electrical connection, ID signs, wireless internet, exhibitor badges, continental breakfasts, special events in the exhibit area, and pre- and post-conference attendee mailing lists for all exhibitors.

Virtual Attendee Option

Each Online Learning Consortium conference contains opportunities for individuals and institutions unable to physically attend the conference to view key sessions of the program virtually. In 2015, all three OLC conferences had a wide-variety of sessions live webcast to an international audience. These webcasts included keynote, plenary, featured, best-in-track, National and Gold sponsor vendor showcase sessions, and a variety of regular presentations representative of each track for a conference. The virtual component of our conferences will again stream live online, with on-demand access available to all onsite and virtual attendees for one (1) year post-conference. Special attention will be paid to integrate the face-to-face events with the virtual events in a way that makes the virtual attendees true participants of the conferences. For 2015, a virtual attendee option of 40+ sessions will be offered as a registration choice for the Blended Learning Conference and Workshop. National and Gold sponsor vendor showcase sessions at the Annual Online Learning Consortium International Conference (Orlando) and the Emerging Technologies for Online Learning International Symposium (Dallas) will be live webcast and recorded for on-demand viewing.

Exhibiting at the Blended Learning Conference and Workshop

The Blended Learning Conference and Workshop offers robust onsite attendance and an exciting virtual attendee offering for its more technically-savvy attendees. Workshops will be included for all attendees as part of the regular program and at no additional cost for attendees. We expect the addition of the workshops as well as our exciting location in Denver to draw a significant number of new attendees to this year’s conference.

Who Should Exhibit

We welcome organizations who offer hardware, software, Internet activities, distance and blended learning, educational technology and other products and services of interest to higher education and K-12 faculty, administrators, instructional designers, and trainers, as well as professional development professionals in healthcare, government and workforce training.

The conference brings together individuals interested in research and practical application-based aspects of blended learning. Experts, intermediate, and novice users are welcome to participate in conference activities that will include face-to-face and virtual components. The conference is geared to experienced professionals and interested newcomers to blended learning who hail from a variety of work sectors, including higher education, continuing education, business, government, health care, professional associations, and nonprofit organizations.

Attendance at the 2014 conference located in Denver, CO attracted 558 onsite and 625+ virtual attendees from over 392 institutions, 46 states & territories, and 15 countries representing college level faculty and administrators, instructional technology professionals and instructional designers.

Additional Information Guidelines for Submitting a Conference Presentation

Companies and vendors provide value to OLC Conferences through program presentations, exhibits and sponsorships. Vendors may submit presentations through the regular Call for Presentations or directly to the Conference Director for a vendor showcase. Vendor Showcase presentations:

• Are established each day for sponsors/exhibitors to make presentations on their products and services.

• May include submissions that are moved from academic tracks in the Call for Presentations to the Vendor Showcase schedule at the recommendation of the Program chair.

• May be submitted directly to Christine Hinkley at [email protected] as part of the sponsorship/exhibit process. Showcase proposals will be reviewed by the Conference Director and the conference program chair for approval of content.

National sponsors are guaranteed a Vendor Showcase presentation slot, if desired. Remaining slots are assigned to sponsors by level, and then to exhibitors in order of exhibit contracts received as space is available.

These sessions are distinctly marked as Vendor Showcase presentations in conference materials including the Schedule-at-a-Glance, mobile app, website, and room signage. This includes language that these presentations should be expected to include some sales promotional language in them.

Advertising Opportunities

A rotating slide show of full-color sponsor advertisements is shown on a large LCD Display near the entrance to the exhibit area throughout the conference. Sponsor advertisements are also published in the printed Schedule-at-a-Glance booklet. Advertising at an OLC conference is an excellent way to increase your visibility to conference attendees.

Booth Selection

Booth selection will occur at the end of early bird registration (mid-May), with the OLC Conference Team assisting exhibitors on their selection. Selection order will occur as follows: National Sponsors will receive first booth choices, followed by sponsors in order of sponsorship level, and then exhibitors. All selections in a particular sponsorship or exhibit category are made in the order contracts are received by the Conference Director. Every attempt will be made to assign you the space of your choice. If your selection has already been reserved, we will assign you the best space available. Exhibit set-up, exhibit hours, and dismantle times are subject to change. Please check with the Conference Director or the conference website for an updated schedule prior to the conference.

Cancellation/Refunds Policy

Requests for exhibit space refunds must be made in writing to the Online Learning Consortium no less than 45 days before the conference start date, in which case a refund will be issued minus a 45% cancellation fee due to the financial commitment made by The Online Learning Consortium on your behalf with your original request. No refunds will be honored after the cancellation date. National sponsorship contracts are non-refundable. The Online Learning Consortium is not responsible for any change/cancellation charges assessed by airlines, travel agents, hotels or other similar vendors.

Step 4: Acceptance as Binding Contract for Exhibitor

Venue

As a sponsor or exhibitor (“Vendor”), Vendor will attend the Online Learning Consortium’s (“OLC”) 12th Annual Blended Learning Conference and Workshop, to be held July 7-9, 2015 at Sheraton Denver Downtown, Denver, CO

National Sponsors will also exhibit at:

• The 8th Annual Emerging Technologies for Online Learning International Symposium, A Joint Symposium of the Online Learning Consortium and MERLOT, to be held April 22-24, 2015 at the Sheraton Dallas Hotel, Dallas, TX.

• The 21st Annual Online Learning Consortium International Conference, to be held October 14-16, 2015 at the Walt Disney World Dolphin Hotel, Orlando, FL.

Exhibitor Space

Vendor understands that exhibit space will be assigned on a first-come first-served basis. National Sponsors will receive first booth choices, followed by other sponsors by level, and then exhibitors in order contracts are received. If Vendor’s preferred space is not available, Vendor will accept the conference’s space assignment to a location as close as possible to their preferred space. Sponsor packages may be modified at any time in OLC’s sole discretion, provided that sponsors will be notified in writing of any such modifications as soon as practicable.

Vendor agrees that Exhibits must remain intact until the end of the exhibit session. Under no circumstances will the Conference Management permit the removal, during the Exposition, of any portion of an exhibit without written permission. The Conference Management may retain as security any exhibit as long as payments due shall not have been made. All exhibit material must be removed from the building by the designated time as communicated to you prior to the conference by the OLC’s Conference Director.

Promotion

Vendor will not use the Online Learning Consortium (OLC) name or logo in any way for marketing or promotion without written consent of OLC. OLC Conference Sponsor Ribbons may be used by exhibitor/sponsor in accordance with their selected level of sponsorship.

Attendee List Usage

Vendor understands that electronic copies of registration lists, to include conference attendees that have not opted-out of receiving communications from conference sponsors during the registration process, are provided to sponsors and exhibitors under a revocable, non-transferable license granted by the Online Learning Consortium, Inc. (“OLC”) for a period of one (1) year after the date OLC accepts and executes this Contract, and that the use of such lists shall be subject to the terms and conditions set forth herein and solely to assist with marketing activities intended to promote the vendor’s participation in the conference. The data provided in the registration lists, including but not limited to personal information such as name, address, phone numbers and e-mail addresses (collectively, “Customer Data”) shall at all times belong to OLC and may not be sold or distributed to others, incorporated into any permanent database, used to generate mailing lists or for any promotional purposes other than Online Learning Consortium conference related activities for your contracted conference. Only National Sponsors may use registrant email addresses. All marketing email communications must adhere to federal CAN-SPAM Act regulations, be sent to an individual or entity in the registration lists no more than once per month during the term of this license, not mention OLC other than as an additional contact without OLC’s prior written approval, provide in a prominent location an option for any contact in the registration list to unsubscribe from the sponsor’s e-mail communications, options of which should include two means of communication through an unsubscribe line and separate email contract address to unsubscribe. Vendor understands that they must provide OLC the URL and IP address from which they will submit e-mails to individuals/entities included in the Customer Data, will provide an advance copy of the email promotion campaign

which OLC reserves the right to disapprove if found to violate standards set forth in this agreement, and must include OLC as a contact on the out bound emails as they are sent. The OLC contact email address to be included in the email campaigns is: [email protected].

Vendor agrees to comply with PCI-DSS standards in the collection and processing of all Customer Data and to comply, and to cause all subcontractors accessing or using Customer Data to comply, with all applicable federal, state and European Union statutes, regulations, standards and protocols including without limited to the European-Switzerland Safe Harbor Privacy Framework for Customer Data transferred into the U.S. from overseas (the “Legal Standards”). Vendor agree to promptly notify OLC upon discovery of any security incident involving or breach of Customer Data, as defined in the Legal Standards, and to implement and maintain appropriate administrative, physical and technical measures to protect the Customer Data from accidental or unlawful destruction, loss, alteration, unauthorized use, disclosure or access.

Miscellaneous

OLC retains the right to refuse an exhibitor or sponsor if the exhibitor or sponsor is deemed inappropriate by OLC executive management.

Vendor understands that it is advised to carry appropriate insurance to cover display materials against damage and loss, and public liability insurance against injury to the person and property of others. Vendor understands that it needs to provide a copy of the liability to the Conference Management at the Online Learning Consortium.

Vendor agrees that they will indemnify and hold harmless OLC, its affiliates and sub-contractors, and all of those entities’ members, directors, officers, employees agents and representatives (collectively, the “Indemnitees”) from any and all claims, actions, proceedings, demands, settlements, liabilities, expenses or damages, including defense costs and reasonable attorneys’ fees, including but not limited to those related to or arising out of bodily injury, death, personal injury, property damage, violation of any contractual, proprietary or intellectual property rights, or misuse of Customer Data incurred in connection with or arising from the performance or failure to perform its obligations under this Contract, unless it is determined that the liability was the direct consequence of negligence or willful misconduct on the part of any of the Indemnitees.
