With age, you begin to realize how important it is to live a purposeful life. You

may be at the age of getting married, having a family, or like me, observing

life because I have more time than before. You’ll hear me say, “It’s on my

bucket list”, and now it’s a conscious effort to make sure that I do things

sooner rather than later – and not just talk about them. Let’s face it – we all let time fly by us!

she encouraged me to start a chapter. There was someone already designated as

chairperson, so I didn’t want to step on toes, but when I realized nothing was happening,

I volunteered around February 2012. Our first chapter meeting was May 24, 2012.

What inspires you to lead the GPUG Ontario Chapter? I love Microsoft

Dynamics GP, and I love helping people with Microsoft Dynamics GP! It is

incredibly rewarding to both give and receive value from the group. I felt so bad

that there are no other Canadian chapters, I wanted to help other areas launch

their own chapters by introducing a national meeting that may spark interest.

What would you tell someone thinking about becoming a chapter leader?

Like the Nike commercial would say, “Just do it!” It doesn’t take much effort thanks

to the folks at GPUG who have so many tools and tips in place. Meeting in a Box is a

fantastic resource for beginning a new chapter. The people I have met both locally and

from afar have been invaluable resources; it is worth the effort. I believe the hard part

is getting people out to the meetings, but with our leadership meetings and tips from

other Leaders, that is improving for me. GPUG

Meet Anne & JohnAnne works as an IT professional for a nonprofit organization. She considers herself a savvy strategic planner and an intermediate Dynamics GP user. Having heard about GPUG Summit from a friend, she thought it might be the perfect place to learn how others handle performance optimization in Dynamics GP. She used the ‘Convince My Boss’ template to make her case for attending and submitted it to her manager, John. He not only agreed to Anne’s participation - he decided to join her. They’re preparing for an upgrade and will use the event to gain feedback and advice from others who’ve done so.

Next up were Partner Showcase sessions, giving the pair a great opportunity to learn from some of the top Dynamics GP experts in the industry and see their Dynamics GP add-on solutions in action. They attended sessions on document management and system optimization, soaking in a lot of great information and discovering new approaches for managing their Dynamics GP environment.

A couple more dynamite sessions, and its back to the Expo Hall for a well-deserved cocktail reception. The pair grabs a cold drink and a bite to eat, then sets out to chat with a number of exhibitors. With more than 250 booths in the Expo Hall, they plan to make the most of every Expo hour that’s offered during the event – it’s such a great way to learn about what’s available in the community!

Phew! One day down, and Anne and John have already captured a list of ideas they plan to implement when they get home….and there’s still 2 more days of sessions, networking, and Expo to go! As first time attendees, there are a few key things that have surprised Anne and John about the GPUG Summit experience…

The buzz. Everywhere they went, there were folks talking Dynamics GP – in the hallways, during breaks…even at the local watering

holes at night!

The interaction. The sessions they attended were quite intimate and attendees engaged in active conversations around the topic

at hand.

The learning. They’d underestimated just how much they could learn from other users and were amazed at how many other folks

experience challenges similar to theirs.

The impact. Anne and John met fellow Dynamics GP users who not only provided great insight at the event, but who will be go-to

resources for them in the months and years ahead!

The Experience Begins

Anne and John began cashing in on their GPUG Summit experience as soon as they registered (months before the event!). They explored the 200 sessions and each built their own personal schedule of the sessions they planned to attend. It helped them get acquainted with the speakers and even see who else is attending each

session (and their daily schedules will be emailed to them each morning during the event). They used the ‘GPUG Summit 2014 St. Louis’ community on GPUG Collaborate to share their objectives and some of the specific issues they are hoping to address in St. Louis. Doing so helped them meet other attendees with similar goals, and they even made dinner plans for St. Louis with some fellow attendees from the nonprofit industry.

Day 1 in St. Louis

The pair chatted over breakfast on Wednesday morning with some fellow Dynamics GP users they’d met at pre-conference training courses the previous day. They compared notes on some of the add-on solutions they’d discovered at the Welcome Reception in the Expo Hall on Tuesday evening. Breakfast was buzzing that morning - old friends were catching up, new connections were being made, and everyone was excited for an invigorating opening session to kick-start the day.

After a great networking lunch, the duo participated in Wisdom While You Walk sessions. These exploratory learning activities paired like-minded users and, quite literally, sent them off to walk and talk about the Dynamics GP issues that are top-of-mind. Anne and John each paired off with different groups of IT gurus, and strolled down Washington Avenue swapping Dynamics GP experiences. It was a great way to avoid the after-lunch sleepy session!

Anne choose sessions like “Maximizing SQL Server Performance with Dynamics GP” and “50 SharePoint Tips in 50 Minutes” while John opted for “Upgrade War Stories” and “Business Process Mapping”.

My manager suggested the program because I help provide sys-

tems support for my company’s end Users, many of whom work

within the payables and purchasing areas of Microsoft Dynamics

GP.


I gained additional insights into the overall purchasing module

setup windows. Some of the elective courses were in related areas

such as cash management and understanding financial statements,

which were all good refresher courses. The most immediate benefit

came from the SmartList Builder class, which enabled me to begin

creating new SmartList Builder reports the following day.

With the increased pressure of technology in the healthcare in-

dustry, I wanted to expand my knowledge in all areas, and I feel

that growth through certifications gives me the ability to support

my finance group more effectively. My goal is to obtain as many

certifications and/or licensures as I can in order to advance in my

career; certifications validate and affirm my dedication to my pro-

fession and provide an opportunity for me to succeed in the future.


Current certifications open doors for advancement and show

my long-term dedication to my company as well as my interest in

pursuing higher levels of career opportunities. They also help me

gain a higher level of respect, not only from my peers, but also

Since 1980, US Digital Corporation has

created and designed innovative encoder

solutions (unique sensors) for the

motion control industry, from industrial

automation and robotics to renewable

energy. With everything designed and manufactured

at its headquarters in Vancouver, Washington, US

Digital gives a whole new meaning to “in-house

control”. Because of this (and a particular solution

to be named soon), their “build to order” model

is exceptionally efficient and error-free, allowing

them to offer fast turnaround times…really fast! For

example, a part ordered this morning would ship

out today. John Arnold, software engineer/geek/

nerd (his words) at US Digital says, “A lot of our

competitors have at least a six- to eight-week lead

time because they outsource a lot of what they do.”

John joined US Digital in 2008 and in 2011

was asked to create a home-grown accounting

system from scratch for the company’s build

to order processes. John wasn’t particularly

interested in reinventing the wheel, so he started

researching ERP systems that could fit US Digital’s

manufacturing model. After taking a closer look at

Microsoft Dynamics GP, John told his executives,

“I could write the code from scratch, but it will take

me at least two years and I’ll need 10 engineers...

or we can implement Microsoft Dynamics GP and

customize it to our needs for much less time and

money.”

US Digital chose the Microsoft Dynamics GP

route, and after just four months and one engineer,

they were up and running in January of 2012.

In addition to saving $1.9 million in salaries,

Microsoft Dynamics GP created huge efficiencies,

such as a 15 percent increase return on equity

and a 23 percent increase on cash flow. That first

month also brought in record sales that Microsoft

Dynamics GP handled with no hiccups.

into a computer. John says, “We used to do a full inventory check

over an entire weekend, but now we can start in the morning and

be done that same day.” With this efficiency, US Digital is also

moving parts from 34 large bins to a couple hundred smaller bins

since it’s a lot easier to track bin numbers, item numbers, and lot

numbers.

Experlogix Design Center enables US Digital to customize its

order process, ensuring that only valid part configurations are put on

sales transactions and bill of materials are created without having to

write code for a configurator. This flexibility in the system makes it

possible to offer great customer service, meeting every unique need

of every customer. “The only thing we need to type in is the quantity,

and Experlogix handles the other specifics,” John says. “With more

than 145,000 permutations of how customers can order parts, this

is essential.”

Avalara’s Avatax has simplified tax management at US Digital, and

Nodus Technologies, Inc. manages credit card transactions for all

their orders. John says, “Just ask Target: we don’t want to deal with

credit card transactions.”

US Digital also uses GP PowerPack from WilloWare, SmartFill

from Rockton Software, and vShip from AccellosOne to help round

out its Microsoft Dynamics GP solution. John says, “One of the

main reasons we chose Microsoft Dynamics GP is because of its ISV

network, and they have not disappointed us!”

US Digital is upgrading to Microsoft Dynamics GP 2013 this

summer and is currently testing its customizations (Modifier, VS

Tools, C#, and VBA) and ISV applications to see what it needs to

bring over and what Microsoft Dynamics GP 2013 offers in its

mainstream functionality. John says, “The very fact that I don’t need

to update the code for our ISV applications in Microsoft Dynamics

GP 2013 saves me time, and I can rest assured the software will come

feature-rich.”

Speed at Your Fingertips with Macros

First off, a definition: a macro is a recording of your keystrokes and clicks you can repeat flawlessly, and it helps with

tasks that you do repeatedly or rarely as well as those that require some heavy lifting. There is no logic in a macro; it’s just

a replay of what you did before.

Jordan Smith, a senior accounting analyst at Republic Financial Corporation, attended the GPUG® macro class in

November 2013. He now uses 30 different macros weekly, one of which saves him an entire hour of processing time. Here

are four examples of how Jordan is using macros:

Approve and Post

Automatically approves and posts numerous GL and AP batch entries without having to enter passwords or click

through the entire posting process. This saves numerous clicks and turns a 15-minute task into a 30-second task.

Select Batch/Approve Batch

A two-step macro that brings the User directly to the batch window, pauses, then allows the User to approve a batch

and continue posting automatically via the macro. This limits the mouse clicks needed and mitigates the risk of posting

the wrong batch.

Multi-Account Add

Adds numerous accounts at once. When Jordan’s organization researches a new deal, 20 new accounts specifically

associated with that deal must be added. Manually, this process takes 20 minutes. With a macro? Less than a minute.

Entity-Intercompany Set Up (Jordan’s favorite macro)

When a legal entity is added to the account structure, intercompany accounts and their associated links are set up. In

order to align the Microsoft Dynamics GP tables properly, the parent entity is copied to each coinciding entity. There

are 276 entities, with two accounts each, which are then copied to every other entity in the system for a total of 152,352

account combinations. This macro runs for 57 minutes, completely unattended!

Templates Reduce Redundancy

Word templates and native email were introduced in Microsoft Dynamics GP 2010 and have been

providing value ever since.

Let’s say your customer base is such that you need multiple invoice styles to meet each type of

customer’s requirements. Microsoft Dynamics GP 10.0 and prior versions were limited to just a couple

versions of the invoice without a third-party application. Microsoft Dynamics GP 2010 changed that

with the ability to create multiple Word template documents and assign them not only to specific

companies, but also to customer classes and/or specific customers. Billing customers in the format

they require speeds collections and improves customer satisfaction.

Likewise, utilizing the email functionality introduced in Microsoft Dynamics GP 2010 speeds

communication with vendors and customers. For instance, in Microsoft Dynamics GP 10.0 and prior

versions, you could print a PO to PDF, save it to a local or shared folder, open Outlook, create an email,

attach the PO, and send it. Now all of that is done for you by clicking a button in the PO entry window.

As I travel the country helping Customers, I am still taken aback by some of the puzzled looks I

receive when I tell Customers that certain features they are requesting, such as the ability to un-apply

historical receivable transactions and combine item numbers and transactions under a single item

code, are all possible with the Professional Services Tools Library (also known as PSTL or “Pistol” for

the quick sounding of its acronym).

PSTL is a collection of more than 50 utilities created to address common support requests. The

toolset is available for free – completely! – to Customers running Microsoft Dynamics GP 10.0 and

above with only a generic registration key required to supply access to the different utilities.

Slowly but surely, some of these tools have found their way into the core application features of

Microsoft Dynamics GP 2013 R2, with Vendor Modifier/Combiner and Database Disabler being just

two examples.

On a personal note, I would love to see all these utilities rolled into the core application once and for

all as they would make for a great collection of routines and utilities all in one place.

Workflows Mean Less Running Around

When looking at starting the automation process, we decided to begin with the built-in workflows

that Microsoft Dynamics GP has to offer. With no added software investment required, it was a good

first step.

We started with purchase orders (PO), and our Users love the fact that they no longer have to go into

Microsoft Dynamics GP to approve a PO. Instead, the approvers simply need to have access to email to

look at the details of the PO, see that all steps have been completed, and approve the PO. It is that easy.

There is no more forgetting that we filled out a PO and forgetting to let the approver know that he/

she had to go into Microsoft Dynamics GP and approve it. There is no more running around trying to

get a PO signed. There is no more worrying about who was authorized to approve the PO should the

normal approver be out of the office. There is no more waiting for Microsoft Dynamics GP to open

only to go in and approve one item. There IS more time to take care of other items on our ever-growing

“to do” lists.

Perhaps in the future we will want to move to something more robust, but for now, we find that the

built-in workflows are adequate for our use. GPUG

Navigation Lists, which were introduced in Microsoft Dynamics

GP version 10.0, are one of the most underutilized features of

the solution.

Navigation Lists allow a User to view a list of similar records,

select one or more records, and then perform actions against all of

the selected records at the same time. This simplifies the navigation

within Microsoft Dynamics GP and allows the User to work from

within one window rather than navigating to individual windows for

those specific tasks.

Navigation Lists are located in the navigation pane for each series

within Microsoft Dynamics GP. Here are the Navigation Lists for the

Sales Series:

The Action Pane is divided into groups that contain action buttons.

Each action button can be used to add new records to the list of

performed actions against the records selected in the list, and to open

windows to display more information about the selected record(s).

The buttons that are displayed on the action pane depend on which

list is displayed, the User’s personal settings for the list, and the User’s

security access. An overflow menu, which will appear to the right

of the group, contains the action buttons that aren’t displayed in the

group. The User has the option to personalize the buttons and add or

delete buttons on the Action Pane.

The Message Bar is displayed above the list area after an action

has been performed against a record in the list. The message bar will

display information about the failure or success of actions performed

against records in a list. For example, a User placed three Customers

on hold. When the list is refreshed, the message bar will display if the

action was successful.

The Information Pane displays information that is related to the

selected record.

Personalized Navigation Lists

Users have the ability to create their own personalized navigation

lists:

» In the filter area, click on the drop-down arrow where the name

of the navigation lists appears.

» Select Save As.

» Create a name for the navigation list.

» Personalize this list.

Now that the list has been created, it can be customized.

Let’s say you need to create a list of Customers that have a balance

greater than $20,000. Click on the drop-down arrow for Add Filter,

select the Customer balance field, enter the function (greater than

and includes), and input 10,000 into the field. Click on the arrow

when you are finished. Your navigation list will now include all

Customers that have a balance greater than or equal to 10,000.

You will notice that the name of your list is not saved.

the list name, there is an option to save

your changes.

You also might want to add the

Customer balance field as one of your

columns in the list. Follow these steps:

» Click on the drop-down arrow next

to the name of your list (Customer

Balances).

» Select Customize. You will see the

following window:

The List View Customization window

allows the User to select which content

he/she would like to display. The Modify

List View section allows the User to add

or delete columns, add or delete options

from the action pane, or share the list with

other Users.

» Click on the arrow next to Columns.

» Place a checkmark next to the

Current Balance field and select okay.

» Click Preview to see a preview of your

list with the current balance field or

select Save to save it.

» The list will now show the current

balance for each Customer.

the different Navigation Lists within

Microsoft Dynamics GP. They can save

you a lot of time and enable you to enter

Who interests you on social media right now?

I don’t follow one specific person on LinkedIn, but I do

read many of the posts in the Leadership and Management

“Pulse” area. The articles allow me to view others’

perspectives on leadership and adapt their ideas to my

organization. From an industry standpoint, the Donate Life

group helps keep me abreast of news relating to organ

and tissue donation.

On my desk right now are…

A Medicare Cost Report, GPUG meeting materials, and a

LOT of paperwork that needs to be addressed.

My 3 goals for the rest of 2014 are…

1) Maximize Microsoft Dynamics GP’s capabilities in a

manner that supports Donor Network of Arizona’s mission

to save and improve lives through organ and tissue

donation.

2) Implement Microsoft Forecaster prior to the 2015

budget cycle.

3) Visit Vancouver Island, one of the few parts of western

Canada that I haven’t yet visited.

What I do when I’m not at work…

Whether camping and quad riding in Arizona or traveling

across country to Alaska or the Canadian Maritime

Provinces, you will find me in the RV with my husband and

Richard Whaley...REMEMBERING

We recently lost a valued GPUG All Star, GP community member, teacher, and friend. Richard Whaley of Accolade Publications passed away

the morning of July 1, which was also his birthday. Richard was a longtime friend and mentor to many in the Microsoft Dynamics GP community.

Whether you relied on his manuals for learning about Microsoft Dynamics, listened to him present webinars and sessions, or were lucky enough

to have him as a GPUG Academy instructor, Richard contributed countless hours of his time and talents to helping fellow GPUG Members. He also

donated dozens of manuals for our Regional Chapter leaders to hand out as door prizes during their meetings. He combined his passion for education

with his love of Microsoft Dynamics to help us all be better at what we do.

Richard has been troubled for many years by his health, but he never let it slow him down. While he was in the hospital in June, he emailed me

saying that he’d be in St. Louis for GPUG Summit this October, but needed his friend Leslie Vail to step in on the Academy class he was scheduled

to teach in June. He had a big heart and cared so much about the community. We will miss him scooting around GPUG Summit on his Segway.

Richard was one of a kind. A teacher, a gentle soul, a gifted writer, and an entertaining story teller. He will be missed so very much. Thank

you, Richard, for all that you have done for the community, our organization, and me personally. You left a big mark.

At the end of every day, Stacy Weight can say something she did has impacted a child’s

life. “Not many accountants can say that about their day job!” Stacy shares. As the vice

president of finance at Children’s Miracle Network Hospitals (CMN Hospitals), Stacy

loves her job and takes immense pride in the higher purpose that she can help CMN

Hospitals achieve every day.

CMN Hospitals raises money and awareness for 170 children’s hospitals across the U.S. and Canada

through programs such as the charity’s “Miracle Balloon” icon. Funds stay in the community where they’re

raised to benefit local kids, providing 32 million treatments each year. Having raised $5 billion since 1983

and $320 million in just the past year, CMN Hospitals has been able to make a significant impact on

children’s medical research and care. Because of these funds, member hospitals have the latest equipment

and diagnostic tools that help doctors identify problems and perform surgery on the tiniest of patients,

are able to open their doors to all kids, regardless of a family’s ability to pay, and most importantly, provide

hope and healing to children of all ages battling every illness or injury imaginable.

CMN Hospitals implemented Microsoft Dynamics GP just two years ago, and Stacy feels CMN

Hospitals can make a greater impact with the solution through better planning and allocation as well as

giving their donors more attention. Microsoft Dynamics GP allowed the organization to go paperless and

totally change the way business is done. Managers don’t spend their valuable time on administrative tasks

or pushing around papers; instead they can go out and raise more funds and do more good year-round.

Just by utilizing workflow in Microsoft Dynamics GP, CMN Hospitals has also improved the way they

communicate with donors, giving them more timely answers and being able to show how they’re making a

difference by contributing to the organization.

In addition to streamlining the back-office tasks, Stacy is able to take a more strategic role: she was

promoted to vice president of finance and can now change her day-to-day routine from tactical duties to

more strategic operations. “Microsoft Dynamics GP

is the reason I can make this shift and focus more on

future visioning.” Stacy says. With a goal of raising

$1 billion a year by 2022, Stacy and her team can lay

the groundwork now for staffing, facilities, employee

healthcare, and more to make this growth a reality.

Lindsay Grissom, accounting assistant at Mr. Beer, completed her PCAP and PCAR class

requirements in only seven months! She is currently working on her community support

activity which includes writing a tech tip and leading a session at her local GPUG®

Regional Chapter meeting. Way to go, Lindsay!

We recently caught up with Lindsay and discussed her experience with the PCAP and

PCAR programs.

GPUG: You signed up for the PCAP and PCAR programs in 2013. Can you tell us why?

Lindsay: Mr. Beer implemented Microsoft Dynamics GP 2013, and I was the person primarily responsible for accounts payable and receivable. As you can imagine, this left me with numerous

questions, and I knew I needed a better understanding of how the information flows.

GPUG: Was your supervisor supportive of your decision to join the program?

Lindsay: Actually, it was my supervisor who suggested it! He knew it would benefit me, so before I knew it, I was looking at the schedule and registering for classes that aligned with my job.

GPUG: What have you enjoyed most throughout this process?

Lindsay: I really enjoyed all the instructors and the class format. I am a visual learner, so it helped that I was able to do the practice sessions and ask questions during class. I still refer to my class notes today!

GPUG: Has your supervisor seen benefits to the organization since your

completion?

Lindsay: Yes. I am starting to create procedures for internal use and am documenting best practices. I continue to learn what works best for me, refine processes, and become more efficient.

GPUG: Any advice for newcomers or those thinking about joining?

Lindsay: If you have questions about Microsoft Dynamics GP and what you are working in, then the classes could really

benefit you. The books on Microsoft Dynamics GP helped, but the classes give you the chance to see how it is done.

GPUG: You give so much to GPUG, so let’s start

there. What do you enjoy most about this User

interaction?

Theresa Nistler (TN): I like that it’s a more

personal interaction. When I started on the

Microsoft Dynamics GP team, on the testing side,

I didn’t go to some of the initial Convergence

events because we had plenty of people to send, so

I never really got the personal effect of it.

It’s nice to have the lower-key, intimate

interaction. You have time to stop, talk, and breathe

a little more. Similar to Convergence, people come

to GPUG because they want to learn more, talk to

others in their industry, and talk to people from

Microsoft. You have a bit more time to spend with

them at GPUG activities.

GPUG: And we love to have you there! What are

you working on these days?

TN: We released Microsoft Dynamics GP 2013

R2 the last week of May, and I was focused on

one of the major rocks of the release, purchase

requisition, which is new functionality within

Purchase Order Processing.

GPUG: What will Users like about purchase

requisition?

TN: Before we worked on it, we talked with a

number of Users about the strengths and drawbacks

of the existing functionality that was in Business

Portal, what they needed to maintain, what people

were using, and what their processes were.

I looked at the suggestions that came in and

prioritized them as to which ones Users were

saying they needed most. I also looked at it from a

deployment level, including how the organization

would use it, etc.

We built purchase requisition into Microsoft

Dynamics GP’s core, leveraging the purchase

ability and workflow functionality that’s available

in the solution. The nice part about that was that

we were able to focus on the purchase requisition

process itself.

With this first release, we’ve been able to almost

totally solve the problem – not 100 percent, but

through the research and Customer meetings

I’ve had at GPUG and Convergence, we’ve been

able to ensure that the direction we’re heading is

the right one for delivering the functionality that

people need and want. I’m excited about that. We

can’t do everything all at once – it gives me job

security that there’s always something to add – and

purchase requisition phase II is coming up.

GPUG: You have a point there! Our theme for

this issue is “get a life” through efficiency and

best practices in order to spend less time on

work outside of work. What are some of the new

features that help Users be more efficient with

their time?

TN: There are so many, one of which is a copy/paste

journal entry feature in GL that can save people time.

SmartList Designer is another. Because it’s built in,

people get it automatically and can design their own

reports. As you’re aware, GPUG’s “Top Tips” session

is so popular and features the tools that people need

to streamline and make their jobs easier.

The hard thing is learning the new features.

Every release has a lot of features, and the hardest

thing about new features for Users is when

something changes their process, especially for

day-to-day workers because they know what they

have to do and the steps they have to take.

Way back when we had something called “POP

Simplify”, and we’re going more that route now,

creating automations that take you through the

process and the navigation list to see the actions

you need to take.

Some of these features and functionality really

can save a User time; it’s just a matter of trying them.

GPUG: What’s your advice for trying something

new?

TN: The first thing is to understand that it is scary.

You’re working with your data. I get that. The

biggest thing I’ve seen in Users who are successful

in adopting technology is that they have a sandbox

test environment so people can try features before

they’re live.

Another big help is to use the Microsoft

Dynamics GP community as a discussion group

for asking questions; you’ll get a lot of ease-of-use

information that way.

GP support team. The nice thing about

the support team videos, however,

is that I’m confident in the accuracy

of the information you’re given. We

want you to make the switch smoothly

and successfully. That’s our goal. Just

remember, we’re not trying to make it

harder.

GPUG: What’s up next for you and

your team?

TN: The next major release is planned for

late calendar year 2014, and we’re still

looking at some of the Business Portal

functionality, including the employee

self-service side. And of course, purchase

requisition phase II as well as a host of

other features.

GPUG: We’ve established that you

have quite the tenure with this

product. What keeps you energized

about Microsoft Dynamics GP?

TN: One of the most fulfilling parts of

what I do is when I’m meeting with

Customers, they’re talking about their

pain points, and I show them the

functionality in the software, and it’s just

something they haven’t discovered yet.

I’m kind of a problem solver by

genetics. I like to solve puzzles and figure

problems out, so that’s one of the parts

I enjoy most. There is always a way to

design a feature that provides a solution

to the majority of people’s pain points.

If I can add functionality and have

somebody thank me and let me know

that it helps and makes more sense, well,

that makes my day.

GPUG: That’s a great mindset! Is there

anything else you’d like to share with

our readers?

TN: The quote, “The Customer is always

right.” It’s true. The challenge is which

Customer do you listen to?

The approach I’ve taken and a reason

why it’s nice to have the relationship with

GPUG is that the people who historically

got listened to were the ones that yelled

the loudest. Now we’re able to not only

react to those that are yelling, but also proactively have more consistent conversations with

more Users.

To me, we’re then solving pain points for more people. At the end of the day, that’s one of the

most satisfying things. To go out, initiate the conversations, research, and run ideas by Users.

By doing so, we’re able to make the product better earlier on and react more quickly to our

Overview

When doing business with retail stores, we need to keep track of

not only our sales, but also the different sell-through allowances we

may give as an incentive to purchase a certain amount of our product.

This article will cover how my organization is using Microsoft

Dynamics GP to keep track of the different allowances and chargebacks

we incur from the retail stores with whom we do business.

Instructions

Before we start, ensure distribution accounts have been created

for the different sell-through allowances that are offered. If we come

across one that does not fall under a distribution account that has

been set up, the controller creates a new distribution account in


When information is received about the sell-through allowance or

chargeback for one of our customers, we enter that information as a

sales transaction-credit memo.

Credit Memo Number Creation

Microsoft Dynamics GP automatically creates a default document

number. We want to stay consistent with our document number

but also be able to reference it with the customer document number

that we receive. The way the default document number is generated

is with four letters (in this example it is ARCM) followed by a set

of numbers. To determine if we want to use the default document

number that is generated or if we need to change it, we have three

guidelines:

» Use the existing document that is created if we have no other

reference document number to go by.

» When we have customers that have issues with their order, we

want to reference that original invoice number that was created

for them. We keep the first four letters (ARCM) followed by

their original invoice number that was created for the order with

which they had problems. This way we have a record trail and

can match the invoice number and the credit memo number

quickly and know right away there was an issue.

» If we have allowances and other chargebacks that are created by

our customers, we want to be able to reference the document

number that they created. We keep the first four letters (ARCM)

followed by the customer’s document number that is given to

us. This way, when we do a look-up or a report, we can tell by

the first four letters that it is a credit memo and by having their

document number, we can reference it quickly.

Document Description

A short description of what the allowance is for works well most of

the time. If we need to create lengthy notes, we use the Record Notes

icon next to the document number. This is also used for attaching the

document provided to the invoice that is being entered in Microsoft

Dynamics GP. When the document is attached like this, it is easy to

reference it at a later time. We scan the document and save it to our

computer in order to upload it to this window. Sometimes we may

have an Excel file that has additional documentation that we would

like to have linked to this entry as well.

New Object > Create for File > Browse

Find the saved electronic copy of the documentation or any

additional documentation that is necessary. Save the downloaded

document (File > Save), then Attach to close the Note window.

Document Date

Sometimes we will not receive the documentation on these

allowances or other types of chargebacks from customers right away.

Most of the time we receive the documentation a few months after

the original document date. When receiving the documentation for

these allowance and chargebacks, we want to use the document date

that is given. However, if the document date is in a month that has

been closed, we change the posting date to the date we are entering

it in our system and use the document date that is provided. This

way we can see how much time has passed from when the customer

processed it to when we received notice of it.

» Customer ID - Enter the correct customer that the sell-through

allowance is for.

» Salesperson ID and Territory ID - These have been set up ahead

of time in the Customer Maintenance Card. This way when any

type of transaction is entered into Microsoft Dynamics GP, the

Salesperson ID and Territory ID will automatically enter in that

section.

» Currency ID – This is automatically generated as Z-US$. If

the Currency ID needs to be changed and if the system has the

different Currency ID set, it can be changed accordingly.

» Credit Amount - This is the amount of the allowance or charge-

back that is being entered into Microsoft Dynamics GP.

Distribution

This is the step that is the most important and needs to be

changed every time we enter in a Credit Memo. In the Distribution

window, the Distribution account that is being debited is a set

account; example 100-43000-01 Beer-CR/DR Memos- B2B. With

the sell-through allowances we offer and chargebacks, we need this

distribution to reflect the type of allowances or chargebacks. Simply

change the Distribution account that is being debited to the correct

one that reflects the reason as to why the allowance or chargeback

is being given. The 001-12000-01 Accounts Receivable that is being

credited stays the same.

If you keep printed copies, print a hard copy of the Credit Memo and

attach it to the original documentation. File it in that customer’s file.

Post the transaction once every step is complete.

If this credit was taken on a payment that was sent to us by that

customer for invoices that needed to be paid, we simply apply this credit

memo to any invoice that was on the payment remittance information.

Sometimes with these we may need to send the customer a

payment. This depends on a few different factors, but most of the

time it is taken from a payment we receive from them. GPUG

implemented Microsoft Dynamics GP 2013 in January 2013.

Lindsay managed the team that entered 18 months of history for the

implementation. Her main areas of expertise are in accounts payable

and accounts receivable, but she has knowledge and understanding in

other areas of Microsoft Dynamics GP 2013 as well.

mistakes on the non-financial piece of

their invoices. To change this in Microsoft

Dynamics GP, they would have to email IT

and IT would need to make a change in

SQL while end Users waited to run their

reports. We stepped in and made it so they

can open a sales order and change the non-

financial data on those invoices without

jumping through the hoops. This small

change really made a difference at this

company and saved a lot of time as well.

Whether it’s an entire module or a

custom add-on we create for Microsoft

Dynamics GP Users, we always attempt to

give Users more control. As Users know,

no company is exactly alike, so having this

control makes life and business a lot more

streamlined.
