How to manage your time effectively
Last week, I stumbled on an interesting article called “batching.”
I was wondering why is it that numerous people still work unorganized and let them self-distract by their environment.
There is an easy way to avoid distraction by dedicate blocks of fixed time to similar tasks, in order to increase productivity.
It´s called Baching
In plain English "how to manage your time effectively"
Batching is simply a way of personal time management that allows you to maximize focus and reduce disruption. And thus increases one's productivity, creativity, and mental sharpness, meaning we are decreasing stress.
Isn`t that what we all want "less stress." Most of us are looking for methods that help us improve and manage better our daily tasks.
A good example of people using their time effective are successful businessman, actors, and rockstars they all have managers or secretaries that manage their precious time without it their lives would be a big mess.
So it`s really nothing new but only few of us implement it in our daily life.
Batch processing is the grouping of similar activities that require similar attention so that you can improve their completion.
Without ever heard about Baching I already was making use of this method. Since the birth of our youngest daughter three years ago,
It became very stressful to work from home. I was distracted all the time
I needed to improve my performance and created an action plan.
I started making blogs on which I dedicated similar tasks, in the same time and the time-blog that I needed to dedicate on my family.
My wife and I had to plan our actions and tasks, so we did.
At that time, I had no idea that they call it Baching.
People allow very often that other people or family "if you are working from home as I do" interrupt us in our daily activities.
It sounds familiar doesn`t it..
And you know probably very well that this very annoying. Being in a constant state of responding and answering to other people (be it on the phone, skype, email, etc.)
Although well intentioned, we often permit the priorities of other people takeover our personal interests.
How often have you`ve been in a situation or particular tasks that need time and your concentration, but an email or cellphone call distracted you from accomplishing it?
Working in a never-ending state of shifting tasks and refocusing attention creating fatigue, stress, and decreased productivity.
Every time you become distracted, you will need about fifteen minutes to recover complete concentration.
Until you have learned to manage your energy and time, the chances are high you are not nearly as effective or productive as you could be due to, let distractions be part of your daily routine.
You’re simply not giving yourself the time to do the things the right way (note: It`s all depending on how smart you work and not how hard you work).
Batching is consciously programming an amount of time for tasks and making intentional effort to not allow distractions break that focus.
After that block of time has passed, take a 5 min break, and then begin the next block of focused time.
Each block of focused time is dedicated to one task or set of similar tasks.
The Multi-Tasking Myth
People love to have a certain structure and habits in their lives; without them, they panic and get stressed. There’s a myth that says who masters the practice of multi-tasking will be at the top of their game.
I don´t think so
Most of us know doing more than one thing at a time is not productive you lose concentration and in extreme cases, (and it happens every day) It will get you killed. E.G. "People, calling and driving at the same time."
Study after study has proven that multi-tasking decreases productivity dramatically and will increase stress.
Multi-tasking creates an unbalanced and stressful environment that is eventually unsustainable, and will break you down.
So you can describe multi-tasking also as switching fast from one assignment to another and interrupting our productivity, with the lack of focus for one task.
Program well and prioritize the projects that you need to complete, by writing them on a white board day after day..
Make it a routine
Set a time block for at least 45 minutes and dedicate the time to finish the assignment, or to several similar tasks.
You can break Larger tasks down into several blocks, and smaller responsibilities (checking your e-mails, returning telephone calls, and so on) can be put into a single smaller block.
After completing each block, you write down the number of times that you were distracted.
Take a 10-minute break.
Start another block of time
After completing four blocks, take an extensive 30 minute break.
and start analysing the times you were distracted.
Keep improving the method Untill you master it.
you will observe significant improvements within your productivity almost immediately and master the technique in 6–21 days.
